How can I share a PowerPoint so that it opens automatically in presentation mode?

Thank you for querying in this forum.

According to your description, it seems that you want to share a presentation with students via Microsoft Teams and you also want your students to immediately watch your presentation as a slide show instead of seeing the slides in edit mode.

May I know if my understanding is right? If so, we’d suggest you save presentation file as .ppsx type file, if you are using PowerPoint in Windows, we’d suggest you go to PowerPoint File > Save as > Click More Options > select PowerPoint Show under Save as type, the file is saved as a .ppsx file. When the file is double-clicked, it opens as a slide show.

Then you can go to Microsoft Teams and find the team > click Files tab > upload this file. And we have tested it on our side, if we saved it as .ppsx file and uploaded to Teams, when we clicked it, it will show as a slide show, as shown below:

No matter where you work, meetings all have one thing in common: PowerPoint presentations. If you use Zoom, you can easily present your slideshow to the participants by sharing your screen . Here's how it's done.

If you're the host of the Zoom meeting , you'll be able to share your screen without issue. However, if you're joining a meeting that you aren't the host of, you may need to request permission from the host to be able to share your screen.

As a general rule, we recommend that hosts disable the screen-share feature for participants by default for security reasons . If you aren't the host of the meeting, be sure to reach out to the host in advance to request permission to share your screen during the Zoom call. Hosts can always enable the feature during the call, but it's always good to be a step ahead.

If you're the host of the meeting and someone is requesting permission to share their screen during the meeting, click the up arrow next to "Share Screen" at the bottom of the window.

In the menu that appears, click "Advanced Sharing Options."

The "Advanced Sharing Options" window will appear. In the "Who Can Share" section, click the bubble next to "All Participants."

All participants in the meeting can now share their screen.

To screen share your PowerPoint presentation, go ahead and open the PowerPoint presentation that you would like to present. However, before you put the presentation in Slide Show view, you'll want to share your screen. At the bottom of the Zoom meeting window, click "Share Screen."

If you're using a single monitor, you will immediately start sharing your screen. If you're using dual monitors , you'll need to click the screen that your presentation will be shared on. In our case, that will be "Screen 2."

To begin sharing that screen, click "Share" at the bottom-right corner of the screen select window.

You're now sharing your screen. Now, in Microsoft PowerPoint, select the "Slide Show View" icon in the bottom-right corner of the application.

From here, deliver your presentation as though you were standing in front of a live audience.

Google Slides, like PowerPoint, has different presentation modes that can come in handy when you’re presenting and you want your slideshow to look smooth. Whether you’re looking for slides only, speaker notes or the Q&A feature, in this new Google Slides tutorial, you’ll learn about these and their respective settings. Ready? Types of presentation modes in Google Slides

Presenter view, start from beginning, present on another screen.

There are three presentation modes in Google Slides. 

If you click the “Slideshow” button or press Ctrl/Cmd + F5, your presentation will start directly without any speaker notes. This is the most widely used and the simplest option.

Next to the “Slideshow” button, there’s a drop-down arrow. Click on it to see the different presentation modes:

In this mode, you’ll be able to see the speaker notes, check the timer and adjust other settings, such as questions from the audience. For more information about the speaker notes, please refer to this  Google Slides tutorial .

To view the different tools, after clicking “Presenter View”, move your mouse to the lower left-hand corner of the screen. You’ll see the slide number, previous and next slide arrows and three dots. Click on the dots and here are your options:

Open speaker notes

This enables the speaker notes and makes them visible. If you click this button, you might exit fullscreen mode. To go back to fullscreen, press Ctrl/Cmd + Shift + F or click the “Fullscreen” button. For more information, please refer to this  Google Slides tutorial .

Turn on the laser pointer

You’ll see a red dot on the screen, which you can move around to point out any element from your presentation.

Full screen

Click this button (or press Ctrl+Shift+F) to enter or exit fullscreen mode.

Click this button to finish the presentation or just press Esc.

If you click on “Auto-play,” more options will appear: Click “Play” and the slides will advance automatically (by default, every two seconds, but there are other options available. You can also choose to play the slideshow on a loop).

Captions preferences

If you have a mic set up, you can enable captions. Click the drop-down arrow to adjust the size of the text and its position on the screen.

Under the “More” tab, you can also choose different download formats for your slideshow or print it out. This tab also contains a handy list of keyboard shortcuts (if you prefer handling keys to using your mouse) and the possibility to report problems. 

Your presentation will begin from the first slide (Ctrl/Cmd + Shift + F5).

Your presentation will be shown on a different screen via a media display device, such as Chromecast. This option will be available only if there’s another screen available.

There are three methods you can use to screen share a PowerPoint presentation in a Zoom meeting. If you have dual monitors, you can share a slide show while viewing the presenter's notes on another monitor. If you have a single monitor, you can also start the slide show in a window so you have access to other meeting features while sharing your presentation. 

If you have other participants presenting portions of the PowerPoint, you can give them slide control in Zoom, so that they can control the slideshow on their end, without needing to ask you to move the slides forward. Additionally, PowerPoint slides can be shared as a Virtual Background for a more immersive sharing experience.

Follow these steps if you are using multiple monitors and want to present your PowerPoint in one monitor, while viewing the presenter's notes in another monitor.

  • Open the PowerPoint file you want to present.
  • Start or join a Zoom meeting.

  • Select your primary monitor then click Share . If you are not sure which monitor is your primary, select the one that PowerPoint opens in.

  • Switch back to Powerpoint and click the Slide Show tab.

Follow these steps if you have a single monitor and want to share your PowerPoint presentation in slide show view, but have it contained in a window rather than in full screen. This is useful if you need to access meeting features, such as in-meeting chat or managing participants, while sharing your PowerPoint presentation.

  • Click the Slide Show tab and then select Set Up Slide Show .
  • Under Show type , select Browsed by an individual (window) and then click OK .

Note : Be sure you select the PowerPoint window, not the entire screen. Sharing the PowerPoint window only will allow you to use other features without interrupting the view of the presentation.

Step 1: click on the “share” button.

Once opened, you’ll find the “Share” button located at the top right corner of the screen.

Click on the “Share” button, and then proceed to the next step.

Step 2: Under “General access” select “Anyone with the link”

By default, the “Restricted” option will be selected under the “General access” settings.

Click on this option, and then choose “Anyone with the link” from the drop-down menu.

Ensure that the role is set to “Viewer”.

Wondering how to share a Google Slides presentation? Good news! It’s a pretty simple process. There are multiple ways of sharing a Google Slides deck. The right method for you will depend on how you’re going to deliver the slides, the required file type, and your audience. Do you want to share so that a colleague can proof-read and edit, or so that an online audience has the virtual equivalent of a handout?

As Google Slides exists completely online, sharing your presentation with others isn’t limited to an email attachment. This post will show you how to share Google Slides presentations in five ways, there’s definitely something here to meet your needs!

Before we get to that, you need to know where to find the Share function in Google Slides.

  • Open Google Slides and click File , in the top bar
  • Click Share at the top of the drop-down menu

1. How to share Google Slides presentations with people and groups

Using Share with people and groups , you can share your Google Slides presentation with multiple people at once. This is helpful if your teammates need to collaborate in the same deck or if you require feedback from a colleague or client. Share with people and groups allows you to change the editing permissions per contact. You can allow each contact to simply view the document, or add comments, or edit it themselves. The level of permission you choose can be different for each contact you share with, giving you a lot of flexibility.

  • Click Share to bring up the Share with people and groups pane.
  • Next to Add people and groups , start typing the name or email address of the contact you want to share the deck with. A list of recommendations will appear as you type. Once you’ve selected the right contact, their name will appear at the top of the pane. If the person you want to share with is not already in your contact list, you need to type in their full email address.
  • Click the small cross next to a contact name to deselect the contact.

When you share using Share with people and groups , Google will ask the user to log in to their Google account to access your shared file. If the user does not have a Google account, they will be unable to access your deck. Just head to the next section to find out how to grant access to non-Google users.

Now you’ve chosen your contact, you can alter their permissions to change how they are able to interact with the deck. There are three options – Viewer , Commenter , and Editor . Simply click on the option currently visible and a drop-down menu will appear allowing you to choose whether your contact can… well… view, comment on or edit the deck. Pretty self-explanatory, right?

But which permission should you give to who and when?

  • Viewer: This will prevent contacts from editing slides. If your deck is completely finished and approved, set the permissions to Viewer to stop contacts accidentally editing – or even deleting – slides from your finished presentation!
  • Commenter: The best option for gathering feedback. If your contact has limited knowledge of Google Slides, direct them towards our handy Ultimate Guide to Google Slides post so that they can brush up! In the meantime, share your deck using the Commenter function. This way, contacts can comment without being able to rearrange slides, or change text or animations.
  • Editor: Perfect for collaborative projects. Editor allows you to share an editable version of your deck. Everyone with this permission can work on the same slides at the same time. This means you don’t end up with multiple versions of the same deck.

Once you’ve selected one of these permission options, you’re free to hit Send . If you tick Notify people , your contact will receive an email letting them know that they have permission to access or interact with your deck.

In the Share with people and groups pane, the owner of the Google Slides presentation appears at the top. Beneath that, you can see who has access to the deck and the status of their permissions. If you want to change someone’s permissions, press the yellow Share button at any time and edit permissions using the same drop-down menu.

To stop sharing with a specific person:

  • Click Share and scroll to the contact you want to remove
  • Click the drop-down arrow next to their name
  • Select Remove
  • Click Save .

Notice the Give temporary access and Make owner options. If you choose to Give temporary access , you can edit the number of days that your contact has access to your deck. All you have to do is click the number of days next to Access expires to change the expiration date. This can be a great option if you’re working with people outside of your organization, such as clients or agencies. For example, you can schedule the expiration date for the end of a project, once the feedback has been received and the work completed.

Make owner allows you to pass ownership of the deck to another user. After you’ve created a presentation you might need to hand it over, to the presenter for example. You can use this option to give someone else complete control. Use it with caution, however. Once you’ve handed over ownership, you cannot retrieve it – unless the new owner hands it back or chooses to grant you access permissions.

Top tip: If you’re the owner of the deck (if you have created it yourself or have been given ownership by the original creator), there are further sharing options. When you click Share , you’ll notice a cog appears in the top right-hand corner pop up. This allows you to choose whether your Editors can change permissions and share or if Viewers and commenters can see the option to download, print, and copy. All you have to do is tick or untick the box. Easy!

2. How to share a Google Slides presentation via a link

In this window you can also get a link.

  • Click the blue Copy link button.
  • Paste the link anywhere, from an email draft to a Microsoft Teams chat

This link will only work for people who have been given permission to view, edit or comment on the deck. To change this:

  • Click Share
  • In the Get link section, press Change .
  • Choose whether your deck is Restricted or if Anyone with the link can view. Note: when you change a link’s setting to Restricted , the only people who can still see the deck are those you have directly shared with in the Share with people and groups section.

Though the Anyone with link function can be useful, it’s not the most secure option. Remember: the users that you originally shared the link with can continue to share the link with their friends, colleagues, and contacts too, meaning your presentation can be shared endlessly and with anyone! If your deck contains confidential content, you should not use this method.

3. How to publish a Google Slides presentation to the web

If you don’t want your viewers to edit your deck, then Share with groups and people may not be the option for you. Instead, choose to Publish to the web . With this option, your deck becomes non-editable, it will simply play as if your deck was a video; auto-advancing through the slides. This means that the viewer won’t have control over which slides they view or the order they view them in. The content of your slides will be visible to anyone and everyone when publishing to the web, so be careful about choosing this option if your slides contain confidential information.

  • Click  File
  • Select Publish to the web
  • Choose Link or Embed. You can share the URL with your contacts, or you can embed the link on a website or blog
  • Choose how your slides playback using the drop-down menu beneath Auto-advance slides
  • Click Publish
  • Copy the URL or HTML and share your deck

4. How to download a Google Slides deck as different file type

Another method of sharing (or saving) your slides involves downloading the deck as a different type of file.

  • Under File select Download .
  • Select the format you need (Microsoft PowerPoint (.pptx), PDF Document (.pdf), or JPEG Image (.jpeg)), and the download will begin.
  • Open your file

While there are many formats available, we don’t recommend all of them. For example, when downloading as an Image, whether PNG or JPEG, the quality of your slides can be lost, the presentation will be static, and you can only download one slide at a time. If you’re printing or emailing your deck, downloading as a PDF is the best option to get a static version of your slides.

Since PowerPoint is the closest option to Slides, this format retains the presentability of the deck. However, there’s a chance that your content will corrupt or break as not all features are transferable between file formats. Check for any changes and make tweaks – like removing animations – before sending your presentation to your contacts. 5. How to email your Google Slides presentations as an attachment

  If all these sharing options still aren’t quite cutting it, there’s one more! To share your slides via email:

  • Select Email as attachment
  • Type the name or email address of your contact
  • Pick the file type your deck
  • Add a message, then hit Send

Hi, I am looking for a way to have Google slides running on a laptop or tablet and instead of the presentation going to a screen, to go live i.e. as it would on a projecter in a URL that I can tell people about, so they can use it with their mobile phones, tablets etc. The sort of application would be for Carol singing, each slide would have no more than two lines to allow for large type and as it goes through the verses it shows on singers devices, one slide at a time. With Google Slides, users can create, present, and collaborate via online presentations from various devices. You can present during Google Meet calls directly from Slides and embed charts from Google Sheets. You can also add YouTube videos to Slides presentations. 

Google recently announced plans to add artificial intelligence features like its Gemini AI tool to its Workspace programs, which include Slides. Users will be able to use Gemini to create images or written content for slides, or even reference other files in their Drives or emails in their Gmail accounts.

What is Google Slides? 

Google Slides is a cloud-based presentation program that's part of the Google Workspace. Google Slides can be used to create and deliver presentations online. 

Several different themes are available in Slides for designing presentations. Users can customize Slides presentations in a variety of colors and styles. You can add photos, videos from YouTube, charts from Google Sheets , and information from many other sources. Different members of a team can contribute and collaborate on the presentation in real time. 

There's no specific limit on how many slides you can add to your Google Slides presentation, but there is a 100 MB file size limit.

How to download Google Slides 

To access Google Slides, visit slides.google.com .

Engage your audience with presenter modes in Microsoft Teams

Meeting participants tend to be more focused and have a better experience when they see a presenter along with a presentation. An interactive presenter also helps guide an audience along with visual cues while reducing information overload.  By using a presenter mode such as Standout , Side-by-side , or Reporter in a Teams meeting instead of sharing screen or window content only, you become a more engaging and integral part of your presentation. The following examples show how each presenter mode appears to an audience:

Presenter modes also allow presenters to customize how their content will be oriented on screen and adjust the size of the video to better fit the presentation.

1. Use the  Position buttons in the preview window to direct where videos will appear in relation to the content.

2. Enlarge or reduce video size using the Size slider. Slide the circle to the left to reduce the size of a video, or to the right to enlarge the size of a video.

More things to know

Interactive presenter modes are only available for the desktop version of Teams.

Meeting attendees using the mobile or online versions of Teams will see a shared window or screen and presenter video separately.

When you use an interactive presenter mode, a small, moveable picture-in-picture window pops up to show you what your audience sees. If you close this window and need it again, restart the presenter mode.

Best Things Your Laptop Can Do

Use dark mode.

Dark mode is a relatively recent feature that has been added as a way to both go easier on your eyes and also save on battery life. The idea is that by using more dark rather than white on your display, the screen will use far less battery to light the area. That should also mean it's gentler on your eyes, allowing you to work for longer without it being quite so visually intense.

This is now available both on Windows and macOS machines. 

To turn on dark mode in Windows simply navigate to Settings, Personalization, Colors, then select Dark.

Using macOS you'll need to navigate to the Apple menu, System Settings, then Appearance in the sidebar before selecting Dark or Auto on the right.

Slide to shut down Windows

One very easy-to-use feature, that makes shutting down your Windows machine faster, is the slide to shut down option. This is pretty cool as you can go from working on your machine to having it fully powered down in a single swipe of the touchscreen display.

This does mean a little coding is needed but just follow this guidance and it's relatively easy.

Right-click your desktop and select New then Shortcut. Copy and paste this code into the text box: %windir%\System32\SlideToShutDown.exe

Select Next, name the file something such as SlideToShutDown, and select Finish.

There should now be an icon on your homescreen. Right-click this and select Properties and under the shortcut tab select Change Icon and OK. Pick an icon you want to use and select OK, Apply, and OK.

Now all you need to do is open that icon and initiate the swipe shutdown feature.

Use Focus mode

One really useful feature that helps you stay productive is Focus mode, and its various other options. This essentially limits the number of distracting interruptions that might stop you from working on whatever you need to get done. Perhaps you're working on a slide presentation and don't need email alerts bothering you -- this Focus option will keep any hidden until you're down and change the mode again.

For a Windows machine you'll need to go to Start, Settings, System, and Focus Assist, where you'll then be able to tweak how you are alerted or left alone based on what you need.

Pin websites to taskbar

Did you know it's possible to pin a website to your taskbar in Windows? And that you can do it in macOS too? In both cases it allows you to get right back to a website by clicking the icon link from your home screen. This is great if you're compiling research, or perhaps want to have a site ready to quick-access when presenting to the class.

On a Windows machine, the easiest way to do this is from the Edge browser in which you simply open the main browser menu using the three dots at the top-right, then select More tools and Pin to taskbar.

On macOS this can be done in Safari or Chrome by simply dragging down the URL from the address bar to the right-hand side of the dock.

A really quick way to take something from any app or website and make an edit is to annotate a screenshot. Yup, you can take a snap of anything on your display and immediately add an edit. From popping in text, circling something, or highlighting text, there are lots of helpful options available.

On Windows use the shortcut Win + Shift + S to image grab before clicking the thumbnail to add annotations.

To do this on a macOS machine use the shortcut keys Command + Shift + 5 to use a floating select tool before hitting Capture. You can then edit using the pen icon before hitting done to save.

Copy and paste between devices

Copy and paste is one of those features that you probably use without even thinking about it, or appreciating just how helpful it is. Now you can use it between devices, which makes it even more powerful as a time-saving tool. This is limited to same OS devices though, so you'll either being going between Windows or Apple devices, not across the two.

On a Windows machine go to the Windows Settings, select System and Clipboard, which then syncs across devices using your Windows ID -- also allowing you to have multiple items on the clipboard at any time.

On an Apple device you simply need to make sure this mode is turned on. To do this in macOS, navigate to the Apple menu, System Settings, General, then Airdrop & Handoff, where you will want to have the handoff toggled on so you can copy in macOS and paste in iOS, for example.

Share with nearby devices

Both macOS machines and Windows laptops makes wireless sharing easy. That can mean sharing slide decks, images, videos, links, and plenty more, all without the need to send over the internet or connect using physical hardware. In both these cases you will be able to use Bluetooth and wifi direct to send even larger files quickly.

For a Windows machine you'll need to turn on Nearby Share for this to work. Go into the Start menu, select Nearby Share settings and toggle to Share content. Then right-click what you want and select Share to pick another device from the pop up list and click the one you want to get sending.

On a Mac you can do this using AirDrop, which appears in the top right when you select the control center icon and then the right arrow near AirDrop. With this on, you can right-click almost any file and have the option to look for nearby contacts to share with.
