Your graphic design project checklist helps you visualize everything that needs to get done throughout the project while also providing a straightforward order to operations.
A general tip when creating your checklists throughout the project: break each task down into smaller, actionable tasks. A checklist that says “design page 2 of magazine” is much easier to act on than one that just says “design magazine”. Client Checklist
Working with the client can be a long conversation where you have to draw out their wants and needs, or a shorter conversation where your client already has their own list ready-made. Either way, you’re hearing their ideas and taking notes about their vision, the must-haves and the nice-to-haves. That’s an easy way to sort this section of your graphic design project checklist – needs and wants. This will help you develop the design without getting lost in the weeds.
This section of the graphic design project checklist can include research tasks – maybe they want you to look at the designs from a particular project of theirs and mimic that style, or they want to hit a new trend that is up-and-coming.
Design Checklist
Once you’ve got the client’s needs (and wants), along with your own parameters (time, style, etc.), it’s time to work on the design. At this point you’ve already got some ideas of what the final design should look like, but you’ve got so many thumbnails with parts that work and parts that don’t. Graphic design is important for companies who are building their brand, website, social presence, and much more. With an experienced professional on your team, the possibilities are endless for what your company can create.
After interviewing the Rise Marketing Group graphic designer, Regan, we learned valuable information to consider when doing graphic design and hiring a graphic designer.
Brand Guidelines
A graphic designer primarily needs the brand font, colors, etc. to start working with a new client.
- The fonts they use, color information (the specifics, hex codes, Pantone’s if they have them), existing graphics/styles, and their vision.
- If not brand guidelines per se, a mood-board works, or something to help get a strong sense of their brand so that they can confirm visually & go from there.
- Generally, being able to listen in during a meeting for what the client wants, helps to read or hear how they want to sound/come across to their audience.
Brand Identity
When a graphic designer starts working with a client they should provide them with all of the content they have available to start working with them. They should include:
- Brand identity and guidelines – Graphic designers are taught to apply the brand’s voice and characteristics to their creations. That should be a basis for every facet – copy, design, and direction for marketing.
- Brand photography – clear idea of what they need to be created if they do not have it. Using their own photos is highly recommended.
- Their brand vision or voice
- Font files, color codes, vector logo files (.png files if no .eps or .ai – transparency is key)
- For small businesses – If you are just starting out, it is smart to have an idea of what they are looking for. It is beneficial if they do their research before a call. This is especially true if they would need a logo.
Branding Questions
There are questions clients should ask themselves about their branding to be ready to work with a graphic designer. Those key questions are as follows:
- How do you want your customers to feel when they interact with the brand?
- What 5 words describe your brand?
- Do you know what you want visually, and can you trust someone else to create your brand visuals/extend or implement your visual identity?
- What features of other brands, websites, posts, etc. do you see that you like and feel could also represent/communicate your business visually, and why?
- Do I know what I want the brand to be perceived as?
- Am I an expert or new? Do I have helpful materials?
Be sure to ask yourself, do I have a sense of what I want? Do I have reference images, examples, screenshots, and design vibes to bring to the kick-off call? All of these answers will result in a more effective vision created by the designer and your marketing team.

Time Frame for Designing
How long does it take to design specific criteria for a brand? For the most part, it depends on the designer’s experience with the client & what their needs and availability are. An estimate and important factors to consider are as follows. If a brand is starting from scratch, it will take more time and a call/meeting to discuss.
- Logo : This is an incredibly important asset to a business. A logo alone is a good start, but a proper brand identity guides its use effectively and creates a cohesive visual experience of your brand. Depending on the extensiveness of the project, the designer, and the feedback process, a logo can take anywhere from a few weeks to months to perfect.
- Social Media Posts : These can be fast but depends on the project and how familiar the graphic designer is with the work. Also depends on how much they explain to her and the feedback cycle. The feedback cycle is more important with certain items: logos or permanent things. Social media is easier to navigate because it is easier to remove, change, and or adjust in the next posts.
- Emails : If it is the first time with the brand, it can take longer because it comes with a lot more research unless they provide brand guidelines and specifications. This is also more time-consuming because they are permanent.
Platforms for Designing
There are numerous design platforms for specific areas of graphic design work. Our in-house designer recommends the following:
- InDesign: Great for printed work, and long text formatting. A great and versatile software that emphasizes layout and print.
- Illustrator: A powerhouse of design excellent for creating vector graphics and experimentation. Regan’s software-of-choice for logo and digital asset design has many other uses as well.
- Photoshop: Great for editing and manipulating images to import into other software. Can also be used to create printed or digital assets with text and other effects, but mostly depends on the designer’s preferences and the needs of the project.
- Adobe XD: A program for designing a web page or app layouts, and for sharing work and receiving feedback. Versatile and similar to Illustrator, but not quite as powerful in some areas.
- Canva : Canva is an excellent platform for templated graphics, and for sharing access amongst team members. Important to note is that using any template or graphic element created by Canva cannot be copyrighted , and will not be unique to your business. For projects like logos and brand identity, Canva is not recommended.
- There are many third-party software and web-based applications that can also be used for design and should not be discounted! These are items in a designer’s tool belt, and a good designer will make good work regardless of the platform they use.
To recap, The best options you can have working with a new designer are to have existing clear brand guidelines, or start from a blank slate and build together, for the most transparency and clarity in executing your brand. However, this may not be everyone’s circumstance, and the best solution to not having existing guidelines is clear communication with your designer and everyone involved in the asset creation process.

What challenges have you faced so far in your career, and how did you overcome them?
When I first started out as a graphic designer, I quickly learned that it takes more than just talent to be successful in this field. To be successful, you need to have a clear vision for your work and be able to articulate that vision to clients and prospects.
At first, I struggled with this because I was afraid of being too forceful with my ideas. However, I soon realized that the best way to get clients on board with my vision is to be confident and clear about what I want to achieve.
Now, whenever you start a new project, make sure to take the time to really think about what the final product should look like. This will help to stay focused and avoid getting sidetracked by ideas that don’t align with the goal. As a result, you’ll produce much better work and attract more clients.
Are there any other areas of design that interest you and that you would like to explore further down the road?

As a graphic designer, I am always looking to explore new areas of design and push myself creatively. While I love the challenge of coming up with fresh concepts for branding and marketing campaigns, I am also interested in exploring more experimental forms of design.
For instance, I would love to experiment with design, motion graphics, or even installation art. I believe that diversifying my skills will make me a more well-rounded designer and ultimately help me to achieve my goals of becoming a creative director or working on high-profile projects.
So, while I am always open to new opportunities in graphic design, I am also excited to explore other areas of design down the road.

By using the active form of your sentences and by adding a definite timeframe, the checklist’s end-user is more likely to take action and complete the task.

Do You Have a Design Checklist?
While every project is unique, every project also has a set of things and processes that are always part of your workflow. That’s where having a good design checklist comes in. This guide can help you manage projects and workflow, delegate tasks among team members and ensure that everything is complete before a design project is handed over. A good design checklist can help keep you from going astray during a project.
You may need several types of checklists in your toolkit: project design (print or digital), planning, execution, and printing and delivery. These lists can have overlap or not and can serve as starting points for you to create a checklist tailored to your design work.
Why Do You Need a Checklist?

Part of a good designer workflow includes rhythm and order. A checklist can help you get there. It’s a good reminder of steps that need to be completed along the way, tool for delegation of tasks for team members and project map for meeting deadlines.
The checklist is a great starting point. I use them in a number of ways and while I have a go-to checklist for project planning and development, I actually created a customized checklist for each individual project. It always contains the following information:
- Project deliverables and scope
- Delivery deadlines
- Deadlines for calling others involved, such as printers etc.
- Additional costs – stock art, design add-ons, etc.
- Package files for the client
- Ongoing tasks – things that you will do after the project is complete
- Billing information and timeline for payment
That’s just my small list for essential elements that I want handy as I move through a design project. You might have others. Here are a few other types of design checklists to get you moving in that direction.
Client and Project Planning Checklist
Every project has to start somewhere. The planning phase can be one of the most important parts of getting started. To fully understand the scope of a project, clients wants and needs and to ensure success, you need to ask a few questions.
- What is the scope of the project? What parts and pieces will it include?
- Who is the intended audience?
- What are the deadlines?
- What parts of the current design (if it exists) do you like or want to keep?
- Is the content ready or will it need to be created?
The real goal here is to make sure you understand exactly what the client wants and needs. Is it a website design or full branding package? What are the deliverables? When do they want them? Getting these questions answered up front will make project development that much easier.
Designer Workflow Checklist

One of the best complete designer workflows out there comes courtesy of Claudio Guglieri, associated creative director at F-i. He put together a short list of 20 things that designers should know and do when starting a new project. While his list “The Design Workflow at a Digital Agency” is based on web design projects in an agency setting, the list applies to everyone working in a creative field. (You should also go read his complete thoughts about every step on this list.)
- Put your thoughts on paper.
- Start sketching a top-level framework.
- Add a grid to your working file.
- Choose your typography.
- Select a color theme.
- Divide the layout.
- Rethink the established.
- Challenge yourself.
- Pay attention to details.
- Treat every component as if it could be presented in a design contest.
- Sharpen your work.
- Tidy up your files.
- Design the best case scenario but prepare for the worst.
- Obsess over the design until you hate it.
- Avoid spending too much time on a concept before sharing it with a client.
- Be your developer’s best friend.
- Explain presentations like you are speaking to a four year old.
- Love each of your ideas but don’t get too attached to them.
- Track down your design during the development process.
- Show your work in progress.
Print Design Checklist

Anything project that will go to a printer has its own special set of needs. From the way you actually create the design, to getting it there on time to getting the file ready for print. This checklist can be broken into three parts – images, text and file prep.
- Is the resolution right for your printer? 72 dpi web images are not acceptable.
- Did you use vector images wherever possible?
- Have you adjusted color and brightness so the images will look right after printing?
- Did you size images so that they are in the range of 90 to 150 percent of actual print size at the proper resolution?
- Are black and white images saved as grayscale?
- Are images saved in CMYK mode?
- Do you have the proper rights to use all the images?
- Did you spellcheck everything?
- Did you doublecheck the spellings of all company names, logos and brand marks?
- Did you ensure that all special characters are rendering properly – em dashes, trademark and copyright marks, etc.?
- Did you check all spacing to remove double spaces or odd gaps between words or lines of text?
- Are all fonts linked to the design files?
- Is black text saved as one-color black, if necessary?
- Do you have the proper rights to use all typefaces in the project?
- Have you packaged all files for the printer – text, fonts, images and other links?
- Did you remove extraneous text, fonts and colors from the file?
- Are all images and other design elements linking properly?
- Is your file type what was requested by the printer?
- Did you create a package file that includes all of your parts?
- How should the file be delivered?
- When should you expect a proof?
Web Design Checklist

Web and digital design projects require a whole set of checklists of their won. These projects can be simple one-page plans to massive website overhauls or builds. This checklist includes some of the basic ideas that you need to communicate with your client about – content, functionality and performance. (You might also consider a checklist for items that you will work on that you don’t need client approval for.)
- Do you have all copy? Does every element include actual copy and not lorem ipsum?
- Did you spellcheck?
- Is all contact information correct?
- Are service and privacy terms clearly outlined?
- Do all images, videos or elements render and load properly?
- Is everything clearly readable? Think about size, contrast and font style.
- Did you remember to include a sitemap?
Functionality:
- Is the site responsive? Does it work on multiple devices?
- Is the site cross-browser compatible?
- Is there a favicon?
- Did you include social media sharing tools?
- Does the logo link to the homepage?
- Do 404 and redirect pages work?
- Did you check internal page links?
- Are user interface elements consistent in design and function?
Performance:
- Did you consider search engine optimization techniques (keywords, titles and descriptions, alt tags and URLs)?
- Does your site load fast enough?
- Do pages have security certificates (if needed)?)
- Do you have a backup system or plan if the site goes down?

The specific use case in mind when formulating this process was a company which required some visual promotional materials to represent their brand in an upcoming marketing push.
However, the checklist could alternatively be used as a UI checklist and could follow on from another design checklist of ours like the UX Design Process .

Mindmap the concept
Mind mapping is a useful technique for concepting and pulling together different ideas.
We can use the mindmap to identify different approaches and to locate themes . You can review the mind mapping process of The Graphic Design School in this article here . They discuss their process from jotting first ideas to formulating design materials, looking at each step and consideration along the way.
You can use the subchecklist provided to help inspire your mind mapping process.

Create initial mockups
Once you’ve formulated the ideas you’re going to explore, draft a series of potential directions the designs could take.
You can do this simply with sketches which will provide you with concepts to show the client without taking too much time.
Pick a few different versions to provide the client with options.
Use the file upload below to save a copy of these sketches to the checklist. Once this task has been checked, the next task (task #7) is an approval task , meaning the client will review and approve, reject, or reject the mockups with comments .
If they reject with comments, use the comments provided to create mockups more in line with their vision.
As you already noted the client’s email in task #2, they’ve been automatically assigned to all approval tasks due to role assignments .

Create your first draft designs
Once the client has approved the mockups, you can begin to formalize these ideas and professionalize them in your design software.
These will be your first drafts of the final product and should give the client an opportunity to pick the final concept.

Generate invoice
Congratulations on a successful design project.
The designer can use the Process Street invoice generator template to send their invoice to the client.
This invoice can be sent automatically from this checklist by clicking to complete the task.
You can use Zapier to connect this task in this template to your invoice so that you can automate the sending process.
In Zapier, select “Make a Zap” and search for Process Street. It will prompt you to create a trigger – select “New Task Checked”. It should then prompt you to connect your Process Street account to your Zapier one. You simply follow the link Settings & API tab of the organization manager on the pop-up.

Follow the steps provided by Zapier and it should connect the two accounts together. From here it will let you search for the template you want to run the Zap from, and choose the task you want to hook it up to.

After you’ve selected those options you can test that step and your trigger should be set.
Next, you can create the action to be initiated by your trigger. You can use a third party system like WebMerge or you can use Zapier’s built-in email service to generate HTML emails. Either of these solutions can be used to generate and send your invoice.

UX Project Checklist
We use Google Drive to create and save a file on your account so you will be able to open the same checklist on all your connected devices.
And guess what?! You can share it! Well, yeah is not a big deal, but it come for free, yes like everything else, what I mean is that we didn't had to do anything for that, right? So basically you connect with Google, we create the file, you go to your Google Drive folder, try to find the new file, I have no idea where it is or what the name will be, the guy who did this didn't tell us, once you've found the file share it with your friends. Done! When your friends connect their Google account they should see the same checklist status. Magic isn't it? No! That's technology fool!
Also, we will not use any of your data, we didn't have any kind of database or save something somewhere in any way, the file we create is yours and yours only and is the only thing we are able to do right now.

Graphic Design Checklist: 8 Steps to Become an Employable Graphic Designer
Newsflash! You don’t need a university degree to build an amazing career in design. In the design world, employability is all about your graphic design portfolio, your proficiency, your process and your persistence.

To get a job, graphic design graduates must …

1. Master industry-standard design software
It’s a no-brainer. Just like you can’t become a carpenter without a hammer, you can’t become a graphic designer without knowing the software. As Brian Young, recruiter at Creative Circle in New York City explains, “the designer must have a mastery of the essential design programs.”
At Shillington, we teach full-time students and part-time students the industry-standard design software Adobe Suite: InDesign , Illustrator and Photoshop . Plus, to support the digital design components of our curriculum, we recently introduced Sketch App , a prototyping software that’s fast-becoming the industry standard. We start from square one with step-by-step software demonstrations—sharing best practices and helpful shortcuts—and teachers are always available for one-on-one technical guidance. But as professional designers know, you only master the design software by spending hours and hours working, experimenting and gaining efficiency. That’s why at Shillington, we jump into real-world briefs quickly so students can see the software in action and learn “on the job”. Just like the real world.
Shillington graduate Pete Conforto shares: “My first design team was shocked that I walked in the door knowing Sketch.”
I was only a junior, with no experience before three months at Shillington, but ended up training some of my colleagues on the most current industry software.
2. Have a graphic design portfolio and online presence
You won’t establish a career in design without showing what you can do. And the best way to do this? A graphic design portfolio with varied projects and styles. Design graduates must have something to present at interviews and impress potential employers.
In both Shillington’s three month full-time and nine month part-time course, we make sure students graduate with a physical portfolio (print or iPad), giving them the best possible chance of employment as a graphic designer. We make sure all Shillington graduates create design portfolios with a wide variety of projects including digital, print, packaging, UX/UI, branding, campaigns and more. 3. Meet tight deadlines
This is a big one. Most designers would love the luxury of spending weeks and months on projects, but the reality is—most clients need work done as soon as possible, if not yesterday.
Design graduates must have experience working quickly and meeting tight deadlines.
Andrew Shillington knew this when he founded our school back in 1997, and it’s a mission we’ve stuck to for the past 20 years. Our classroom is fast-paced and mimics a real studio environment. Students are given real-world briefs and expected to turn around a product in anywhere from two hours to two days. Just like the real world.
Evie Darroux, recruiter at Creative Recruitment , knows this is Shillington’s greatest asset. “In my opinion, Shillington prepares their students for real life in the design world. It gives them a sense of deadlines and how the briefing/creative process really works.”
Reliability is key. Employers and clients don’t just want talent. They want to work with someone they can count on. Design graduates must be reliable and consistent, manage client needs and prove trustworthiness. It’s a sure road to getting hired for design jobs, locking in long-term freelance projects and improving your client referral rate.

4. Think creatively to solve client briefs and problems
At Shillington, we believe in the power of design thinking and creative process. Why? Because in addition to the aesthetic aspects of design, it’s important for graphic design graduates to master problem-solving and presentation. You have to think logistically to not only produce something brilliant, but also work out how the pieces fit together and turn ideas into a finished product.
Phil Cookson, recruiter at Creative Resource explains how creative thinking helps applicants get a step ahead in the job hunt. “I like to see some process in the portfolios, they shouldn’t be afraid to show some initial sketches and how they have journeyed from their starting point to finished design.”
When Shillington students put together their graphic design portfolios, our teachers make sure they’re not just dropping in pretty pictures. Each project must have an idea, a story, and reasonings behind it. We champion substance, and find the best graphic design portfolios clearly show creative process through ideation like mind maps, word association and thumbnailing.
How do we ensure this?
At Shillington, students don’t work on a project independently, submit it for a grade, cross their fingers and wait. Because that’s not how it works in the real world!

5. Be confident to pitch themselves and their work
So, amazing portfolio = amazing job? Not necessarily. Even if you have the best portfolio around, you won’t land a career in design without successfully presenting your work and creative approach verbally in an interview.
Joe Cooper, recruiter at Represent says it best: “Designers need to really consider the mental points to tick off as they’re explaining each project, starting with helping someone understand the brief, challenges, considerations made and ultimately the final outcome. They should also go into the smaller details where necessary on each project too; why they chose a particular font, colour palette, etc.”
Beyond the work you visually showcase in your design portfolio, it’s important that design graduates know how to present their process and approach verbally in an interview.
Evie Darroux, recruiter at Creative Recruitment was impressed with how Shillington students came across during portfolio reviews: “All the students were prepared and very articulate when presenting their work. They presented their work like telling a story, explaining where their research and inspiration came from. Some students included their rough sketches, ‘scamp ideas’, which I believe is an important part of the process. The final executions were polished and demonstrated good technical skills also.”
And design graduates must always be ready to discuss their work and approach—not just in an interview. Why? Because designers can connect with new clients or potential employers in lots of different work and social situations, so know your stuff and sell yourself! Brian Young, recruiter at Creative Circle suggests: “Practice your elevator pitch. Be able to talk fluently about your work and know who you are and what you’re capable of—design wise.”

6. See a brief through from concept to finished art
Graphic designers need to think creatively, but they also need to execute—delivering technically-sound files and materials for print, digital or physical production. At Shillington, we’ve crafted our curriculum over the past 20 years, reviewing and improving at least once a year to make sure our students have the necessary technical skills and production knowledge to work professionally as graphic designers. Design graduates must have the expertise to see a project through from start to finish.

This guide can help you manage projects and workflow, delegate tasks among team members and ensure that everything is complete before a design project is handed over. A good design checklist can help keep you from going astray during a project.
You may need several types of checklists in your toolkit: project design (print or digital), planning, execution, and printing and delivery. These lists can have overlap or not and can serve as starting points for you to create a checklist tailored to your design work.

Why Do You Need a Checklist?

Part of a good designer workflow includes rhythm and order. A checklist can help you get there. It’s a good reminder of steps that need to be completed along the way, tool for delegation of tasks for team members and project map for meeting deadlines.
The checklist is a great starting point. I use them in a number of ways and while I have a go-to checklist for project planning and development, I actually created a customized checklist for each individual project. It always contains the following information:
- Project deliverables and scope
- Delivery deadlines
- Deadlines for calling others involved, such as printers etc.
- Additional costs – stock art, design add-ons, etc.
- Package files for the client
- Ongoing tasks – things that you will do after the project is complete
- Billing information and timeline for payment
That’s just my small list for essential elements that I want handy as I move through a design project. You might have others. Here are a few other types of design checklists to get you moving in that direction.
Client and Project Planning Checklist
Every project has to start somewhere. The planning phase can be one of the most important parts of getting started. To fully understand the scope of a project, clients wants and needs and to ensure success, you need to ask a few questions.
- What is the scope of the project? What parts and pieces will it include?
- Who is the intended audience?
- What parts of the current design (if it exists) do you like or want to keep?
- Is the content ready or will it need to be created?
The real goal here is to make sure you understand exactly what the client wants and needs. Is it a website design or full branding package? What are the deliverables? When do they want them? Getting these questions answered up front will make project development that much easier.
Designer Workflow Checklist

One of the best complete designer workflows out there comes courtesy of Claudio Guglieri, associated creative director at F-i. He put together a short list of 20 things that designers should know and do when starting a new project. While his list “The Design Workflow at a Digital Agency” is based on web design projects in an agency setting, the list applies to everyone working in a creative field. (You should also go read his complete thoughts about every step on this list.)
- Put your thoughts on paper.
- Start sketching a top-level framework.
- Add a grid to your working file.
- Choose your typography.
- Select a color theme.
- Divide the layout.
- Rethink the established.
- Challenge yourself.
- Pay attention to details.
- Treat every component as if it could be presented in a design contest.
- Sharpen your work.
- Tidy up your files.
- Design the best case scenario but prepare for the worst.
- Obsess over the design until you hate it.
- Avoid spending too much time on a concept before sharing it with a client.
- Be your developer’s best friend.
- Explain presentations like you are speaking to a four year old.
- Love each of your ideas but don’t get too attached to them.
- Track down your design during the development process.
- Show your work in progress.
Print Design Checklist

Anything project that will go to a printer has its own special set of needs. From the way you actually create the design, to getting it there on time to getting the file ready for print. This checklist can be broken into three parts – images, text and file prep.
- Is the resolution right for your printer? 72 dpi web images are not acceptable.
- Did you use vector images wherever possible?
- Have you adjusted color and brightness so the images will look right after printing?
- Did you size images so that they are in the range of 90 to 150 percent of actual print size at the proper resolution?
- Are black and white images saved as grayscale?
- Are images saved in CMYK mode?
- Do you have the proper rights to use all the images?
- Did you doublecheck the spellings of all company names, logos and brand marks?
- Did you ensure that all special characters are rendering properly – em dashes, trademark and copyright marks, etc.?
- Did you check all spacing to remove double spaces or odd gaps between words or lines of text?
- Are all fonts linked to the design files?
- Is black text saved as one-color black, if necessary?
- Do you have the proper rights to use all typefaces in the project?
- Have you packaged all files for the printer – text, fonts, images and other links?
- Did you remove extraneous text, fonts and colors from the file?
- Are all images and other design elements linking properly?
- Is your file type what was requested by the printer?
- Did you create a package file that includes all of your parts?
- How should the file be delivered?
- When should you expect a proof?
Web Design Checklist

Web and digital design projects require a whole set of checklists of their won. These projects can be simple one-page plans to massive website overhauls or builds. This checklist includes some of the basic ideas that you need to communicate with your client about – content, functionality and performance. (You might also consider a checklist for items that you will work on that you don’t need client approval for.)
- Do you have all copy? Does every element include actual copy and not lorem ipsum?
- Did you spellcheck?
- Is all contact information correct?
- Are service and privacy terms clearly outlined?
- Do all images, videos or elements render and load properly?
- Is everything clearly readable? Think about size, contrast and font style.
- Did you remember to include a sitemap?
Functionality:
- Is the site responsive? Does it work on multiple devices?
- Is the site cross-browser compatible?
- Is there a favicon?
- Did you include social media sharing tools?
- Does the logo link to the homepage?
- Do 404 and redirect pages work?
- Did you check internal page links?
- Are user interface elements consistent in design and function?
Performance:
- Did you consider search engine optimization techniques (keywords, titles and descriptions, alt tags and URLs)?
- Does your site load fast enough?
- Do pages have security certificates (if needed)?)
- Do you have a backup system or plan if the site goes down?

Preparation is key to successful management of any project, and design projects are no different. The more preparation that both client and designer do right at the start, the more smoothly the work will go.
I find checklists can be very useful, so I’ve prepared a checklist of details that clients should provide their designer at the outset. To follow this list will ensure the client and designer are dealing professionally as well as creating an efficient workflow.
Knowing the client’s budget allows the designer to establish what they will be able to realistically achieve for the money, and to perhaps suggest a range of options.
A complete list of the client’s design requirements
The client must make clear at the beginning just how much design work they will require, e.g. layout for a business card, letterhead and envelopes OR logo design plus web design plus email marketing template. Occasionally unexpected new design needs emerge for the client when a job is well underway, but any “extras” which are requested after work has commenced will involve more time and money, and should be bound by a new contract.
I once had a prospective client say “We don’t know yet how many layouts we want, so can you just give us a rough quote estimate in the meantime?” How can a designer quote on an unknown quantity or scale of work? That would be like asking an architect to quote for designing your house but not telling him how many rooms you want. It’s impossible.
A clear outline of why the design work is necessary and what the client expects to achieve
Whether it’s a print campaign, posters for a conference stall or a multimedia presentation, every design job involves a goal to be fulfilled. It’s good for the client to think through precisely what that goal is when preparing to meet with the designer. Equally, it’s important for the designer to ask questions about the client’s objectives, because the designer’s job is primarily about meeting the client’s needs.
An outline of who the target market or audience is for the design work
This is very important information which will guide a designer in all aspects of the work they do. An advertisement or poster aimed at teenage boys will look vastly different to one designed to catch the attention of their parents. Look at a well-designed promotional campaign and you will easily be able to tell who it has been designed for. A client who has a detailed understanding of their target market will get the design which best suits their needs.
Even if the work isn’t urgent, a deadline is important for effective time management. Unless the scale of the design work is small, it may be useful for the client and the designer to negotiate a series of deadlines for stages of work.
High quality images
If the client has an existing logo to be used in the design work, it should be provided in vector format. The most common vector formats are Postscript (.eps) and Illustrator (.ai). A vector format allows the logo to be made bigger or smaller without losing image quality and clarity. A .jpg file is not a vector format and may not represent a client’s logo at its best, depending on its size.
Any photographs provided by the client should have a high resolution. The best resolution for photographs is 300dpi (dots per inch). I always recommend this to my clients even if the photographs will go on the web. Although the final photo will be published on the web at the lower resolution of 72dpi, I prefer a higher resolution to begin with. This enables me to better optimise any photographs (where necessary) and there is greater scope for resizing.
Images and text in their final form
Any text, photographs, illustrations or other material provided by the client should be given to the designer before work commences. It can be a drain on time and resources if a designer is left waiting for these things halfway through a project. All materials provided by the client should be in their final form with no future revisions necessary. Any changes which have to be made after the design work has been done will cost time and money.
Ownership info for third party images and text
When the client is providing images or text sourced from someone else, it’s crucial to also provide information on the legal permissions which have been obtained for the use of the material (if any are required). If attribution is required, the details should be provided to the designer before any work commences. This also applies for any other material (e.g. music or video) obtained from a third party.
Samples of previous design work (where applicable)
If a client has a seasonal marketing campaign, or their corporate identity needs to be revised, it will help to provide past design samples to the current designer. It’s useful to discuss what worked or didn’t work for the client last time, particularly in terms of customer/audience response or the direction which the client and/or their organisation wishes to take in future.
This may seem like an extensive list but all of the above can easily be covered during the first meeting to discuss the design brief.

I have run into a lot of problems that this article deals with, especially with images, also the part about showing samples to the designers of what has or has not worked. It’s very hard to work with designers unless they understand what is involved, so communication is key.

I agree with your blog and in fact we have the same strategies applied. Planning and designing goes hand-in-hand to develop a one of a kind project. It’s worthy to finance expensive project which was studied and planned well.
Unfortunatelly, budget is the hardest to get out of the lips of a client. On the other hand it is really one of the most curicial. We always tell our clients the same example:
You know your budget when you want to buy a car, you do your research based on that; you listen to the salesman’s offerings based on your budget and eventually you buy the best car for your money.
If you want a Ferrari and only have $10.000 budget then you have only few options as a customer; you either give the money and never get the car, or you’ll get a stolen or crashed one.

Saying “The best resolution for photographs is 300dpi” is nonsensical unless you say at what size it is to be reproduced. 300dpi at A5 is a much larger file than 300dpi at 3 inches square.

You’re right that the dimensions must be discussed with your client ahead of time. Whether you’re working at A5 or A2, it’s still best to get photographs at a high resolution.
Hi Tracey, high resolution yes. Everything depends on this. It’s the resolution that defines at what size an image can be printed at what dpi. But dpi does not equate to resolution.
eg, to print A4 at 300dpi an image (uncompressed) needs to be 25mb in size or 2480px x 3508px.
Printing A6 at 300dpi needs a 6mb file, 1240px x 1748px.
So I stick to my “best resolution for photographs is 300dpi is nonsensical” statement. Client should be told to give images of at least xy resolution, depending on the job.

I had a recent client who wanted me to make up mockups of every single page of the site before building it, and that was waaaaay too time consuming. I managed to talk them into seeing some sample pages and common templates, but that I really need those site categories and subcategories given to me so that I don’t have feature creep. Unfortunately, I had feature creep and it cost me 2 weeks of doing free work for the client. They were a valuable client to me in the long run, so I put up with it.
Another thing is to understand which images they want modified such that backgrounds are cut out, or backgrounds out + stuck on a new background (like a gradient). I had no idea they would want me to chop out backgrounds on 70 images until the contract was already signed off. What a time consumer.
