How to Send a Letter to a Governor

Shala munroe, 29 sep 2017.

Whether your letter is hand-written or typed, make the words your own and avoid form letters.

Taking the time to craft a letter to your governor helps focus some of his attention on your cause, but you must use formal titles when addressing the letter and get quickly to the point without too much fluff. Keeping the letter respectful from the address on the envelope to the signature line makes it more likely to spark a response from the governor or someone in his office.

1 Addressing the Letter

Any letter sent to the governor should acknowledge her position from the beginning. On the envelope and at the start of the letter, use "The Honorable" followed by the governor's first and last name. The second line should read "Governor of" and the state name. Then add more lines for the official mailing address, typically found on the "Contact" page of the governor's office website. Check the spelling of the governor's name on the contact page as well, or call the governor's office and ask the receptionist for the proper spelling and address.

For the salutation line, write "Dear Governor" followed by the governor's last name . Begin your letter after the salutation.

2 Structuring the Letter

It's unlikely your letter reaches the governor initially. Instead, someone in his office probably reads incoming mail and makes notes. Whether the governor or an aide opens your letter, getting to the point immediately in the correspondence shows respect for the person's time and gives your letter a better chance of getting attention.

Use the first sentence to explain why you're writing, such as asking support for a bill or explaining how a recent decision negatively affected you . Explain your position using statistics or specific examples when possible, staying concise and on point while remaining respectful.

Use bullet points when possible to make the letter easier to read, and clearly state what action you would like the governor to take on your behalf, such as requesting that he sign a specific bill into law.

3 Ending the Letter

Always thank the governor for his time as you end the letter and offer to help his office regarding the issue. Condense the main point of the letter -- such as your requested action -- in one sentence to ensure it doesn't get lost in the body of the letter. Sign the letter with the formal "Sincerely" followed by your full name a few lines down. Leave three to four lines before you print your name to make room for your signature. Sign the letter in blue or black ink.

Include your address and email address, especially if you are writing to the governor of your home state. Voters' concerns always carry more weight.

4 Sending Email

Before you send a letter to the governor, check the contact page of her website. Many include a link to send an email, as well as links for specific requests such as invitations for the governor to speak at events. If the contact page includes an email address, the governor's staff might prefer that you send your letter -- still written in a formal style -- by email instead of regular mail. If you're unsure of the best way to send the letter, call the governor's office and ask which way is preferable.

However, perhaps such use is perhaps waning?  Spokespersons in the offices of the current gubernatorial administrations in New Hampshire and South Carolina state the Honorable is now equally acceptable. How to Address a Former Governor?

How would I address a former governor on a mailing envelope and in the salutation? ——————– – Sharon

Dear Sharon, How to Address a U.S. Governor

—- Envelope, official: —- —- The Honorable —- —- (Full Name) —- —- (Address)

—- —- Or (a bit less formally – all on one line) : —- —- —- The Honorable   (Full Name) —- —- —- (Address)

—- Letter salutation: —- —- Dear Mr./Ms./etc. * (Surname):

—- —- * Use the honorific to which the former office holder was entitled to – prior to taking office.

Former governors continue to be addressed in writing as the Honorable’ (Full Name). The rule is ‘once an honorable, always an honorable’ (more or less). [For more on the use of the Honorable follow the link in the list at right.]

But in spite of what you hear in the media, only a current governor is formally addressed in conversation or in a salutation as Governor (Name). In conversation or in a salutation, former governors go back to whatever form of address they used they were before they were the governor.

Here’s the rule: Offices of which many people hold the same office at the same time … senators, judges, doctors, Navy captains … continue to be addressed using the honorific used while they were in office. There was never a time a senator, judge, doctor or captain was the only one holding that job.

But offices which are held by a single person at a time … the president, the vice president, the governor of (state), the mayor of (city) … any office you can put a the   in front of … formally goes back to the form of address to which they were entitled before they assumed office. At any one time there is only one person holding that job.

Forms of address – like elevated precedence, the corner office and the good parking place – are courtesies of the office  and are granted to the current office holder. They are not courtesies that once attained – become the property of former office holders.

You will hear in the media such officials informally referred to as Governor (Name). It’s not the form one would use in writing on a letter.

They are not the governor anymore.

– Robert Hickey

How to Address a Former Governor in Conversation?

I read a story recently which said that the organizers of a former governor’s book tour have asked the public to address her as Governor (Surname) at her book signings. Is that proper? ——————– – Michael Perry

Dear Mr. Perry: It’s not correct. Officially she is addressed as Ms./Ms./Mrs./Dr./etc. (Surname) … or whatever honorific to which he/she was entitled to before being governor.

Here is the tradition behind this: Jobs of which there is only one office holder at a time … Governor of a state Mayor of city, President, Vice President of the US, Speaker of the House of Representatives …. do not continue to be directly addressed in writing or conversation by their former ‘office’ because it is not respectful to the current office holder and confusing to those in the (organization/state/whatever) as to who is currently in charge.

Jobs of which many hold the same office/rank at the same time DO continue to be addressed by their former honorific … Senator, Judge, Captain, Admiral, General, Professor …. after leaving their position.

Having worked with many ‘formers’ I find they know their correct honorific. But the handlers may not know what’s correct -or- encourage the reference to their boss’s former position to curry favors – which I suspect is the case here.

Forms of Address: How a conversation begins can have a huge impact on how the conversation - even the entire relationship - develops.

How to Address a Governor-elect?

How do I address a governor-elect? ———————– – G. P.

Dear G.P.: In the USA the rule is – once elected in a general election, one is immediately addressed in writing on the letter’s address block, on an envelope, or in a complete introduction as:

—- —- The Honorable (Full Name)

Reason? One is entitled to be addressed as ‘the Honorable’ once one has been elected in a general election.

But in the salutation or in conversation use … —- —- Dear Mr./Ms./Dr./etc. (Surname):

—- —- … or whatever honorific to which he or she is entitled to – prior to the election.

Use of ‘Governor (Name)’ is reserved until he or she has taken their oath. If a governor-elect had been a private citizen he or she would continue to be addressed in a salutation or conversation as ‘Mr./Ms./Dr./etc. (Name)’ until he or she is sworn into the new office.

You will hear in the media such officials referred to as “Governor-elect (Name)”. But that is a reporter referring to a citizen in a news story as ‘according to Arlington County Football Coach Jim Smith, this year’s team…’ It’s not the form one would use in writing in a letter.

Think of Governor-elect  an adjective which describes his or her status and is used for an identification – not as a form of address.

How to Address an Acting Governor?

How do you introduce a Lieutenant Governor  when he or she is – at that moment – the Acting Governor? Is he or she addressed in conversation or introduced as Acting Governor (Name)? ——————– – FG

Hi FG: Identify the person as the acting governor, but the term is not used in oral address as in Acting Governor (Surname).

An acting governor is not formally addressed orally as Governor (Name) either: He or she is not actually The Governor.

Orally address an acting governor with the honorific to which her or she is entitled – based on the office he or she actually holds.   E.g. a lieutenant governor might be the one serving as the acting governor.   Mr./Ms. (Name)  is the typical honorific used with addressing a lieutenant governor.

While he or she is not directly addressed in conversation as Acting Governor (Surname)  one might refer to him or her as that in the third person, such as: … “ Acting Governor (Name)  will be arriving in 20 minutes.”

When formally introducing an acting governor say: May I present the Honorable (Full Name), Acting Governor of (Official Name of State).

When Should You Use the Forms on this Page?

You can use these forms of address for any mode of communication: addressing a letter, invitation, card or Email. (If there are differences between the official and social forms of address, I will have mentioned the different forms.)  The form noted in the salutation is the same form you say when you say their name in conversation or when you greet them. ___ What I don’t cover on this site are  many things I do cover in my book: all the rules of forms of address, about names, international titles, precedence, complimentary closes, details on invitations, place cards, all sorts of introductions , etc. I hope you’ll get a copy of the book if you’d like the further detail.

Writing a letter to a government official can be a great way to weigh in on what's going on in your nation, state, or locality. Search online for the official mailing address of the leader that you wish to contact. The proper addressing etiquette varies from official to official, so make sure to look up the standard for the specific person to whom you are sending the letter!

Things You Should Know

  • Address your letter with the official's title, full name, and address. Then, make sure to include your name and a stamp in left and right corners respectively.
  • Ask for something actionable and realistic. For example, ask them to raise the budget for your child's school.
  • Keep your letter formal and appropriate. Show this official respect and use a professional tone of voice.

Sample Letters

Addressing the Letter

Step 1 Learn the official's name.

  • If you’re in the US, you can find a comprehensive list of contact information for national, state, and local administrators at https://www.usa.gov/ .
  • If you’re not sure who to address, look for the address of the relevant department. For instance, you could write your local DMV office or the Department of Homeland Security.

Step 3 Address the letter...

Following Proper Etiquette

Step 1 Show due respect.

  • If writing to an embassy or ambassador, read How to Address Ambassadors .

application letter to governor

  • It never hurts to include the official's name, even if he or she is the only person holding the position. A personally-addressed letter lends a certain degree of humanity to your message.

Step 3 Read sample letters, or send a form letter.

  • If you’re unsure of what to write, try looking up a form letter and a clear subject line that gets your point across. Some elected officials receive hundreds of letters a day, and oftentimes don’t read them all closely.

Writing an Actionable Letter

Step 1 Ask for something doable.

  • Petitions and form letters are usually well-written and actionable. Make sure, however, that the demanded actions fall within the scope of this official's duties.

Step 2 Get your letter to the top of the stack.

  • The letters that wind up at the top of the stack will be readable, relevant, and easy for the official to understand.
  • Be sure to include your qualifications and explain why the official should listen to you. For example, if you’re a Ph.D., you live in the town that’s been in the news lately, or you recently met the official, they may take note of your opinion.

Step 3 Make sure that your letter is appropriate.

  • Do not threaten a government official. The letter can be traced back to you. Beyond any risk, your threats will not necessarily inspire productive action.

Consider the following guidelines when tailoring your cover letter for a government position:

Firstly, research the agency. Every government agency has a different set of mission values and current programs.

Aligning your mindset and goals with those of the agency in your cover letter will improve your chances of receiving an interview .

Refrain from targeting your cover letter towards any particular agency program unless the job listing specifies that’s what you’ll be working on.

Secondly, understand the entire job listing before applying. Missing even a single job requirement when applying for a government position can be disastrous.

Third off, be specific. Rather than vaguely describing your experience , make sure to use numbers and statistics to explain your achievements’ exact results.

Lastly, Be brief. Just as is the case in the private sector, hiring managers will spend very little time reading over your government job cover letter.

Use succinct wording and make sure only to include highly relevant experiences, or you’ll risk the recruiter skimming over key information.

If an individual referred you, either mention them briefly or attach an entirely separate reference letter .

What to include in your government job cover letter

Your cover letter should be composed of the following sections:

First, Header. You should start your cover letter for government job formally, with your contact information, the recipient’s information, and the current date.

Your information should include your name, contact number, and email address.

Second, Introduction. Make sure to address the hiring manager with their appropriate title.

If you’re unable to find the hiring manager’s name , then use a generic professional greeting such as “Dear Hiring Manager” or “Dear Sir or Madam.”

Professional experience. Give a brief overview of your qualifications, skills , and experiences as a professional.

Ensure that every item you mention directly addresses the essential requirements and duties stated in the job listing.

Finally, conclusion. Thank the reader of your government cover letter for their time and consideration and reiterate your interest in the position. Express your interest in a way that invites follow-up action on the part of the recruiter.

A government job cover letter example ending may look like the following,

“I would love to discuss with you further how my lengthy experience and abilities could add value to the projects your agency is working on, such as the “Housing For All Initiative.”

To help you see what your cover letter should look like, we’ve included a template and example letter for you to refer to.

Cover letter template for government jobs

Refrain from simply substituting your details directly into the following template.

Instead, observe how the cover letter is structured and incorporates critical elements. Use this knowledge to draft your own document.

It’s essential to tweak your cover letter before applying to a government job for a few key reasons:

Stringent minimum requirements. The requirements stated in job listings for private-sector jobs aren’t always absolute.

Recruiters are given the discretion to hire impressive candidates who can compensate for any requirements they miss.

Government jobs differ in this respect, as many criteria are set in stone. You need to emphasize that you meet these base requirements in your cover letter to ensure that your application isn’t automatically dismissed.

KSA keywords. When applying to a government job, applicant tracking software (ATS) will parse your application for the presence of certain knowledge, ability, and skill (KSA) keywords.

Importance of eligibility. Rules and algorithms tightly govern the hiring process for government positions.

Competition. Cover letters aren’t always required for government jobs. However, there are likely many candidates possessing similar qualifications or even internal references .

Not only does a cover letter allow you to expand on your qualifications and cite experiences to support them, but it also gives you a chance to align your values with those of the agency.

This personalized touch helps you stand out from the crowd .

Here are a few tips for making your cover letter really shine:

Show your enthusiasm. Hiring managers don’t just want to see how you’re qualified for the job, they want to see your passion for the position and company as well.

Match your cover letter and resume headers. This shows readers that your documents go together when they’re in a big stack of applications. It also looks professional and polished.

Include a call to action. Close your letter by explaining what you want to happen after the hiring manager reads your cover letter. This could be requesting to discuss the position further, offering to tell them more about your qualifications, or simply inviting them to contact you for more information.

Thank the reader. Add a sentence to your closing paragraph thanking the reader for their time. This ends the letter on a positive note and furthers the good rapport you’re building.

Proofread, proofread, proofread. Never submit a cover letter without checking it over for grammatical errors. If you can, have someone else look over your letter for typos or confusing sentences, but at the least, you should read it out loud to yourself and run it through a grammar check on your computer.

Why is a cover letter important when applying for a government job?

A cover letter for a government job serves as an introduction to your application, allowing you to highlight your qualifications, skills, and experiences that make you a suitable candidate. It offers a personalized touch, demonstrating your genuine interest in the role and organization, which can set you apart from other applicants.

How to Write a Formal Letter to the Government: Your Essential Guide for Effective Communication

Writing a formal letter to the government can often feel like navigating through an intimidating labyrinth. Understanding the correct format and tone, coupled with knowing precisely what to include, is crucial when it comes to communicating effectively with governmental entities. You’re not alone if you’ve ever felt unsure about how to proceed. We’ve got your back – this guide will walk you through the process step by step.

Imagine being able to draft a compelling letter that gets your point across clearly and respectfully. Knowing how to do this can make all the difference when addressing issues that matter most to you. Whether it’s voicing concerns about local policies, seeking assistance for a community project, or simply making an inquiry, mastering the art of writing a formal government letter is a skill worth honing.

Remember, each word in your letter counts. It’s vital that every sentence succinctly communicates your message while remaining courteous and professional throughout. With careful crafting and attention to detail, you’ll be on your way toward creating impactful correspondence before you know it!

Understanding the Purpose of Your Letter

You’ve decided to write a formal letter to the government. That’s great! But before you put pen to paper, it’s essential that you understand why you’re writing your letter in the first place. The purpose of your letter will guide its tone, content, and structure.

Ask yourself: What is the core message I want to convey? Perhaps you’re voicing concerns about a local issue affecting your community or advocating for policy changes on a national scale. Whatever it is, defining this objective early on will give your letter direction.

Your purpose isn’t just about what message you want to relay; it also considers who’ll receive your words . Are you addressing an elected official like a senator or representative? Maybe the recipient is a government agency responsible for handling specific issues.

Here are some common purposes when writing formal letters to the government:

  • Requesting action or change
  • Expressing opinions on legislation
  • Highlighting societal issues
  • Seeking assistance with personal matters

Now that we’ve clarified these points, let’s delve into how they shape your approach:

  • Requesting Action/Change : You’re dissatisfied with existing conditions and desire alterations. Here, focus on articulating what needs changing and why.
  • Expressing Opinions : There’s pending legislation that either excites or disturbs you – make sure they know! Use facts/data supporting your stance.
  • Highlighting Issues : Perhaps there’s an overlooked problem – bring awareness by detailing its impact.
  • Seeking Assistance : If seeking help (e.g., immigration paperwork), maintain a respectful tone while explaining precisely what support is needed.

In conclusion, knowing why you’re writing will help tailor not only what gets said but also how it’s expressed – making for an impactful communication piece that resonates with its intended recipient(s). So before anything else, take time clarifying the purpose of your letter—it’ll pay dividends in clarity and effectiveness later!

Knowing Your Government Official

Before you even pick up your pen or start typing, it’s crucial to know who your government official is. Understanding their role , responsibilities, and areas of influence can help you tailor your letter effectively.

To kick things off, do some research online. Use reliable sources like the official’s website or trusted news outlets. Look for their current position, previous roles, key accomplishments, and any particular issues they’ve championed. This information will not only guide you in addressing them correctly but also give you insights on how best to present your concerns or requests.

Next up, note down their formal title and correct spelling of their name – a mistake here could be costly! Here are a few examples:

Remember, addressing them by a wrong title or misspelling their name might signal disrespect or carelessness.

Now that you’ve done some digging into the background of your government official:

  • Understand what they stand for
  • Know which committees they sit on
  • Find out about laws they’ve passed

These facts could be relevant in crafting a persuasive argument within your letter. For example, if writing to a senator passionate about environmental issues – make sure to highlight this angle if it aligns with your concern.

Lastly: don’t forget social media platforms! They’re often goldmines of information where officials share views on various topics.

So there you have it – by knowing who holds the reins in the office and understanding their priorities and passions; you’re better equipped to write an impactful formal letter to the government!

Setting Up the Formal Letter Format

Crafting a formal letter to the government requires specific attention to format. You need to ensure you’re following all necessary guidelines, making your message clear and professional.

Begin with your name and address at the top left corner of the page. It’s important because it allows the recipient to know who’s writing and where they can send a response.

Directly under your address, write down the date . This is crucial as it helps keep track of when your letter was sent.

Next up is including the recipient’s name and address . Look for a specific person or department within the government body you’re addressing if possible. If not, using “To whom it may concern” is acceptable but less personal.

Now, let’s consider some further elements:

  • The Subject Line : This should be brief yet descriptive, summarizing what your letter entails.
  • The Salutation : Opt for “Dear [Recipient’s Name]” if known or “Dear Sir/Madam” otherwise.
  • The Body : Keep paragraphs short, language formal, and points concise.
  • The Closing Statement : Here you’ll wrap things up politely before signing off – “Yours sincerely” works great here!

Remember, each paragraph in the body addresses one point or argument. Clarity is key; don’t ramble! A well-formatted letter promotes readability while showing respect towards your recipient’s time.

Lastly comes your signature, either handwritten (if sending physically) or digital (for email). Include your typed full name beneath this too!

The table below provides an overview:

By adhering strictly to these guidelines on setting up a formal letter format, you’re ensuring that your correspondence maintains professionalism – increasing its chances of being taken seriously!

Crafting a Clear, Concise Introduction

The first step in your formal letter to the government is crafting a clear and concise introduction. It’s critical to set the tone right from the start. You’re not writing to just anyone; this is a message intended for an official body. Your opening should reflect that level of seriousness.

Let’s break it down.

Firstly, you’ll want to establish who you are. This isn’t simply stating your name, but also your role or why you’re relevant in this context. Are you writing on behalf of an organization? Do you hold a specific position within your community? Make sure to mention it here.

For example:

“My name is John Smith, and I am the chairperson of XYZ Neighborhood Association.”

Next up: identifying why you’re writing this letter. You need to be explicit about your purpose straight away so that government officials can grasp what they’re dealing with at once.

Here’s how it might look:

“I’m reaching out today because I believe our community faces significant challenges due to inadequate public transportation services…”

Remember, clarity and brevity are paramount here! We don’t need every detail yet – just a snapshot of what’s going on and why it matters.

Finally, indicate who the letter is meant for if possible:

“This letter is addressed towards Senator Jane Doe…”

A quick review:

  • Who are you?
  • Why are you writing?
  • Who is this for specifically (if applicable)?

Keep these questions front-and-center when creating your introduction. That way, each word serves a purpose and gets us closer to understanding – without any fluff or confusion!

Now that we’ve covered introductions let’s move forward together into body paragraphs in our next section: Delving Deeper: Developing Body Paragraphs . Stay tuned!

Stating Your Case: The Body of Your Letter

When it comes to the body of your letter, it’s where you’ll lay out your case in a clear and concise manner. Remember , this isn’t the place for overly complex language or industry jargon.

Start by providing context for why you’re writing the letter. You’ve got a reason, a purpose. So, ensure that’s communicated effectively from the start.

Perhaps , you’re addressing a local issue that needs attention. Or maybe, there’s new legislation being considered that affects you personally or professionally.

Whatever your reason is, make sure it’s clearly conveyed. Here are some tips on how to do just that:

  • Use short sentences and simple words.
  • Stay focused on your main point.
  • Keep paragraphs brief (four or five sentences at most).
  • Avoid using slang, abbreviations or acronyms without explaining what they mean first.

Once you’ve stated your reason for writing, it’s time to present your argument or request.

At this point, it could be beneficial to use numbers or data if they support your case. If so, arrange them in a markdown table like so:

Finally remember: Your goal is not only to state facts but also persuade . You want whoever reads your letter – be it an official or government worker – to take action based on what you’ve written.

So don’t forget – while stating facts and presenting data is important; illustrating why these points matter will truly set apart your formal government letter from others they may receive!

Making a Concrete Proposal or Request

Let’s dive into the heart of your letter – making a concrete proposal or request. You’ve got your introductory formalities out of the way, now it’s time to make your voice heard!

Start by clearly stating what you’re seeking from the government entity. Be specific and concise about your request or proposal. Avoid throwing around big words or jargon that might confuse the recipient. Stick to simple language that clearly communicates your point.

For instance, if you’re writing to propose a change in legislation, keep it straightforward:

“I am writing to propose amendments to Bill XYZ.”

Next up is providing evidence for why your request or proposal should be considered seriously. This is where you can include data, statistics, and other forms of proof to back up your stance.

Here are some handy tips for presenting data:

  • Use bullet points for listing multiple pieces of information.
  • Create markdown tables when showcasing comparative data.
  • Bold important facts and figures.
  • CAPITALIZE very important terms but use this sparingly.

“From this data, it’s evident that incidents have increased by 50% in just one year.”

Remember though, while it’s essential to provide supporting evidence, don’t overload with information. Keep things precise yet compelling.

Lastly, pinpoint how addressing your proposal will benefit others too – not just yourself. Show them the bigger picture; after all, the government serves the public interest at large.

“Together with my fellow citizens who’ve signed this petition (attached), I believe these changes will result in safer neighborhoods for everyone.”

So there you have it! By keeping these guidelines in mind while penning down your formal letter to the government agency, you’ll ensure that not only is your message clear and well-supported but also holds enough weightage to prompt action on their part.

Exhibiting Professionalism in Closing Remarks

When closing your formal letter to the government, it’s crucial to maintain the same level of professionalism that you’ve exhibited throughout. Remember, your closing remarks are just as important as your opening ones. They provide a final impression and can often be what stays with the recipient long after reading.

You’ll want to keep it respectful . This isn’t just about choosing polite language; it extends to acknowledging the reader’s position and appreciating their time taken to read your letter. A simple “Thank you for considering my request” or “I appreciate your attention to this matter” goes a long way in demonstrating respect.

Next up, remember that brevity is key while wrapping things up. It’s easy for messages to get lost in overly lengthy paragraphs, so keep sentences short and succinct. The goal here? To make sure your point resonates with clarity.

While you might be tempted to reiterate all points made earlier in the letter, refrain from doing so extensively. Instead, focus on summarizing the most critical aspects of your message or any actionable steps required by the reader.

Here are some phrases that could lend credibility and weight:

  • “I look forward to hearing from you.”
  • “Your assistance in this matter is greatly appreciated.”
  • “Please don’t hesitate if further information is needed.”

Lastly, sign off professionally using closures like ‘Sincerely,’ ‘Respectfully,’ or ‘Best Regards.’ Ensure there’s space for your signature after this closure—this adds an extra layer of authenticity and formality.

In summary:

  • Keep respectful.
  • Be brief but clear.
  • Summarize main points.
  • Use professional phrases.
  • Sign off appropriately.

By following these guidelines, you’ll ensure that even as you conclude, your letter maintains its strong professional tone , leaving an impactful lasting impression on its readership within government circles.

Proofreading and Editing for Clarity and Correctness

Now that you’ve written your formal letter to the government, it’s time to take a step back and do some necessary proofreading and editing. This process isn’t just about catching spelling or grammatical errors — it’s also about ensuring that your message is clear, precise, and potent.

Firstly, read your letter out loud . You’ll find this technique incredibly effective for identifying awkward phrasing or convoluted sentences. If a sentence feels like a mouthful when you say it aloud, chances are it needs simplification.

Next up in your checklist should be checking for clarity . Ensure that every point made in your letter is crystal clear, leaving no room for misinterpretation. Remember: Your reader can’t ask questions for clarification like they could in conversation, so you’ve got to get it right the first time.

Let’s not forget about checking for correctness :

Use language tools available online but don’t rely on them solely. They’re not infallible – human review is still indispensable.

Lastly, consider asking someone else to read through your letter – a fresh set of eyes can often catch mistakes or unclear points you might have missed.

Here are some bullet points summarizing what we’ve covered:

  • Read the letter aloud.
  • Check each point for clarity.
  • Review spelling, grammar and punctuation.
  • Get a second opinion if possible.

By giving ample time to proofreading and editing, you’re showing respect towards the recipient of your letter (the government), while also increasing the likelihood of achieving whatever goal prompted you to write in the first place. It’s worth taking these steps seriously – remember how important this communication could be!

Sending Your Formal Letter: Post or Email?

When it comes to sending your formal letter to the government, you might be wondering whether to use traditional post or email. Both methods have their pros and cons. It’s crucial to understand these factors so you can make the right choice.

Traditional mail , also known as snail mail, has long been the standard method for official communications such as a formal letter to the government. It’s seen as reliable and official, often giving your correspondence an added gravitas that could help get your message across. However, this method is not without its drawbacks:

  • Delivery time: Traditional mail takes longer than email – sometimes several days.
  • Cost: You’ll need stamps and possibly stationery items, which adds up.
  • Physical effort: Writing/printing out the letter, sealing it in an envelope, then taking it to a mailbox or post office requires more effort than simply clicking ‘send’.

On the other hand, email offers speed and convenience. Government offices are increasingly accepting emails for formal communication making this a viable option. Key advantages of using email include:

  • Speedy delivery: An email arrives almost instantly.
  • Low cost: No stamps or envelopes required.
  • Convenience: You can send an email from anywhere with internet access.

However, keep in mind:

  • Perceived formality: Emails may not be viewed as formally as letters sent by post.
  • Security concerns: Although rare, there’s always a risk of hacking or phishing attacks.

To decide between post and email , consider these points:

Remember that each situation is different – what works best depends on your specific needs and circumstances. Whether you choose traditional post or modern email for sending your formal letter to the government – just make sure it’s well-crafted and professional!

Conclusion: Ensuring Successful Communication

So, you’ve made it to the end of your journey on how to write a formal letter to the government. Let’s recap and make sure you’re set up for success.

Firstly, always remember that clarity is key. You need to ensure your message gets across in a concise and clear manner. Avoid using jargon or complex language that could confuse the reader.

Next, focus on being respectful and professional throughout your letter. Remember you’re addressing government officials who deserve your utmost respect.

Don’t forget about formatting either! Your letter should have a proper salutation, body, and closing statement. Plus, it’s essential to proofread your text before sending it off – any spelling or grammar mistakes can undermine the seriousness of your message.

Remember these tips:

  • Keep it short and sweet: Your points should be brief yet comprehensive.
  • Use appropriate titles: In addressing the officials.
  • Be polite: No matter what issue you’re raising.
  • Proofread thoroughly: To avoid any embarrassing errors.

Writing a formal letter may seem daunting at first but with practice, it becomes easier. So don’t hesitate to voice out on issues that matter to you!

To summarize everything into handy numbers:

With these guidelines in mind, drafting an effective formal letter will no longer be an intimidating task for you! Good luck with all of your future communications with government entities!

Sample letter to the governor

Greetings, Governor! As you are probably aware, there have been several reports in the media regarding the appalling circumstances at institutions in [name state] that house children seeking refuge from El Salvador, Guatemala, and Honduras.  The conditions in their home countries, particularly gang violence, have traumatised these youngsters, and many are coming to the border with post-traumatic stress disorder, anxiety, depression, and other mental health difficulties. The reported conditions of confinement at Office of Refugee Resettlement and Department of Health and Human Services facilities, including extreme overcrowding and denial of beds, adequate nutrition, and medical and mental health care, endangers the mental and physical health of these vulnerable children. As a social worker, I feel that this treatment of vulnerable children constitutes child abuse and neglect. I would contact child protective services right away if I had personal knowledge of caregivers mistreating children in this manner. I would anticipate a swift inquiry, with violators being reprimanded and necessary corrective action implemented. [Depending on your expertise/experience, provide further details as needed] From our government, we should expect nothing less. I implore you to act quickly to direct accountable [name state] authorities, such as Kid Protective Services and any agency that licences these institutions, to guarantee child safety and examine these complaints as soon as possible. These organisations should also guarantee that abusers are reprimanded and that other remedial steps are implemented, such as required adjustments to the children's care standards. This is a genuine humanitarian catastrophe. I, along with other social workers, rely on your leadership to solve this pressing issue. Regards,  [Insert name, credential, or affiliation].

Perceiving these difficulties, a few states have made an assortment of moves to help to return residents in acquiring ID.  For instance, Arizona, California, Illinois, Montana, Ohio, Utah, and Wisconsin grant those passing on state restorative offices to either trade division of connections documentation for state-gave recognizable proof or for those records to fulfil the essential distinguishing proof archive prerequisite for state-gave ID.  Others like Florida, Maryland, Minnesota, Mississippi, Missouri, Nevada, New Jersey, and Wyoming have created separate projects and approaches to guarantee returning residents have substantial state distinguishing proof on discharge. Sadly, these state-centred projects are seldom open to a huge number of residents that get back from government offices every year. Therefore I am writing to look for your help.  The Department of Justice might want to work with you to allow residents returning to Alabama to trade their government BOP detainee recognizable proof card and confirmed delivery documentation for a state ID or for these reports to fulfil the essential distinguishing proof record prerequisite for state-gave distinguishing proof. BOP distinguishing proof cards as of now contains a Governor current photo, eye tone, and tallness.  The delivery documentation contains the person's current residential area, management data, and the date of delivery. We comprehend that Alabama might have explicit necessities or prerequisites to take an interest in such a program; we are prepared to consider how we may address those issues counting through the improvement of extra security highlights on the ID card or confirmation reports. I have requested that BOP connect with your office before long to start these discussions.  Brent Kiser, Administrator at BOP's National Reentry Affairs Branch, will be the Bureau's resource and your staff is free to get in touch with him in the interval at 9007578 or utilize email at [email protected] . With the assistance of exceptional accomplices like you and with the assurance and determination that states have shown, I accept that we can allow returning residents their best opportunity to lead lives of significance and reason. Sample letter to the governor in India

To, Honourable Governor, Sri Hitesh Patel, Governor of Karnataka Your Excellency, As a discussion named Citizens for Karnataka, presently addressing a great many concerned residents, with numbers developing continuously, we approach you to intercede in a big deal. As you know, Sir, the Government of Karnataka proposes to construct a steel flyover from Basaveshwara Circle to Hebbal flyover, with associating inclines on Race Course Road, Palace Road, Vidhana Soudha Road and Raj Bhavan Road. The task conceives a 6.7 km stretch of a six-path steel flyover to be worked at an expected expense of Rs 2,200 crores that will save, even by the Government's case, just between 7 - 15 minutes of movement time, cut down 812 completely developed trees and eradicate legacy recollections along with one of the most verdant and wonderful stretches of our cherished city. GoK, as addressed by the Hon'ble Chief Minister of Karnataka and the Hon'ble Minister for Bengaluru Development, has proclaimed its goal to proceed with this task regardless of the greatest public abuse and revulsion communicated in papers and TV channels, on Facebook and Twitter, and a human chain fight that saw the cooperation of more than 8,000 concerned residents on Sunday, 16 October 2016 along the stretch that is proposed for a monstrous change due of this flyover. Almost 35,000 individuals have marked web-based petitions against the flyover proposition, north of 100,000 tree darlings have gone against the venture by giving a missed call to the association named Jhatkaa, a Public Interest Litigation against it has been recorded by Namma Bengaluru Foundation in the High Court of Karnataka, and a large number of individuals are placing their names and marks on voting form papers across Bengaluru saying 'NO - BEDA' to the flyover even as you read this notice. The survey closes on Sunday and the last count will be distributed. However, notwithstanding such exceptional resistance to the task, we read in the papers that the Bengaluru Development Authority met yesterday, 20 Oct.2016, and chose to give the work request to the worker for hire to execute this questionable venture. The Hon'ble Minister for Bengaluru Development likewise apparently met media agents momentarily and excused public outrage about the venture and proclaimed that he would proceed with it. Here is our justification for uneasiness: 1. The proposed project is being embraced without due counsel process that will be followed as expected by Karnataka. The conference followed by BDA in June 2016 was a hoax, with the Government guaranteeing 299 reactions by email and calls, of which 73% supported the proposition. The Detailed Project Report, arranged over a year prior, itself was delivered uniquely on the fifteenth of October 2016, after far and wide open fights, with no plan of action for general assessment. CDA in its unique notice on 27th of June 2016 neither indicated the subtleties of the task, including loss of green cover, nor the planned public space procurement. So what were the 219 reactions "supporting". The BDA has not uncovered what the reactions were talking about, the number of were by email and the number of telephonic. Numerous email reactions restricting the thought bobbed because an off-base email id was informed by BDA and when the revision was made, the open door to react was under 48 hours. 2. The Government has changed the venture after the farce conference, expanding the expense from Rs 1,350 crores to Rs 1,791 crores. On 19 October 2016, BDA put out a novel thought, stretching out the proposed steel flyover to be over the current Hebbal flyover, up to Esteem Mall, again without public conference. This correction has not been supported by Cabinet and GoK isn't uncovering whether re-offering is required. Indeed, it is correcting the task on an everyday premise, and presently it appears to be the quote is at Rs 2,200 crores. 3. The flyover project is an illicit venture and in the Contempt of a few Judicial Orders. Because of a PIL documented by Environment Support Group (WP 13241/2009) against the Metro project, the Karnataka High Court had decided that "the State Government, as likewise, the Bangalore Development Authority will follow the strategy contained in Sections 29, 30, 31, 32 and 34 of the Karnataka Town and Country Planning Act, 1962".  The Court had seen that the Counsels for the state and BDA "concur that the arrangements alluded to hereinabove, will be consented to, with practically no deviation at all." While it was past the point where it is possible to apply this request to Phase I of the Metro, the Court had made, pushing ahead, in the event of any infringement of this regulation, and the Court's heading, "the concerned official/official will be considered answerable for his having ignored the request passed by this Court, as additionally the endorsed order of regulation." 4. The recommended order of regulation per the KTCP Act is that preparation and advancement of metropolitan framework tasks and attendant changes in land use plans should include the wide-open at the phase of conceptualisation, endorsement and costing. The plans, plans and spending plans are to be placed in the public space and due to formal conference processes must be held to guarantee there is no infringement of rule or debasement in any structure. The Steel Flyover proposition of BDA, moved through by the Chief Minister, exhaustively bombs this test, is being advanced in miserable infringement of the law and is a demonstration that is obviously in Contempt of Court. 5. The venture likewise qualifies as an Area Development Project for every Environment Impact Assessment Notification, 2006, under the Environment Protection Act, 1986. This means no work can initiate until and except if the task is supported by the Environmental Clearance Authority, and that too founded on far-reaching Environment Impact Assessments and Environmental Public Hearing. 6. One more genuine legal infringement in forcefully advancing the undertaking is that BDA claims endorsement of the State Cabinet as an adequate premise to get moving. This is an assumption. Since the sanctioning of the Nagarpalika Act, 1992, such ventures must be proposed after a due survey from monetary, social, monetary and natural points by the Constitutionally commanded Metropolitan Planning Committee, which has been shaped as of now by GoK.  Upon the endorsement of the MPC, the undertaking can then be sent by the State Finance Commission to the State Cabinet for definite endorsement, forthcoming other legal clearances, as referred to above. None of these naturally commanded arrangements has been adjusted for this situation. The venture has not been set before the MPC. 7. The automatic thought of expanding the flyover past Hebbal lake is disturbing. It appears to be that the expansion will be directly through the lake. This would chance the Karnataka Government being in hatred of the Karnataka High Court request in WP 817/2008 (Environment Support Group and ors. versus Province of Karnataka and Ors.), in which the Court safeguarded lakes from any further infringement and resolved that there would be a "no-advancement zone" 30m from the legitimate furthest reaches of the lake.  That zone would be stretched out by 2 meters for each 5 ha expansion in the lake region past the underlying standard of 40 ha. Such was the worry the Court communicated against infringement of lakes, that it likewise explicitly coordinated that in any event, strolling ways couldn't come inside a lake. 8. No consent has been acquired from the Tree Council, set up under the High Court's organization in 2010, for mass cutting of trees. The venture ought to not have been planned without first discussing the deficiency of vegetation it would cause, and that in the wake of putting before the public every one of the feasible other options and presenting a defence that this steel flyover, and that by itself, is the right one.  This choice is in the seventh August 2014 course of the Karnataka High Court in WP 7288/2011, a PIL taken up Suo Moto by the Court because of genuine worries raised by then Judge of the High Court, Justice Shylendra Kumar, over the mass feeling of trees in Bangalore. In a specific order, aside from numerous inventive viewpoints acquainted with safeguard plant life, the Court noticed "We consider it significant to coordinate that felling of trees would be attempted as an exemption rather than a standard, and further that the tree official and tree authority would completely fulfil themselves and affirm that any remaining choices have been considered in regards to the possibility of the felling of trees. Assuming any complaints are gotten from general society, due thought will be given by relegating reasons." A few regulations and the Constitution are being disregarded by the Government in seeking after this venture. The task is being sought after carelessly. Green and legacy spaces on this street, including the Bangalore Golf Club, Carlton House and Balabrooie Guest House are under inevitable danger of harm. The flyover won't just obliterate the tasteful experience of the drive along the stretch, however, add to vehicular contamination and is assessed by certain specialists to raise the hotness factor by 2-3 degrees Celsius. It will shut out daylight and forestall wind current. It will influence the strength of the occupants. There are other wellbeing and security worries about the proposed flyover communicated by specialists that apply establishments in the city and to the CM's home and Raj Bhavan. Gauges for the expense of the undertaking with public cash as given by the Government's officials are far underneath the expense given in the public area without incorporation of different expenses of securing of land and property along its highway, a piece of which are in the space of the military. Every one of these persuades individuals who are contradicting this flyover to think that this is both a gross misuse of our expense cash and the whole interaction and cost of the equivalent isn't bonafide. We demand Your Excellency to promptly intercede regarding that situation, look for the foundation of an investigation into the outlining of this project proposition and desire for retraction of Yours respectfully, Karnataka citizen.

Sample Letter to the Governor

Richard Smith

54, Henry Villas

Date: January 17, 2024

The Governor

Sub: Regarding demolition of the community center.

Respected Sir,

The purpose of writing this letter is to bring to your notice that the community center in the Park Avenue area is going to be demolished as the authorities are planning to come up with a commercial mall in place of the community center.

As you are aware, that community center is used by the residents staying in the vicinity for various purposes that include private celebrations, community celebrations, festive celebrations etc. The big playground for the children in the community center is a play area for the kids living in the vicinity. Even the senior citizens find it a comfortable and good place to walk, exercise and spend time. In fact, during the summer breaks, various classes are organized in the premises of the community center for children of different age groups.

Having a community center is very important for everyone as it works as a platform for us to meet people staying in the neighborhood and work together for different causes. It helps us connect with everyone and celebrate festivals and other important occasions together.

If such an important place is going to be replaced with a commercial mall, we will not have any gardens for our children to play every evening. We will not have any place to organize community gatherings. We will not have any place to have our senior citizens spend time with people from the neighborhood.

Therefore, I am writing this letter in order to request you to kindly support us in saving the community center and not have the authorities get the permissions for demolishing it.

We are hopeful that you are going to take the right action in this matter and will help us save our community center.

Thanking you in anticipation.

7. Foreign Scholarship Application Letter

A scholarship application letter is a formal document that convinces the recipient that the sender is the best pick for the scholarship. It highlights the applicant’s qualifications, achievements, and experiences to ace the grant.

The application letter also states your reasons for applying for the scholarship, as well as an explanation of how the grant will help in your studies.

To add a “personal touch” to this letter, you may use personal anecdotes and testimonials. However, the letter’s tone should be formal rather than casual because it is an academic/professional document.

Although both documents increase your chances of getting the grant, they convey different messages.

A scholarship application letter convinces the reader that you’re an exceptional candidate for the scholarship grant. Specifically, it highlights the most compelling reasons why you deserve the scholarship.  You can focus on your academic achievements, socioeconomic condition, or personal attributes.

This letter may include personal anecdotes, testimonials, and other supporting information that will help with your application. You may even state who your role model is and how they influence your passion to achieve your dreams.

Meanwhile, the main focus of an LOI is to express your interest in applying for a scholarship. Your qualifications, experiences, and socioeconomic conditions are stated briefly as supporting details. For this reason, an LOI is usually shorter, more straightforward, and has less room for personal anecdotes.

There are also some differences between their structure. The upper part of a scholarship application letter indicates your details (name, address, contact details). In an LOI, this part is usually located at the bottom.

A scholarship essay usually asks a particular question like, “Why do you deserve the scholarship?” , “How can our scholarship help you?” or “Who is your biggest inspiration?” It’s important in a scholarship essay that your answer is well-thought-out, clear, and creative.

Meanwhile, a scholarship application letter is more of an extension of your documentary requirements. It expounds the details indicated to highlight your best attributes so that the scholarship committee will pick you. The topic of the letter is “you,” and there’s no question you’re supposed to answer.

1. Personal Information : Located at the top of the letter, this section is where you indicate your full name, address, and contact details.

2. Date: The date when the letter is submitted

3. Recipient: This is where you indicate the name, position, and institution/company of the letter’s recipient

4. Salutation: If the recipient’s name is unspecified, you may use the line “To whom it may concern”

5. Introduction: This part includes your name and current educational attainment, as well as a brief statement of your desire to apply for a scholarship and the reason/s behind it

6. Body of the letter: This part highlights everything that makes you deserving of a scholarship (e.g., personal attributes, academic achievements, extra-curricular activities, etc.). It may also include personal anecdotes and testimonials.

7. Conclusion: This section is where you express your gratitude to the recipient and emphasize how the grant will help you in your studies.

8. Closing Remark: A short formal closing statement (e.g., Regards, Sincerely, etc.)

9. Signature

How To Write a Scholarship Application Letter

There are two reasons why you need to do this before drafting your letter.

First, to avoid stating wrong information in the letter.

Second, to help you decide what your “focus” is so that the letter will suit the scholarship requirements. Suppose the grant requires the applicant to have exceptional leadership skills. To meet this qualification, you need to brush up on your memory for any leadership roles you had in the school and include them in your letter.

Your letterhead should contain three sections: your details (name, address, and contact info), the date when the letter is submitted, and your recipient’s details.

Afterward, provide a short salutation like “Dear <insert name>” and “Greetings <insert name> .

Performing this step completes your letter’s introduction. In case you’ve recently graduated, mention your alma mater.

Don’t forget to mention in this portion your understanding of the scholarship’s goal and how it is aligned with your aspirations and current circumstance.

In the example above, the sender wrote that the scholarship aims to help underprivileged students pursuing health-related courses. Thus, she wrote that her dream of becoming a physician led her to major in Biology.

Finally, state your reason for applying for a scholarship.

Your goal in this step is to complete your letter’s body. State here your best attributes that make you stand out from other applicants. It depends on you how many paragraphs you’ll write for this section.

Here is some information you can include in your letter’s body:

  • Academic achievements (e.g., consistent Dean’s lister, class valedictorian/salutatorian, academic honors like Best in Math or Best Research Paper, or high GWA , etc.)
  • Extra-curricular experiences (e.g., leadership roles in the Student Council, student organizations, and NGOs, as well as awards received from competitions, etc.)
  • Certifications (e.g., TESDA National Certificate)
  • Work and internship experiences
  • Personal attributes (e.g., interpersonal skills, time-management skills, perseverance, etc.)
  • Other information that may suit the scholarship requirements. For example, if you’re applying for sports-related grants, you can mention the competitions you’ve won, your experiences as a student-athlete from another school, etc.

Only select attributes that are related to the scholarship’s requirements. For example, if they are looking for good academic standing, you must focus on featuring your grades and academic achievements. If the grant is looking for leadership skills, then highlight your leadership roles in student clubs or even in non-academic organizations.

You may also add personal anecdotes in this portion. For instance, the sender of the sample letter above shares her experience meeting a doctor who inspired him to pursue the same profession.

Briefly mention that the scholarship will help you accomplish your studies and ease your family’s financial burden. Afterward, thank the recipient for taking the time to read your letter.

Close your letter by adding a closing remark (e.g., Regards, Sincerely, etc.) and affixing your signature.

  • Strictly follow the required word count, if there’s any. To save time reading tons of letters that scholarship committees receive, they set word count limits that applicants should follow. Hence, no need to make your application letter wordy; as long as it contains the most essential details, that would be enough. As the saying goes, “brevity is the soul of wit.”
  • Be truthful. Do not include misleading information to stand out from the competition. Some scholarship committees conduct cross-checking to verify the information indicated in application letters. Get caught and lose your chance to enjoy the grant.
  • Don’t be “too emotional.” It’s true that your letter becomes more convincing if you state your challenges and economic hardships. However, over-relying on “emotional appeal” might repulse your reader. Thus, avoid oversharing private matters in your letter.  Moreover, refrain from adding “rant” statements (e.g., education is for the privileged only, tuition hikes are anti-poor, etc. ) in your letter. There’s a different avenue to express those frustrations.

Advice For School Governors and Clerks

Ask A Clerk

What should I write in a parent governor statement?

If you are applying to be a parent governor or trustee you will be asked to write a short statement saying why you are interested in volunteering and what skills you would bring to the role. If an election is needed this statement will help other parents choose between the candidates.

application letter to governor

In many schools volunteers are thin on the ground so the statement may not be vital, as you will be elected unopposed if you are the only volunteer. However, it is still a good idea to show you understand the role of governor/trustee in your statement.

This page provides guidance on what to include in your statement and some parent governor statement examples of 50, 100 and 250 words you can adapt for your circumstances.

Your Connection To the School

Say how old your children are and their current year. If your children have just joined the school you have a reason to want it to succeed for years to come and the same applies if you have more than one child attending.

Mention any other ties you have to the school such as previous volunteer work, helping out in classrooms or on trips, or supporting the PTA; anything that shows your commitment to the school and your reliability as a volunteer.

You could mention how long you have lived in the area and what the school means to you. If it is a church school talk a little about your faith and show you understand the aims of the school in this respect.

Your Understanding of School Governance

All school governors have three main roles.

  • To ensure the school has a clear vision, ethos and strategic direction.
  • To hold the headteacher to account for the educational performance of the school.
  • To oversee the budget and finances and make sure money is well spent.

Write about any aspects of governance you could contribute to. Governor responsibilities are wide but include scrutinising budgets, approving policies on all aspects of school life, planning how the school will improve, discussing why some groups of children are not achieving as well as others, making sure children are safe and dealing with staffing issues.

Governors are often described as being a “critical friend” to the school. They are there to support the school and help it improve, but they must also be willing to challenge the headteacher and senior leaders when necessary, ask why the school is struggling in a particular area and what can be done to improve it.

Search for the school’s latest OFSTED report and look for any remarks about governance. Are there any weaknesses of governance you could help to improve? Do you understand the challenges a school might face in terms of catchment area, budget restrictions or high levels of children with special needs?

If you are volunteering at an academy within a multi-academy trust show that you understand whether you will be governing as a trustee on the main governing board or a local governor on a local governing body.

What skills can you bring to the role?

Any of the following skills will be useful on the governing body:

  • accounting, budgets and finance experience
  • management of buildings
  • health and safety
  • data analysis
  • human resources experience
  • interpersonal skills, working in a team
  • knowledge of education, the curriculum, special educational needs and safeguarding or child protection
  • managing staff and hiring employees
  • work where you had to keep things confidential.

You could also write about your commitment to undertake training and show that you understand governors need to attend regular meetings and visit the school.

What Not To Include!

If you mention any of the following items you will show that you do not understand the role of the governing body. Parent governors do not :

  • fundraise – this is usually done by a parent teacher association (PTA)
  • represent parents – this is a common misunderstanding but parent governors are not the voice of the parents. They have the same role as any other governor on the board
  • vote in favour of whatever the majority of parents want – if there is a controversial issue that parents are angry about it is any governor’s job to vote for whatever they believe is best for the school as a whole
  • discuss individual children (in most cases) – governors take an overview of the school and make strategic decisions about budgets, policies and development plans (although one exception would be if a child is at risk of exclusion)
  • interfere with the day-to-day running of the school – the headteacher runs the school, governors hold the headteacher to account
  • rubber-stamp everything that comes their way – you will need to be confident enough to ask some difficult questions if results are disappointing or mistakes are made

Parent Governor Statement Examples

Here are some example statements you can use as a starting point. I have written these with the assumption that you are a new parent governor, but if you are already on the board you should also include details of your governance work, eg: feedback from OFSTED or external advisers about how the board is run or what contributions you have made in a link role .

Don’t worry if you don’t have a job that particularly fits in with governance (or you’re not working at all) as people from all walks of life can do the role – just show your enthusiasm and demonstrate your understanding of school governance.

Parent Governor Statement – 50 words

My son Tim has just joined the school in Y1. I work as an accountant and would like to use my financial skills and experience analysing budgets to give back in a volunteer role. I am keen to attend training and get to know the school.

Parent Governor Statement – 100 words

I am keen to join the governing body as many of my family members have attended this school. My two older children attended and my daughter Sarah is in Y9.

I have volunteered for many school trips and I would now like to become a governor to help steer the school in the right direction and retain its excellent reputation for academic success and happy, friendly children.

I have been in retail for 10 years where I have worked well with people from all backgrounds and gained knowledge of health and safety. I understand the need for governors to be demanding but fair.

Parent Governor Statement – 250 words

Malory Towers Primary is a terrific school with an outstanding OFSTED rating and I would like to help the school continue to improve and develop.

My name is James Mallow and my twins are in Y4. My day job is in data analysis and I believe these skills will transfer well to the work of school governance, helping the school to analyse the attainment gaps between groups of pupils and pinpoint where the school needs to be doing more for our children.

I am lucky enough to have the time to commit to a demanding volunteer role as my firm provide time off for school governors. This means that I am able to attend meetings, governor training and visit the school during the day.

I am particularly keen to ensure that all children are safeguarded well and can fulfil their full potential whatever their background, special educational needs or disabilities.

I am not afraid to ask difficult questions if necessary on behalf of all the children this school serves. I am also keen to support the school and all of its dedicated staff who work so hard to keep this place running smoothly.

Although I have no experience of school governance specifically I have served on the board of a small charity which had responsibility for a modest budget and made tough decisions about which projects to fund and how money could be best spent.

I hope that you will consider voting for me and thank you for reading.

Letter to Governor

Institute of Management and Technology,

Enugu State.

15 th August, 2019.

Rt. Hon. Ifeanyi Ugwuanyi,

Executive Governor of Enugu State,

Government House,

Your Excellency Sir,

STATE OF EDUCATION IN ENUGU STATE & WAYS TO IMPROVE IT

One of the primary roles of education is to build and sustain individual and society’s development. It renews and improves the economic, social, political and cultural aspects of any state. Education upgrades the living standard of citizens and enables people to become better and more productive citizens. It is a human right that creates a safe, healthy and prosperous society. It changes the visions and perspectives of individuals, enhances critical decisions and improves democracy. Education in Enugu state is suffering from decades of neglects and abandonment.

Your Excellency, it is on record you mounted the mantle of leadership of Enugu State apparently with good intentions to transform the state far beyond the height achieved by your predecessors. To demonstrate seriousness to this course, your administration started by rolling out massive projects for execution which cut across the length and breadth of this state.

I know a lot of appreciable progress have been made in Education in Enugu State but there are still more to be done so that our people can enjoy the important benefits of Education.

Your Excellency, it is my humble intention therefore to discuss the state of education in Enugu state and ways to improve it. Some of the crucial challenges education in Enugu State is facing that need immediate attention include;

  • Infrastructural deficit and decay: So many class room buildings and staff offices of most primary, secondary schools and high institutions in Enugu State have been dilapidated. They are in deplorable condition thereby affecting the learning process. In some of the schools you see students sitting on the ordinary floor to receive lectures. Some classrooms are not roofed, during the raining season students sit under the rain to learn leading to students getting sick always. Most of these buildings were renovated 10 years ago or thereabout. Unfortunately, no new building has been elected to replace the dilapidated structures.

Most primary and secondary schools lack lavatory and convenience. This has led to students defecating and messing up the school environment. In some schools, students resort to defecating in open class rooms and dilapidated building.

  • Unqualified teachers and lecturers: Most schools in Enugu State are filled up with unqualified teachers and lecturers. How these teachers and lecturers managed to secured their teaching job in our secondary, primary schools and high institutions is a question that will be hard for me to crack. It is a very serious situation, when teachers cannot pass their exams that they are supposed to teach the children to pass. The result of this is the production of half-baked students. Students who will indulge in examination malpractices in other to pass their exam. Graduates who cannot defend themselves in outside world.
  • Inadequate instructional materials: Most of the schools in Enugu State lack instructional materials like white board and markers, ICT centres, sciences books, physic and chemistry laboratory. The general school library is nothing to write home about; they are not well equipped and most are not functional.  These instructional materials are powerful tools that enhances the learning skills of the students. We are in era of internet technology; yet you hardly see school in Enugu State that is computerized. If you visit the staff rooms during computation of students’ results, papers flying everywhere will chase you away. When students are equipped with the necessary materials they need; it helps them meet with up international standard of education.
  • High tuition fee and extortion: The high tuition fees and unsolicited fees collected from students has led to millions of students dropping out of school. The private schools are not helping matters. There is gross extortion of students by teachers in our school. It baffles me how headmaster, principal or whoever that is involve could turn money into hand-work and some of the lecturers has made it mandatory that students must buy their handout or text book before they will pass their course. The side effect of this are high illiteracy level, increase crime, and poverty in our state etc.

On Infrastructural deficit and decay; committee should be set up through Post primary School education board to ascertain the level of infrastructural deficit and decay in our primary and secondary school. Again, committee should be set up through the Board of Senate in universities and high institutions to review the level of infrastructural deficit and decay in our university and high institutions. The outcome of the reviews should be communicated to you through the appropriate channel for immediate action.

On Unqualified teachers and lecturers: Strategies for addressing the challenges of teacher training and professional development; technical and vocational education should be adopted. Again, policies pertaining to recruitment of teachers and lecturers in our states schools should be review.

On Inadequate instructional materials: There is need to examine, review, equip and upgrade by appropriate bodies some of the instructional materials in our schools for quality and continuous improvement of our student.

On High tuition fee and Extortion in our school: Government should review and cut down the tuition fees in our schools. Free education at primary and post-primary school level should be adopted to encourage education in our state.

Serious consideration should be made to our quest to improving the lot of our people through the provision of quality and functional education for all, at all levels. Today, it is those who acquire the most qualitative education, equipped with requisite skills and training, and empowered with practical know how that are leading the rest. We cannot afford to continue lagging behind. Education is our launch-pad to a more successful, more productive and more prosperous future. If the education of our state is weak or dysfunctional, society and its development will also be weak and dysfunctional.

Your Excellency, I thank you for all your good works in Enugu State. Also, I appeal that you use your good office to address this issue confronting education in our state today. I will continue to pray for you and for your vision for our dear State. Enugu State is in hand of God.

Yours Sincerely,
