Sample Request Letter for Teacher Transfer from One Station to Another

The following situations should be given priority when teachers are seeking transfer to another station which is in need of additional teachers:

a. When the teacher is declared excess by the SH and/or his/her expertise/area of specialization is needed in another school / district / division;

b. The teacher has served for more than five years outside his/her home barangay/municipality;

c. The teacher is a bonafide resident of the barangay, municipality, city, or province where the school is located (RA No. 8190, Localization Law), as evidenced by the teacher’s Voter’s ID;

d. The teacher is joining his/her husband/wife in the same school (RA No. 4670);

e. She is a nursing mother (PD No. 603, Child and Youth Welfare Code);

f. The teacher’s life is in danger due to armed conflict, hostilities, or other similar circumstances in the area where the school is located; or

g. He/She is in poor health condition, as evidenced by pertinent medical records to that effect.

The open period for applying to transfer from your current school to a different one runs from mid-April to early August each year. The decision to transfer to a new school is personal and may be based on a variety of reasons. Perhaps you are looking for a change in instructional focus, program options, a new school theme, a different principal or administrative tone, or just a more convenient location. If you wish to transfer, there are more opportunities available to you now than ever before.

Finding out about vacancies

All pedagogues — not just teachers — have the opportunity to transfer to a different school under the Open Market Transfer Plan . Principals will post anticipated as well as approved vacancies during the transfer period, which usually opens in mid-April and closes in early August each year. During the open period, these vacancies are posted on the DOE website at this link .

The listings are revised as positions are filled and principals post new vacancies, so it’s good to regularly recheck the website. If you know that a vacancy is available but not posted, please contact your borough office and district representative as soon as possible with the details. Schools can advertise and select staff for all projected vacancies, but a transfer won’t become final until the vacancy is an approved vacancy and the transferring employee has been entered into the Galaxy budget of the new school.

How to apply through Open Market Transfer

The application process is straightforward. You’ll be asked to complete an online registration form. To do that, you’ll have to create a user ID and password. Once you’ve done that, you’ll be able to electronically apply for any vacancies in your current license area. All qualified teachers, including those who have been placed in excess, can apply for specific positions at job fairs or send applications to the schools they are interested in.

You can also send applications and resumes to schools that have not advertised vacancies so that, in the event a vacancy arises, principals will be aware of your interest. We recommend that in addition to filing an online application via the Open Market Transfer Plan system, you also submit a hard copy of your cover letter and resume via fax, mail or in person. Since principals may be receiving many online applications, it might be helpful for them to receive a paper copy of your materials as well as the electronic application.

The hiring process

School-based committees made up of supervisors and teachers will interview candidates. The committee is not required to interview all applicants. It will make a hiring recommendation, but the final decision rests with the principal. If you’re successful, the hiring principal will enter you into his or her Galaxy budget and you’ll receive a printed contract, which both you and the principal will sign, which makes the transfer official. Your current principal will be notified by the system at that point.

You don’t need a release from your current principal while the transfer period is open to accept a position elsewhere. If you are offered a position after that date, the transfer cannot be completed unless you are released by your current principal. The plan places no limits on the percentage of staff who may transfer out of the same school.

Common questions about Open Market Transfers

  • What happens if I transfer and then decide to return to my former school? If, for some reason, the transfer fell through before the first day of school, you can return to your former school. Otherwise, there is not a right of return to your former school once you transfer and start working at the new school. At that point, the only way to leave your new school is to seek another transfer via the Open Market System.
  • Can I transfer to a different grade level or subject? Yes, but that may require a switch in appointment. If you have achieved tenure in one license appointment, when you switch appointments, be aware that you must serve a three-year probationary period in the new appointment. For excessing and layoff purposes, probationers are grouped separately from those who have completed probation.
  • What happens to my seniority, pension, sick time, etc., when I transfer? There are no changes to your citywide seniority, pension or sick time when you transfer to a new school. You lose the building seniority that you had in your former school, however. Building seniority is used in selecting among equally qualified applicants for certain school assignments.

How to Write an Application Letter for a Teaching Job

Applying for teaching positions can be daunting because of all of the materials you need to submit. Your cover letter is an especially important part of the application since it highlights your best skills. Writing an excellent cover letter can set you apart from other applicants, so it’s important to take your time and write a targeted letter for every application. Start by researching the position and getting all of the necessary information before you start writing. Then, use the intro and body paragraphs to emphasize your qualifications for the job. Conclude your letter by emphasizing your interest in the position and requesting an interview, and don’t forget to revise and proofread before you send your letter to the prospective employer.

Gathering Information Before Writing

Step 1 Read the job posting carefully and underline or highlight key terms.

  • For example, if the position is for a Kindergarten teacher, then the position may indicate that you need to have undergone a preparatory teaching program.
  • If the job posting is online, you can transfer the text into a word processor and highlight using the highlight tool.

Step 2 Find out the name of the hiring manager.

  • Make sure to find out the person’s preferred prefix. For example, if the hiring manager is a woman named Nancy Cardigan, ask if she goes by Ms., Mrs., or something else.

Warning : Never write “To whom it may concern” to start a cover letter! This is too informal and it makes your letter seem generic from the start.

Step 3 Research the school, district, and position.

  • The school’s student population
  • Special challenges facing the school, such as budgetary issues or overcrowding
  • Extracurricular programs available to students

Step 4 Identify 3 experiences or skills that qualify you for the position.

  • For example, if you’re applying for a Spanish teacher position, you might want to mention your study abroad experience that enhanced your Spanish speaking skills, or your additional certification as a TESOL teacher.

Writing the Introduction and Body Paragraphs

Step 1 Include your address and the date followed by 3 spaces.

  • For example, you might list your address as “100 Main Street, Everytown, ND, 12345.”
  • Then, after adding a space, list today’s date in long form, such as August 8th, 2019.

Step 2 Provide the full name and address of the hiring manager.

  • For example, “Mrs. Sherri Mascarpone, Executive Director of Personnel, Sacramento School District, 1000 Johnson Lane, Sacramento, CA, 12345.”

Step 3 Greet the person with a formal salutation.

  • For example, you might start with “Dear Mr. Rodgers,” and then add a space and begin your introduction.

Step 4 Indicate the job you’re applying for and why you’d be a good fit.

  • For example, you might open with something like, “I’m writing to apply for the Math Teacher position that was advertised in this week’s paper.”
  • It’s also a good idea to give the employer some indication of who you are, such as by mentioning where you attended school and when you graduated or expect to graduate. For example, you might follow your first sentence with something like, “As a recent graduate of Universal University’s teacher education program, I am well-qualified for the position.” [6] X Research source

Step 5 End the first paragraph with 3 reasons you're qualified.

  • For example, you might write something like, “I’ve had a broad range of professional experiences that qualify me for the position, including working in the school district as a teacher’s aide while working on my college education, getting the opportunity to tutor at-risk youth in an after-school program run by a local charity, and completing my student teaching at this school.”

Step 6 Provide evidence of your experiences and skills.

  • For example, if you mention that you completed one of your student teaching rotations at the school you’re applying to work at, then you might expand on what you learned about the school and its teachers during that experience and how that knowledge would make you a good fit for this position.
  • If you mentioned that you hold a special certification, then you might expand on how that could enhance your ability to fulfill the needs of the position to which you’re applying.

Step 7 Emphasize what you’d contribute as a teacher at this school.

  • For example, you might include a line about your persistence and refusal to give up on students who struggle with course material, or you might mention that your professors or former employers have praised you for your ingenuity in designing engaging lessons.

Tip : Try to be as specific as possible whenever you talk about your qualifications. Point to professional experiences, certifications, training, and other evidence to support your claims.

Concluding Your Letter

Step 1 Reemphasize your qualifications and interest in the position.

  • For example, you might write something like, “Because of my professional experiences and special certifications, I’m very interested in the 7-12 French teacher position at Northwestern Central School.”

Step 2 Thank the employer for their time and consideration and look ahead.

  • Try saying something like, “Thank you for considering my application! I hope we can meet soon to discuss my qualifications further.” [14] X Research source
  • You may also indicate when you’re available or suggest a time and date for an even stronger option. For example, you could say something like, “I’m available to meet in person most weekday mornings and on Friday afternoons.” Or, you could say, “I’m available next Friday afternoon between 1:00 and 4:00 pm if you’d like to schedule an interview.”

Step 3 Provide an email address and phone number where you can be reached.

  • For example, you might write something like, “My cell phone number is (123) 555-1234 and my email is [email protected].”

Tip : You can skip this if you have included this information on your resume.

Step 4 End with a simple sign off and your name.

Revising and Proofreading Your Letter

Step 1 Check the content of your letter and revise as needed.

  • For example, if the job posting emphasizes that the ideal candidate should have evidence that their teaching strategies are successful, then you might want to add more detail on the positive feedback you’ve received during teaching observations.

Tip : If you’re a recent graduate or student applying for a teaching position, you might ask your advisor to review your cover letter for you and provide feedback. If they’re unavailable, visit your college’s career development center and ask one of the career counselors to review it for you.

Step 2 Ensure that your letter is brief and to the point.

  • Not making your letter more than 1 page long
  • Describing your skills using action verbs similar to the ones in the job posting
  • Avoiding long, intricate sentences that may be difficult to follow

Step 3 Read through the letter again to check for errors.

  • Try reading the letter out loud to help you spot any errors that you might miss while reading the letter silently.
  • Don’t rely on your word processing software to catch errors. These programs are not foolproof for spotting errors.

Step 4 Print the letter on high-quality bond paper and sign it.

  • If you need to submit the letter electronically, convert it to PDF format.

Are you looking to  transfer to another job within your company ? What's the best way to ask for a transfer? What should you include in your request, and how can you get a transfer approved?

Read on for common reasons why employees want to transfer and advice on how to write a letter requesting a job transfer. Plus, see a sample job transfer request letter, which you can use for inspiration while writing your own. 

There are several reasons why you may need to write a job transfer request letter. Perhaps you are looking for a new role, with additional challenges and responsibilities. Or maybe you are eager to relocate for personal reasons, such as a spouse's job move, an educational opportunity, or a family illness. 

Ideally, your company will be actively trying to fill a position. In that situation, your transfer is more like an  internal application  than a personal request. If you're interested in the same job you have now in a different location, the process may be simple.

If you are instead asking to relocate to a location or department that doesn't have an open position, your job transfer may be more complicated. 

Check with your employer's human resources department for guidance on how to request a transfer. You may need to fill out a formal application or a form requesting a transfer.  

How to Write a Job Transfer Request Letter

Analyze the situation.

In any case, the first step in writing a successful job transfer request letter is to analyze the situation and know where you are starting from:

  • What are the benefits to your employer of allowing you to transfer roles or locations?
  • Why do you want to transfer?
  • What's the timing?
  • Is there a job listed?

Thinking through all these questions will help you set the tone for your letter and make a persuasive case for why your request for a transfer should be accepted. 

Show What You Have to Offer

The key to writing an effective job transfer request is to balance your skills and assets with the needs of the company.

Play up the angles that are open to you, but be careful not to come off as presumptuous or arrogant. It's important to be viewed as a valuable company asset rather than someone asking for a favor.

Here is the information to include in your letter: 

  • Why you're writing:  Begin the letter by stating the reason you're writing. Be specific: If you have a set timeline for when you want or need to make a job transfer, include that information.
  • Your background with the company:  Provide some information on your work at the company as well, including basics such as your job title, department, how long you've been employed by the company, and any major accomplishments you've had in your role. 
  • Reason for transfer request:  While you do not have to share a ton of details, it's a good idea to write a sentence on why you want the job transfer. For instance, "I need to relocate due to family circumstances" or "I'm eager to increase my responsibilities and take advantage of my programming background with this new role." 
  • Make your case:  Share why this transfer makes sense, remembering to keep the focus on your employer and how this transfer will benefit the company.

Teacher transfers: finding the right fit

Teachers are not interchangeable parts in a school district. That's why principals need to have the final say about the district's decision to transfer a teacher into their school. Principals and other school leaders are best positioned to know if a certain teacher will be a good fit for their school and their community, and they have a significant interest in making sure that any teacher who comes into their building is successful. In this District Trendline , we examine how decisions about teacher transfers are made in the largest school districts across the country .

What happens when a teacher chooses to be transferred?

Most teacher transfers within a district happen when a teacher requests to change schools. For these voluntary teacher transfers, most of the 123 large school districts in our sample give their principals a say in the transfer decision.

In the 75 large districts that put principals in charge of selecting which voluntary transfer applicants to hire, four districts— Clayton County Public Schools (GA) , DeKalb County School District (GA) , Desoto County School District (MS) , and School District of Lee County (FL) —give the central office final approval authority over the decision. Three additional districts— Anne Arundel County Public Schools (MD) , Clark County School District (NV) , and San Diego Unified School District —give their school principals (or selection committees) a say until a certain point in the school year. Voluntary transfers that happen after the deadline in those three districts are forced placed by the central office.

For the 27 large districts that give principals or school selection committees some input, it typically means one of two things. First, it might really mean that the district's central office is the final arbiter, but they are required to consult with school principals or committees. Second, it might mean that the central office assigns transfers to a particular school, but principals or committees have ultimate approval authority.

Only seven of the largest districts still explicitly place voluntary transfers in schools without a requirement that they even consult with school leaders: Cumberland County Schools (NC) , Long Beach Unified School District (CA) , Manchester School District (NH) , Milwaukee Public Schools , Oklahoma City Public Schools , Portland Public Schools (ME) , and Santa Ana Unified School District (CA) .

What happens in cases of involuntary transfers?

In the case of involuntary transfers, school principal or selection committee input is much less common; only 20 of the largest districts have mutual consent policies that ensure both the teacher and principal agree on a placement.

Involuntary transfers, sometimes called excessing, usually happen when there is a change in student enrollment, school budget, or school programming, reducing the need for the number of teachers in a particular building. While 47 of the largest districts do not address the process for placing involuntary transfers (which may mean that principals do not have the authority to reject a transfer), more than 60 percent of districts with a stated policy give the central office full authority.

In nine of the large districts, while the central office does place involuntary transfers, the school leaders have some input. In Brevard Public Schools (FL) , for example, the principal may refuse any involuntary transfer candidate whose rating was less than effective.

Sometimes with involuntary transfers, ineffective teachers are moved out of a school only to be forced placed in another school in the district by the central office. This "dance of the lemons," as it has been called, can be ended by the adoption of mutual consent policies—but such policies are not without new challenges 

Mutual consent: the way forward

A mutual consent policy relies on the consent of both teacher and principal for a transfer decision, rather than having the central office decide the transfer. In order to hold principals accountable for the outcomes of their school, some degree of freedom in how they constitute their faculty appears appropriate. Surveys also show support for mutual consent among teachers, and have found higher levels of job satisfaction reported by teachers who were given more say in their placement.

Mutual consent policies are not without their challenges. If a school district no longer force places teachers, there will be teachers that cannot find a position. This circumstance can lead to districts spending money on teachers who are not in the classroom , or the new challenge of how to deal with dismissal of these teachers. For more districts to adopt mutual consent will require change at both the state and local levels.

Ongoing efforts have been successful in overcoming some of these challenges of mutual consent. A state law in Colorado allows teachers to be put on unpaid leave if they cannot find a placement through mutual consent, though not all districts take advantage of the option. However, Colorado is the only state in the nation with such an explicit policy. Oddly, the state legislature in Illinois allows Chicago Public Schools to put unplaced teachers on unpaid leave, but Chicago is the only district in the state with permission to do so. Other districts with mutual consent policies require unplaced teachers to work as substitute teachers, also a costly decision by a district, as a salaried teacher earns so much more than a substitute teacher. In Oakland Unified School District , involuntarily transferred teachers who can't find a teaching position are offered instructional support roles.

Still, the popularity of mutual consent policies continues to grow . Over this past summer, the school board of Los Angeles Unified School District announced the intention to essentially create a mutual consent policy for the lowest performing 50 schools in the district.

A transfer application letter is a formal notification to the relevant party of the reason for moving to a new location. This letter is important for documentation of the request for future reference. The format for writing a school transfer request letter would include the student’s address, the address of the school, date, subject, and the reason behind the transfer of school explained in the body of the letter. End the letter with a complimentary closing, signature and name in capital letters.
