What’s the difference between a presentation and a speech? Many people use the words interchangeably, but there are two main areas of difference according to the dictionary definitions. Whether one accepts the dictionary definition is another matter – my four year-old daughter sometimes refuses – but that makes further discussion pretty difficult.

According to the Oxford English Dictionary (OED), a speech is defined as:

a formal address or discourse delivered to an audience

According to the Scrabble fan’s choice – the Collins English Dictionary – a speech is:

a talk or address delivered to an audience

Note that in the Collins definition, the part about being formal is missing.

Presentation

Both the Oxford English and Collins dictionaries define presentation as including some sort of visual element. The OED definition is:

a speech or talk in which a new product, idea, or piece of work is shown and explained to an audience

Note that this includes the word ‘shown’. The Collins definition is even clearer in explicitly mentioning the use of illustrative material:

a verbal report presented with illustrative material, such as slides, graphs, etc

The Collins Dictionary also notes how the word presentation is used more generally to talk about how things are  shown – ‘ the manner of presenting, esp the organization of visual details to create an overall impression’.

Presentations and speeches

Does the distinction hold perfectly? No. Firstly, people use the terms interchangeably, so of course the real world is full of speeches that are called presentations and presentations that are called speeches. Which leads to a natural blurring of the boundaries. Second, some presentations are very formal indeed, and some set-piece speeches (e.g. The State of the Union Address ) can have visuals added to them but without the orator interacting with them.

The boundaries aren’t sharp. But, according to the definition, a speech is a talk or address, and a presentation is a talk  with the use of some sort of visual aid. 

Speech vs. presentation

Why does this matter? Because giving a speech – for a lot of people – seems harder than giving a presentation. Bad slides are actually worse than no slides . But the reason so many speakers want slides or props is because they find it too hard to deliver speeches, and because effective visual aids makes it easier for them to get their points across.

Effective visuals – that  support  a speaker – make delivering presentations easier than delivering speeches for most people. Not everyone feels they can hold an audience with simply the sound of their own voice.

Great speeches are, well… great. But they aren’t the same as presentations, and shouldn’t be held up as examples of what those giving presentations should emulate.

The formal presentation of information is divided into two broad categories: Presentation Skills and Personal Presentation .

These two aspects are interwoven and can be described as the preparation, presentation and practice of verbal and non-verbal communication.

Many people feel terrified when asked to make their first public talk.  Some of these initial fears can be reduced by good preparation that also lays the groundwork for making an effective presentation.

A Presentation Is...

A presentation is a means of communication that can be adapted to various speaking situations, such as talking to a group, addressing a meeting or briefing a team.

A presentation can also be used as a broad term that encompasses other ‘speaking engagements’ such as making a speech at a wedding, or getting a point across in a video conference.

To be effective, step-by-step preparation and the method and means of presenting the information should be carefully considered. 

A presentation requires you to get a message across to the listeners and will often contain a ' persuasive ' element. It may, for example, be a talk about the positive work of your organisation, what you could offer an employer, or why you should receive additional funding for a project.

The Key Elements of a Presentation

Making a presentation is a way of communicating your thoughts and ideas to an audience and many of our articles on communication are also relevant here, see: What is Communication? for more.

Consider the following key components of a presentation:

Ask yourself the following questions to develop a full understanding of the context of the presentation.

When and where will you deliver your presentation?

There is a world of difference between a small room with natural light and an informal setting, and a huge lecture room, lit with stage lights. The two require quite different presentations, and different techniques.

Will it be in a setting you are familiar with, or somewhere new?

If somewhere new, it would be worth trying to visit it in advance, or at least arriving early, to familiarise yourself with the room.

Will the presentation be within a formal or less formal setting?

A work setting will, more or less by definition, be more formal, but there are also various degrees of formality within that.

Will the presentation be to a small group or a large crowd?

Are you already familiar with the audience?

With a new audience, you will have to build rapport quickly and effectively, to get them on your side.

What equipment and technology will be available to you, and what will you be expected to use?

In particular, you will need to ask about microphones and whether you will be expected to stand in one place, or move around.

What is the audience expecting to learn from you and your presentation?

Check how you will be ‘billed’ to give you clues as to what information needs to be included in your presentation.

The role of the presenter is to communicate with the audience and control the presentation.

Remember, though, that this may also include handing over the control to your audience, especially if you want some kind of interaction.

The audience receives the presenter’s message(s).

However, this reception will be filtered through and affected by such things as the listener’s own experience, knowledge and personal sense of values.

The message or messages are delivered by the presenter to the audience.

The message is delivered not just by the spoken word ( verbal communication ) but can be augmented by techniques such as voice projection, body language, gestures, eye contact ( non-verbal communication ), and visual aids.

The message will also be affected by the audience’s expectations. For example, if you have been billed as speaking on one particular topic, and you choose to speak on another, the audience is unlikely to take your message on board even if you present very well . They will judge your presentation a failure, because you have not met their expectations.

The audience’s reaction and therefore the success of the presentation will largely depend upon whether you, as presenter, effectively communicated your message, and whether it met their expectations.

As a presenter, you don’t control the audience’s expectations. What you can do is find out what they have been told about you by the conference organisers, and what they are expecting to hear. Only if you know that can you be confident of delivering something that will meet expectations.

How will the presentation be delivered?

Presentations are usually delivered direct to an audience.  However, there may be occasions where they are delivered from a distance over the Internet using video conferencing systems, such as Skype.

It is also important to remember that if your talk is recorded and posted on the internet, then people may be able to access it for several years. This will mean that your contemporaneous references should be kept to a minimum.

Impediments

Many factors can influence the effectiveness of how your message is communicated to the audience.

For example background noise or other distractions, an overly warm or cool room, or the time of day and state of audience alertness can all influence your audience’s level of concentration.

As presenter, you have to be prepared to cope with any such problems and try to keep your audience focussed on your message.

A strong presentation is so much more than information pasted onto a series of slides with fancy backgrounds. Whether you’re pitching an idea, reporting market research, or sharing something else, a great presentation can give you a competitive advantage, and be a powerful tool when aiming to persuade, educate, or inspire others. Here are some unique elements that make a presentation stand out.

  • Fonts: Sans Serif fonts such as Helvetica or Arial are preferred for their clean lines, which make them easy to digest at various sizes and distances. Limit the number of font styles to two: one for headings and another for body text, to avoid visual confusion or distractions.
  • Colors: Colors can evoke emotions and highlight critical points, but their overuse can lead to a cluttered and confusing presentation. A limited palette of two to three main colors, complemented by a simple background, can help you draw attention to key elements without overwhelming the audience.
  • Pictures: Pictures can communicate complex ideas quickly and memorably but choosing the right images is key. Images or pictures should be big (perhaps 20-25% of the page), bold, and have a clear purpose that complements the slide’s text.
  • Layout: Don’t overcrowd your slides with too much information. When in doubt, adhere to the principle of simplicity, and aim for a clean and uncluttered layout with plenty of white space around text and images. Think phrases and bullets, not sentences.

As an intern or early career professional, chances are that you’ll be tasked with making or giving a presentation in the near future. Whether you’re pitching an idea, reporting market research, or sharing something else, a great presentation can give you a competitive advantage, and be a powerful tool when aiming to persuade, educate, or inspire others.

No one becomes a great public speaker or presenter without practice. And almost everyone can recall a time one of their presentations went badly — that’s a painful part of the learning process.

Whether you’re working within a small creative team or a large organization, public speaking and presentation skills are vital to communicating your ideas. Knowing how to present your vision can help you pitch concepts to clients, present ideas to your team, and develop the confidence to participate in team meetings.

If you have an upcoming presentation on the horizon and feel nervous, that’s normal. Around 15-30% of the general population experience a fear of public speaking . And, unfortunately, social anxiety is on the rise, with a 12% increase in adults over the last 20 years . 

Learning how to give a good presentation can dismantle your fears and break down these barriers, ensuring you’re ready to confidently share your point of view. 

It’s the week before your presentation, and you’re already feeling nervous . Maybe there’ll be an important mentor in the room you need to impress, or you’re looking for an opportunity to show your boss your value. Regardless of your countless past presentations, you still feel nervous. 

Sharing your vision and ideas with any sized group is intimidating. You’re likely worrying about how you’ll perform as a presenter and whether the audience will be interested in what you offer. But nerves aren’t inherently negative — you can actually use this feeling to fuel your preparation.

It’s helpful to identify where your worries are coming from and address your fears. Here are some common concerns when preparing for an upcoming presentation:

Fear of public speaking: When you share your ideas in front of a group, you’re placing yourself in a vulnerable position to be critiqued on your knowledge and communication skills . Maybe you feel confident in your content, but when you think about standing in front of an audience, you feel anxious and your mind goes blank.

It’s also not uncommon to have physical symptoms when presenting . Some people experience nausea and dizziness as the brain releases adrenaline to cope with the potentially stressful situation . Remember to take deep breaths to recenter yourself and be patient, even if you make a mistake.

Losing the audience’s attention: As a presenter, your main focus is to keep your audience engaged. They should feel like they’re learning valuable information or following a story that will improve them in life or business.

Highlight the most exciting pieces of knowledge and ensure you emphasize those points in your presentation. If you feel passionate about your content, it’s more likely that your audience will experience this excitement for themselves and become invested in what you have to say.

Not knowing what content to place on presentation slides: Overloading presentation slides is a fast way to lose your audience’s attention. Your slides should contain only the main talking points and limited text to ensure your audience focuses on what you have to say rather than becoming distracted by the content on your slides.

Discomfort incorporating nonverbal communication: It’s natural to feel stiff and frozen when you’re nervous. But maintaining effective body language helps your audience stay focused on you as you speak and encourages you to relax.

If you struggle to incorporate body language into your presentations, try starting small by making hand gestures toward your slides. If you’re working with a large audience, use different parts of the stage to ensure everyone feels included. 

Each presenter has their own personal brand and style. Some may use humor to break the ice, while others might appeal to the audience’s emotional side through inspiring storytelling. 

Watching online presentations, such as TED talks, is an excellent way to expose yourself to various presentation styles and develop your own. While observing others, you can note how they carry themselves on stage and learn new ways to keep your audience engaged.

Once you’ve addressed what’s causing your fears, it’s time to prepare for a great presentation. Use your past experience as inspiration and aim to outshine your former self by learning from your mistakes and employing new techniques. Here are five presentation tips to help you create a strong presentation and wow your audience:

1. Keep it simple

Simple means something different to everyone.

Before creating your presentation, take note of your intended audience and their knowledge level of your subject. You’ll want your content to be easy for your intended audience to follow.

Say you’re giving a presentation on improving your company’s operational structure. Entry-level workers will likely need a more straightforward overview of the content than C-suite leaders, who have significantly more experience. 

Ask yourself what you want your audience to take away from your presentation and emphasize those important points. Doing this ensures they remember the most vital information rather than less important supporting ideas. Try organizing these concepts into bullet points so viewers can quickly identify critical takeaways.

2. Create a compelling structure

Put yourself in your audience member’s shoes and determine the most compelling way to organize your information. Your presentation should be articulate , cohesive, and logical, and you must be sure to include all necessary supporting evidence to strengthen your main points.

If you give away all of your answers too quickly, your audience could lose interest. And if there isn’t enough supporting information, they could hit a roadblock of confusion. Try developing a compelling story that leads your audience through your thought processes so they can experience the ups and downs alongside you. 

By structuring your presentation to lead up to a final conclusion, you’re more likely to keep listeners’ attention. Once you’ve reached that conclusion, you can offer a Q&A period to put any of their questions or concerns to rest. 

3. Use visual aids

Appealing to various learning styles is a great way to keep everyone on the same page and ensure they absorb your content. Visual aids are necessary for visual learners and make it easier for people to picture your ideas.

Aim to incorporate a mixture of photos, videos, and props to engage your audience and convey your key points. For instance, if you’re giving a presentation on anthropology subject matter, you could show your audience an artifact to help them understand how exciting a discovery must have been. 

If your presentation is long, including a video for your audience to watch is an excellent way to give yourself a break and create new jumping-off points for your speech.

4. Be aware of design techniques and trends

Thanks to cutting-edge technology and tools, you have numerous platforms at your disposal to create a good presentation. But keep in mind that although color, images, and graphics liven things up, they can cause distraction when misused.

  Here are a few standard pointers for incorporating visuals on your slides: 

  • Don’t place blocks of small text on a single slide
  • Use a minimalistic background instead of a busy one
  • Ensure text stands out against the background color
  • Only use high-resolution photos
  • Maintain a consistent font style and size throughout the presentation
  • Don’t overuse transitions and effects

5. Try the 10-20-30 rule

Guy Kawasaki, a prominent venture capitalist and one of the original marketing specialists for Apple, said that the best slideshow presentations are less than 10 slides , last at most 20 minutes, and use a font size of 30. Following this strategy can help you condense your information, eliminate unnecessary ideas, and maintain your audience’s focus more efficiently.

Once you’re confident in creating a memorable presentation, it’s time to learn how to give one. Here are some valuable tips for keeping your audience invested during your talk: 

Tip #1: Tell stories

Sharing an anecdote from your life can improve your credibility and increase your relatability. And when an audience relates to you, they’re more likely to feel connected to who you are as a person and encouraged to give you their full attention, as they would want others to do the same.

Gill Hicks utilized this strategy well when she shared her powerful story, “ I survived a terrorist attack. Here’s what I learned .” In her harrowing tale, Hicks highlights the importance of compassion, unconditional love, and helping those in need.

If you feel uncomfortable sharing personal stories, that’s okay. You can use examples from famous individuals or create a fictional account to demonstrate your ideas.

Tip #2: Make eye contact with the audience

Maintaining eye contact is less intimidating than it sounds. In fact, you don’t have to look your audience members directly in their eyes — you can focus on their foreheads or noses if that’s easier.

Try making eye contact with as many people as possible for 3–5 seconds each. This timing ensures you don’t look away too quickly, making the audience member feel unimportant, or linger too long, making them feel uncomfortable.

If you’re presenting to a large group, direct your focus to each part of the room to ensure no section of the audience feels ignored.

Tip #3: Work on your stage presence

Although your tone and words are the most impactful part of your presentation, recall that body language keeps your audience engaged. Use these tips to master a professional stage presence:

  • Speak with open arms and avoid crossing them
  • Keep a reasonable pace and try not to stand still
  • Use hand gestures to highlight important information

Tip #4: Start strong

Like watching a movie trailer, the first seconds of your talk are critical for capturing your audience’s attention. How you start your speech sets the tone for the rest of your presentation and tells your audience whether or not they should pay attention. Here are some ways to start your presentation to leave a lasting impression:

  • Use a quote from a well-known and likable influential person 
  • Ask a rhetorical question to create intrigue
  • Start with an anecdote to add context to your talk 
  • Spark your audience’s curiosity by involving them in an interactive problem-solving puzzle or riddle

Tip #5: Show your passion

Don’t be afraid of being too enthusiastic. Everyone appreciates a speaker who’s genuinely excited about their field of expertise. 

In “ Grit: The Power of Passion and Perseverance ,” Angela Lee Duckworth discusses the importance of passion in research and delivery. She delivers her presentation excitedly to show the audience how excitement piques interest. 

Tip #6: Plan your delivery

How you decide to deliver your speech will shape your presentation. Will you be preparing a PowerPoint presentation and using a teleprompter? Or are you working within the constraints of the digital world and presenting over Zoom?

The best presentations are conducted by speakers who know their stuff and memorize their content. However, if you find this challenging, try creating notes to use as a safety net in case you lose track.

If you’re presenting online, you can keep notes beside your computer for each slide, highlighting your key points. This ensures you include all the necessary information and follow a logical order.

Tip #7: Practice

Practice doesn’t make perfect — it makes progress. There’s no way of preparing for unforeseen circumstances, but thorough practice means you’ve done everything you can to succeed.

Rehearse your speech in front of a mirror or to a trusted friend or family member. Take any feedback and use it as an opportunity to fine-tune your speech. But remember: who you practice your presentation in front of may differ from your intended audience. Consider their opinions through the lens of them occupying this different position.

Tip #8: Read the room

Whether you’re a keynote speaker at an event or presenting to a small group of clients, knowing how to read the room is vital for keeping your audience happy. Stay flexible and be willing to move on from topics quickly if your listeners are uninterested or displeased with a particular part of your speech.

Tip #9: Breathe

Try taking deep breaths before your presentation to calm your nerves. If you feel rushed, you’re more likely to feel nervous and stumble on your words.

The most important thing to consider when presenting is your audience’s feelings. When you approach your next presentation calmly, you’ll put your audience at ease and encourage them to feel comfortable in your presence.

Tip #10: Provide a call-to-action

When you end your presentation, your audience should feel compelled to take a specific action, whether that’s changing their habits or contacting you for your services.

If you’re presenting to clients, create a handout with key points and contact information so they can get in touch. You should provide your LinkedIn information, email address, and phone number so they have a variety of ways to reach you. 

There’s no one-size-fits-all template for an effective presentation, as your unique audience and subject matter play a role in shaping your speech. As a general rule, though, you should aim to connect with your audience through passion and excitement. Use strong eye contact and body language. Capture their interest through storytelling and their trust through relatability.

Learning how to give a good presentation can feel overwhelming — but remember, practice makes progress. Rehearse your presentation for someone you trust, collect their feedback , and revise. Practicing your presentation skills is helpful for any job, and every challenge is a chance to grow.

What this handout is about

This handout will help you create an effective speech by establishing the purpose of your speech and making it easily understandable. It will also help you to analyze your audience and keep the audience interested.

What’s different about a speech?

Writing for public speaking isn’t so different from other types of writing. You want to engage your audience’s attention, convey your ideas in a logical manner and use reliable evidence to support your point. But the conditions for public speaking favor some writing qualities over others. When you write a speech, your audience is made up of listeners. They have only one chance to comprehend the information as you read it, so your speech must be well-organized and easily understood. In addition, the content of the speech and your delivery must fit the audience.

What’s your purpose?

People have gathered to hear you speak on a specific issue, and they expect to get something out of it immediately. And you, the speaker, hope to have an immediate effect on your audience. The purpose of your speech is to get the response you want. Most speeches invite audiences to react in one of three ways: feeling, thinking, or acting. For example, eulogies encourage emotional response from the audience; college lectures stimulate listeners to think about a topic from a different perspective; protest speeches in the Pit recommend actions the audience can take.

As you establish your purpose, ask yourself these questions:

  • What do you want the audience to learn or do?
  • If you are making an argument, why do you want them to agree with you?
  • If they already agree with you, why are you giving the speech?
  • How can your audience benefit from what you have to say?

Audience analysis

If your purpose is to get a certain response from your audience, you must consider who they are (or who you’re pretending they are). If you can identify ways to connect with your listeners, you can make your speech interesting and useful.

As you think of ways to appeal to your audience, ask yourself:

  • What do they have in common? Age? Interests? Ethnicity? Gender?
  • Do they know as much about your topic as you, or will you be introducing them to new ideas?
  • Why are these people listening to you? What are they looking for?
  • What level of detail will be effective for them?
  • What tone will be most effective in conveying your message?
  • What might offend or alienate them?

Creating an effective introduction

Get their attention, otherwise known as “the hook”.

Think about how you can relate to these listeners and get them to relate to you or your topic. Appealing to your audience on a personal level captures their attention and concern, increasing the chances of a successful speech. Speakers often begin with anecdotes to hook their audience’s attention. Other methods include presenting shocking statistics, asking direct questions of the audience, or enlisting audience participation.

Establish context and/or motive

Explain why your topic is important. Consider your purpose and how you came to speak to this audience. You may also want to connect the material to related or larger issues as well, especially those that may be important to your audience.

Get to the point

Tell your listeners your thesis right away and explain how you will support it. Don’t spend as much time developing your introductory paragraph and leading up to the thesis statement as you would in a research paper for a course. Moving from the intro into the body of the speech quickly will help keep your audience interested. You may be tempted to create suspense by keeping the audience guessing about your thesis until the end, then springing the implications of your discussion on them. But if you do so, they will most likely become bored or confused.

Making your speech easy to understand

Repeat crucial points and buzzwords.

Especially in longer speeches, it’s a good idea to keep reminding your audience of the main points you’ve made. For example, you could link an earlier main point or key term as you transition into or wrap up a new point. You could also address the relationship between earlier points and new points through discussion within a body paragraph. Using buzzwords or key terms throughout your paper is also a good idea. If your thesis says you’re going to expose unethical behavior of medical insurance companies, make sure the use of “ethics” recurs instead of switching to “immoral” or simply “wrong.” Repetition of key terms makes it easier for your audience to take in and connect information.

Incorporate previews and summaries into the speech

For example:

“I’m here today to talk to you about three issues that threaten our educational system: First, … Second, … Third,”

“I’ve talked to you today about such and such.”

These kinds of verbal cues permit the people in the audience to put together the pieces of your speech without thinking too hard, so they can spend more time paying attention to its content.

Use especially strong transitions

This will help your listeners see how new information relates to what they’ve heard so far. If you set up a counterargument in one paragraph so you can demolish it in the next, begin the demolition by saying something like,

“But this argument makes no sense when you consider that . . . .”

If you’re providing additional information to support your main point, you could say,

“Another fact that supports my main point is . . . .”

Helping your audience listen

Rely on shorter, simpler sentence structures.

Don’t get too complicated when you’re asking an audience to remember everything you say. Avoid using too many subordinate clauses, and place subjects and verbs close together.

Too complicated:

The product, which was invented in 1908 by Orville Z. McGillicuddy in Des Moines, Iowa, and which was on store shelves approximately one year later, still sells well.

Easier to understand:

Orville Z. McGillicuddy invented the product in 1908 and introduced it into stores shortly afterward. Almost a century later, the product still sells well.

Limit pronoun use

Listeners may have a hard time remembering or figuring out what “it,” “they,” or “this” refers to. Be specific by using a key noun instead of unclear pronouns.

Pronoun problem:

Keeping audience interest

Incorporate the rhetorical strategies of ethos, pathos, and logos.

When arguing a point, using ethos, pathos, and logos can help convince your audience to believe you and make your argument stronger. Ethos refers to an appeal to your audience by establishing your authenticity and trustworthiness as a speaker. If you employ pathos, you appeal to your audience’s emotions. Using logos includes the support of hard facts, statistics, and logical argumentation. The most effective speeches usually present a combination these rhetorical strategies.

Use statistics and quotations sparingly

Include only the most striking factual material to support your perspective, things that would likely stick in the listeners’ minds long after you’ve finished speaking. Otherwise, you run the risk of overwhelming your listeners with too much information.

Watch your tone

Be careful not to talk over the heads of your audience. On the other hand, don’t be condescending either. And as for grabbing their attention, yelling, cursing, using inappropriate humor, or brandishing a potentially offensive prop (say, autopsy photos) will only make the audience tune you out.

Creating an effective conclusion

Restate your main points, but don’t repeat them.

“I asked earlier why we should care about the rain forest. Now I hope it’s clear that . . .” “Remember how Mrs. Smith couldn’t afford her prescriptions? Under our plan, . . .”

Call to action

Speeches often close with an appeal to the audience to take action based on their new knowledge or understanding. If you do this, be sure the action you recommend is specific and realistic. For example, although your audience may not be able to affect foreign policy directly, they can vote or work for candidates whose foreign policy views they support. Relating the purpose of your speech to their lives not only creates a connection with your audience, but also reiterates the importance of your topic to them in particular or “the bigger picture.”

Practicing for effective presentation

Once you’ve completed a draft, read your speech to a friend or in front of a mirror. When you’ve finished reading, ask the following questions:

  • Which pieces of information are clearest?
  • Where did I connect with the audience?
  • Where might listeners lose the thread of my argument or description?
  • Where might listeners become bored?
  • Where did I have trouble speaking clearly and/or emphatically?
  • Did I stay within my time limit?

The next time you’re preparing to speak to a group, remember to keep your audience at the center of your communication, says Briar Goldberg, the director of speaker coaching at TED. One way to do this is to ask yourself: “What gift are you giving to your audience?”

TED recently partnered with Marriott Hotels to offer a special day-long seminar on public speaking for Marriott Bonvoy members. Briar Goldberg — TED’s director of speaker coaching who has helped prepare hundreds of people for the TED stage — gave them tips and tools to be better communicators in their own lives.

Below, she takes a deeper dive into one aspect of public speaking that many of us overlook when drafting our speeches and presentations: our audience.

Let’s be honest, there’s no shortage of public speaking advice out there. There are countless books, blog posts and YouTube videos offering you instructions on how to tell engaging stories, make eye contact, use hand gestures, and more. I think that’s great, although I’ll admit I’m biased. I’ve spent my career teaching public speaking and coaching executives, and since 2015, I’ve been working with TED speakers. I truly believe that everyone benefits when we communicate more effectively.

But even with so much advice available, I still see one big communication mistake made all of the time. It’s this: Most people communicate in the wrong direction .

What is the wrong direction? Too many of us write our scripts, build our decks, or compile our talking points before we think about our audience and what they need or expect to get out of our communication. This has serious consequences. When your audience doesn’t feel like your words apply to them, when they don’t understand what you’re trying to say, or, worse yet, they don’t care about your ideas, then your carefully-crafted slides, agenda or jokes simply don’t matter.

My earliest mentor in this work, Jim Wagstaffe always tells speakers to practice their ABCs: Audience Before Content. I love that acronym so much because it captures the essence of what communication is really all about — it’s not about you, the speaker; it’s always about your audience. Your audience’s needs should always be your central focus.

At TED, when we’re helping speakers prepare their talks, we ask them to identify the “gift” they’re giving the audience. In my opinion, this is what every communicator should be asking themselves before any kind of communication — whether it’s a keynote or a TED Talk or something smaller like a pitch to your boss or a statement at a community meeting. What gift are you giving the audience?

The good news is, understanding how to put your audience at the center of your communication isn’t rocket science. And when you do it correctly, I can almost guarantee that your next speech, presentation or meeting will be a success.

What does it really mean to know your audience?

You’ve probably heard the phrase “know your audience.” I’ve even seen lists floating around that offer a series of questions designed to help you do this, with queries such as: “What’s the gender breakdown of your audience?” “Are they executives or middle-managers?” “Where are they from?”

While demographic information like this is important — for example, you should probably rethink a joke about swiping right if the average age of your audience is 76 — the kind of knowledge I’m talking about goes much deeper. It goes beyond the superficial to zoom in on these two key things: “What are my audience’s goals?” and “How do they make decisions?”

How to really understand your audience’s goals

This means you’ll need to ask a different set of questions — ones that get at your audience’s needs and expectations. These include:

“Why are these people taking time out of their busy schedules to listen to me speak?”

“What do they hope (or need) to gain from this presentation/speech/address/meeting?”

“What are their expectations coming in?”

“What can I say in order to meet or exceed those expectations?”

Once you know the answers to these questions, you can craft a communication that is tailored to your audience; when you do, your audience is more likely to stay focused, remember what you said, pass on the information you shared, and remember you as a good speaker.

But what happens if your goals as a speaker don’t align with the audience’s goals?

As a communicator, you will have your own goals. Perhaps you’re an executive and you have an important message that you need the rest of the company to hear. Maybe you’ve designed a new product that you want your customers to get excited about. Getting clear on your own communication goals is important because then you can evaluate if your goals line up with your audience’s goals. If they do, that’s great — and you can start crafting your communication.

But sometimes they won’t. When this happens, it’s your job to figure out how to close the gap and persuade the audience that your goals can — and should — be their goals, too. I’m not talking about manipulation or asking you to trick people into thinking something different. What I am advocating is that you work to understand your audience well enough to know how they make decisions and what kind of information they need to have to be persuaded of their own accord.

One of the most persuasive TED Talks this year was delivered by sleep expert Matt Walker . Everyone has different goals when they decide to watch a talk about sleep. But Matt was clear on his goal: to convince people to prioritize sleep above all else. To get the audience on his side, he had to persuade them that getting enough sleep is the single most important thing they could do with our time.

Understand how your audience makes decisions

You can’t effectively persuade anyone unless you know what kind of information they need to make a decision. Think about it this way: If a salesperson was trying to sell you a new computer, you wouldn’t decide to buy it until they told you the price. With your audience, you can’t expect to influence them until you provide them with the information they need to decide if they want to change their minds.

But every audience is different. How do you know what kind of information you need to offer in order to sway them? There are entire bodies of research that cover audience persuasion strategies. But let me offer a simple framework to get you started.

In general, audiences can be broken down into three types: expert, novice and mixed. An expert audience understands your topic and they might already know you, the speaker. If you’re a real-estate broker addressing an annual meeting of the nation’s realtors, you’re speaking to an expert audience. A novice audience doesn’t know much about the topic and doesn’t know anything about you. An example of this would be a real-estate broker speaking at an open-house for community residents interested in buying a first home. But more often than not, your audience will be a mix of experts, novices and everyone in-between. The large, international TED audience is a perfect example of a mixed audience.

When you’re speaking to an expert audience: Use logical/quantitative arguments to persuade them.

In general, expert audiences are more likely to be persuaded by logical arguments and quantitative information. If you’re a real-estate broker trying to convince your expert audience to invest in a new kind of property, you’re more likely to be successful if your presentation is built around data and statistics that support this plan.

When you’re speaking to a novice audience: Lean into your own credibility.

Because a novice audience doesn’t know much about you or your topic, they tend to make decisions based on your credibility and the credibility of your sources. Therefore, it can be important to build up your reputation and credentials so they’ll trust what you’re saying and follow your recommendations.

When I’m giving a lecture on public speaking to a group who doesn’t know me, I always mention the universities I’ve taught at and some of the names of executives I’ve coached. This isn’t to brag — and let me be clear, you’ll need to use your judgement to figure out how much information to give so it doesn’t sound like you’re bragging — but it’s a quick way for me to get my audience to accept that I’m a solid source of communication advice and that they should listen to me. In some cases, I’ll tell my audience where a particular piece of information in my lecture came from. By saying “Harvard published this study last year…” I’m referencing a respected source, which reinforces my credibility as a speaker.

When you’re speaking to a mixed audience: Appeal to their emotions.

Emotional appeals can be very persuasive, especially when you’re speaking to a mixed audience. After all, everyone has made a decision based on their emotions at one point or another in their lives. Last year, TED speaker Nora McInerny shared her own experience with death to teach us about moving forward with grief. It was an A+ example of an emotional appeal.

OK great, but how do I find out all this information about my audience?

Well, that’s part of the fun. OK, maybe it’s not always fun but it is your responsibility to take a deep dive into your audience, their needs, and their motivations and — trust me — this work will pay off ten-fold. If you’re speaking at an official conference or meeting, I recommend starting with the person or organization who asked you to speak. What can they tell you about the audience? Are they willing to share any of registration information? How did they market the event? If you’re speaking on an earnings call, what about the analysts who follow your company — have you ever asked them what they need or want? If you’re speaking at your company’s town hall, can you talk to your team and find out what they expect to hear from you? If you’re speaking at an event in another country, can you find a translator or local who can help you better understand the expectations of that audience?

The information is out there — you just need to find and use it. You’ll know when you’ve done it right, because your audience will stay engaged and, when you’re done speaking, they’ll help pass your message along.

How to Prepare for a Presentation, with Examples

This guide covers everything you need to know to prepare for your presentation. including what you need to think about beforehand, during and after the presentation.

1. Rehearse, rehearse, rehearse (always aloud)

Once you have your presentation worked out, you will need to practice it, but even though you might think it’s the best way to have a flawless presentation, don’t memorise what you’re going to say.

That might sound like incredibly bad advice, but here’s why:

  • If you memorise your speech, you’ll get stuck in thinking you can only deliver your ideas in that way, and that stifles your creativity, and the chance for new thoughts and ways to put things that come up as you speak.

Not only that, but every  audience is different . Sometimes they laugh out loud, sometimes they sit and smile, and you never know which type of audience you’ll have until you’re live.

If you’re going off a memorised presentation, it’s much more difficult to break away from that to go with the flow on the day, and respond naturally to your audience.

  • If you forget your speech in the middle of it, you will be thrown, and you’ll have more chance of complete brain freeze, which really will knock your confidence.
  • Memorising your presentation gives you a false sense of security, which could leave you high and dry if something goes wrong. If you’ve only got your memorised speech, for example, what will you do if your PowerPoint freezes or your props break, and you can’t do what you were going to do?

Rehearse in front of colleagues, friends, a mirror, in virtual reality – always aloud. Make sure you spend plenty of time practising your presentation, it will make you feel much more relaxed if you know your material.

2. Memorise your opening line

Do, however, memorise your opening line. If you know how you’re going to begin, you’ll get a strong start and that will build your confidence.

Many speakers and stage actors find that the minute they’ve actually delivered their first line, the nerves are gone and they’re well into their stride.

3. Practise your speech from written notes

Writing your presentation out in your own handwriting will help you clarify your ideas and may well bring you new ones.

4. Practise presentation flow

As well as practising for the ideas and what you want to say, practise how you want your presentation to flow. Think of it almost as a symphony, with high points, slow movements and crescendos. If it’s important, think about how you want your audience to feel, what emotions you want them to have, and when.

5. The power of silence

Don’t be afraid to pause and use the power of silence. A good pause can have a huge emotional impact. It allows people to really absorb what you are saying and react, and it’s vital to pause if you’re using humour so that the next part of your presentation doesn’t get lost underneath people’s laughter.

6. Have a backup

There’s nothing worse than the projector dying or finding that your laptop won’t communicate with the projector for some reason. If you know you have a backup, even if it’s only a pre-prepared flip chart, you’ll feel better, and you’ll be more confident.

7. Arrive early

Following on from that, arrive at least half an hour early so you aren’t feeling rushed, and so you have time to check your equipment and get your notes laid out ready to go. That gives you time to breathe and relax before you go on, knowing everything is as set as it can be.

8. Use physical props for a demo

Use physical props, if possible, for a demo. This can make you stand out and be more memorable among all the other speakers who only use PowerPoint, and it can add greatly to the impact of your presentation.

9. Structure your presentation

First, find out how much time you have to present, is it 10 minutes, 15, an hour? Prepare enough material for this time and have a couple of extra slides as backup – we tend to speak much quicker when nervous so you might find you finish your presentation too early. At some large conference events, timings may change on the day, be aware of this have a shorter version of your presentation in mind (i.e. know which slides to skip over).

10. Prepare for questions

Have a few backup slides for questions you think will arise from your presentation. It is sometime a tactic to explain a section briefly in your speech, so that you get a question about it afterwards. If you don’t understand the question, ask for it to be rephrased.

If there are no questions, it is not an indication how good or bad your presentation was. You many have explain your material extremely well, or simply that people are tired at the end of the day and want to go home.

11. Prepare for where you are presenting

If you can, go to the room you are speaking in before the actual event. It gives you an idea of furniture layout, podium height, location, room size, audience size and lighting. You can then visualise the room while practising and avoid the shock of suddenly being faced with a huge room when you expected a tiny one.

Ask the organiser if you need any particular props, for example a table to help with your live demo.

Additional planning to think about before your presentation:

1. Purpose  – what outcome are we trying to achieve? How can results be measured? What will success look like?

2. Topic  – Novelty? Complexity? Technical?

3. People  – Who should attend? What do they already know? How are they going to help?

4. Timing  – When will it happen and how long will the presentation take?

5. Location  – Where will the presentation be held? Do you have access to the correct facilities for the presentation?

6. Papers  – Who is keeping minutes? Do you need to send out an agenda before the presentation? Background information required?

7. Visual aids  – Is a  projector required ? Boards?

8. Style  – Structure or unstructured, discussion style? How assertive should you be? How should the meeting items be organised?

12. Choose the signals to give to your audience

Before the presentation, think about these 5 topics:

  • Eye contact
  • Facial gestures
  • Body language

3/ Craft Clear and Concise Sentences

Once you’ve outlined your presentation, you need to edit your sentences. Use clear and straightforward language to ensure your message is easily understood.

Alternatively, you can break down complex ideas into simpler concepts and provide clear explanations or examples to aid comprehension.

4/ Use Visual Aids and Supporting Materials

Use supporting materials such as statistics, research findings, or real-life examples to back up your points and make them more compelling. 

  • Example: “As you can see from this graph,… This demonstrates….”

5/ Include Engagement Techniques

Incorporate interactive elements to engage your audience, such as Q&A sessions , conducting live polls, or encouraging participation. You can also spin more funs into group, by randomly dividing people into different groups to get more diverse feedbacks!

6/ Rehearse and Revise

You can conduct interviews, write or call for information from a clearinghouse or public relations office, and consult books, magazines, journals, newspapers, television and radio programs, and government documents. The library will probably be your primary source of information. You can use many of the libraries databases or talk to a reference librarian to learn how to conduct efficient research.

Taking Notes

While doing your research, you may want to carry notecards. When you come across a useful passage, copy the source and the information onto the notecard or copy and paste the information. Upon review of the specific case, plagiarism can result in failure of the assignment, the course, or even dismissal from the University. A quotation from a famous person or from an expert on your topic can gain the attention of the audience. The use of a quotation immediately launches you into the speech and focuses the audience on your topic area. If it is from a well-known source, cite the author first. If the source is obscure, begin with the quote itself.

Unusual Statement

Making a statement that is unusual to the ears of your listeners is another possibility for gaining their attention.

Example Text : "Follow the drinking gourd. That's what I said, friend, follow the drinking gourd." This phrase was used by slaves as a coded message to mean the Big Dipper, which revealed the North Star, and pointed toward freedom.

You might chose to use tasteful humor which relates to the topic as an effective way to attract the audience both to you and the subject at hand.

[PAUSE] I'm not sure, but these may have been Henry "Box" Brown's very words after being placed on his head inside a box which measured 3 feet by 2 feet by 2 1\2 feet for what seemed to him like "an hour and a half." Another possibility to consider is the use of a factual statistic intended to grab your listener's attention. As you research the topic you've picked, keep your eyes open for statistics that will have impact.

In your introduction, you need to adapt your speech to your audience. To keep audience members interested, tell them why your topic is important to them. To accomplish this task, you need to undertake audience analysis prior to creating the speech. Figure out who your audience members are, what things are important to them, what their biases may be, and what types of subjects/issues appeal to them. In the context of this class, some of your audience analysis is provided for you--most of your listeners are college students, so it is likely that they place some value on education, most of them are probably not bathing in money, and they live in Colorado. Consider these traits when you determine how to adapt to your audience.

As you research and write your speech, take note of references to issues that should be important to your audience. Include statements about aspects of your speech that you think will be of special interest to the audience in the introduction. By accomplishing this task, you give your listeners specific things with which they can identify. Audience adaptation will be included throughout the speech, but an effective introduction requires meaningful adaptation of the topic to the audience.

You need to find ways to get the members of your audience involved early in the speech. The following are some possible options to connect your speech to your audience:

Reference to the Occasion

Consider how the occasion itself might present an opportunity to heighten audience receptivity. Remind your listeners of an important date just passed or coming soon.

Example Text : This January will mark the 130th anniversary of a "giant interracial rally" organized by William Still which helped to end streetcar segregation in the city of Philadelphia (Katz i).

Reference to the Previous Speaker

Another possibility is to refer to a previous speaker to capitalize on the good will which already has been established or to build on the information presented.

Example Text : As Alice pointed out last week in her speech on the Olympic games of the ancient world, history can provide us with fascinating lessons.

The credibility statement establishes your qualifications as a speaker. You should come up with reasons why you are someone to listen to on this topic. Why do you have special knowledge or understanding of this topic? What can the audience learn from you that they couldn't learn from someone else? Credibility statements can refer to your extensive research on a topic, your life-long interest in an issue, your personal experience with a thing, or your desire to better the lives of your listeners by sifting through the topic and providing the crucial information.

Remember that Aristotle said that credibility, or ethos, consists of good sense, goodwill, and good moral character. Create the feeling that you possess these qualities by creatively stating that you are well-educated about the topic (good sense), that you want to help each member of the audience (goodwill), and that you are a decent person who can be trusted (good moral character). Once you establish your credibility, the audience is more likely to listen to you as something of an expert and to consider what you say to be the truth. It is often effective to include further references to your credibility throughout the speech by subtly referring to the traits mentioned above.

Show your listeners that you are qualified to speak by making a specific reference to a helpful resource. This is one way to demonstrate competence.

Example Text : In doing research for this topic, I came across an account written by one of these heroes that has deepened my understanding of the institution of slavery. Frederick Douglass', My Bondage and My Freedom, is the account of a man whose master's kindness made his slavery only more unbearable.

Your listeners want to believe that you have their best interests in mind. In the case of an informative speech, it is enough to assure them that this will be an interesting speech and that you, yourself, are enthusiastic about the topic.

Example Text : I hope you'll enjoy hearing about the heroism of the Underground Railroad as much as I have enjoyed preparing for this speech.

Preview the Main Points

The preview informs the audience about the speech's main points. You should preview every main body point and identify each as a separate piece of the body. The purpose of this preview is to let the audience members prepare themselves for the flow of the speech; therefore, you should word the preview clearly and concisely. Attempt to use parallel structure for each part of the preview and avoid delving into the main point; simply tell the audience what the main point will be about in general.

Use the preview to briefly establish your structure and then move on. Let the audience get a taste of how you will divide the topic and fulfill the thesis and then move on. This important tool will reinforce the information in the minds of your listeners. Here are two examples of a preview:

Simply identify the main points of the speech. Cover them in the same order that they will appear in the body of the presentation.

For example, the preview for a speech about kites organized topically might take this form: "First, I will inform you about the invention of the kite. Then, I will explain the evolution of the kite. Third, I will introduce you to the different types of kites. Finally, I will inform you about various uses for kites." Notice that this preview avoids digressions (e.g., listing the various uses for kites); you will take care of the deeper information within the body of the speech.

Example Text : I'll tell you about motivations and means of escape employed by fugitive slaves.

Chronological

For example, the preview for a speech about the Pony Express organized chronologically might take this form: "I'll talk about the Pony Express in three parts. First, its origins, second, its heyday, and third, how it came to an end." Notice that this preview avoids digressions (e.g., listing the reasons why the Pony Express came to an end); you will cover the deeper information within the body of the speech.

After you accomplish the first five components of the introduction, you should make a clean transition to the body of the speech. Use this transition to signal a change and prepare the audience to begin processing specific topical information. You should round out the introduction, reinforce the excitement and interest that you created in the audience during the introduction, and slide into the first main body point.

Strategic organization helps increase the clarity and effectiveness of your speech. Four key issues are discussed in this section:

Organizational Patterns

Connective devices, references to outside research.

The body contains the bulk of information in your speech and needs to be clearly organized. Without clear organization, the audience will probably forget your information, main points, perhaps even your thesis. Some simple strategies will help you create a clear, memorable speech. Below are the four key issues used in organizing a speech.

Once you settle on a topic, you should decide which aspects of that topic are of greatest importance for your speech. These aspects become your main points. While there is no rule about how many main points should appear in the body of the speech, most students go with three main points. You must have at least two main points; aside from that rule, you should select your main points based on the importance of the information and the time limitations. Be sure to include whatever information is necessary for the audience to understand your topic. Also, be sure to synthesize the information so it fits into the assigned time frame. As you choose your main points, try to give each point equal attention within the speech. If you pick three main points, each point should take up roughly one-third of the body section of your speech.

There are four basic patterns of organization for an informative speech.

  • Chronological order
  • Spatial order
  • Causal order
  • Topical order

Chronological Order

A speech organized chronologically has main points oriented toward time. For example, a speech about the Farm Aid benefit concert could have main points organized chronologically. The first main point focuses on the creation of the event; the second main point focuses on the planning stages; the third point focuses on the actual performance/concert; and the fourth point focuses on donations and assistance that resulted from the entire process. In this format, you discuss main points in an order that could be followed on a calendar or a clock.

Spatial Order

A speech organized spatially has main points oriented toward space or a directional pattern. The Farm Aid speech's body could be organized in spatial order. The first main point discusses the New York branch of the organization; the second main point discusses the Midwest branch; the third main point discusses the California branch of Farm Aid. In this format, you discuss main points in an order that could be traced on a map.

Causal Order

A speech organized causally has main points oriented toward cause and effect. The main points of a Farm Aid speech organized causally could look like this: the first main point informs about problems on farms and the need for monetary assistance; the second main point discusses the creation and implementation of the Farm Aid program. In this format, you discuss main points in an order that alerts the audience to a problem or circumstance and then tells the audience what action resulted from the original circumstance.

Topical Order

A speech organized topically has main points organized more randomly by sub-topics. The Farm Aid speech could be organized topically: the first main point discusses Farm Aid administrators; the second main point discusses performers; the third main point discusses sponsors; the fourth main point discusses audiences. In this format, you discuss main points in a more random order that labels specific aspects of the topic and addresses them in separate categories. Most speeches that are not organized chronologically, spatially, or causally are organized topically.

Within the body of your speech, you need clear internal structure. Connectives are devices used to create a clear flow between ideas and points within the body of your speech--they serve to tie the speech together. There are four main types of connective devices:

Transitions

Internal previews, internal summaries.

Within the body of your speech, you need clear internal structure. Think of connectives as hooks and ladders for the audience to use when moving from point-to-point within the body of your speech. These devices help re-focus the minds of audience members and remind them of which main point your information is supporting. The four main types of connective devices are:

Transitions are brief statements that tell the audience to shift gears between ideas. Transitions serve as the glue that holds the speech together and allow the audience to predict where the next portion of the speech will go. For example, once you have previewed your main points and you want to move from the introduction to the body of the Farm Aid speech, you might say: "To gain an adequate understanding of the intricacies of this philanthropic group, we need to look at some specific information about Farm Aid. We'll begin by looking at the administrative branch of this massive fund-raising organization."

Internal previews are used to preview the parts of a main point. Internal previews are more focused than, but serve the same purpose as, the preview you will use in the introduction of the speech. For example, you might create an internal preview for the complex main point dealing with Farm Aid performers: "In examining the Farm Aid performers, we must acknowledge the presence of entertainers from different genres of music--country and western, rhythm and blues, rock, and pop." The internal preview provides specific information for the audience if a main point is complex or potentially confusing.

Internal summaries are the reverse of internal previews. Internal summaries restate specific parts of a main point. To internally summarize the main point dealing with Farm Aid performers, you might say: "You now know what types of people perform at the Farm Aid benefit concerts. The entertainers come from a wide range of musical genres--country and western, rhythm and blues, rock, and pop." When using both internal previews and internal summaries, be sure to stylize the language in each so you do not become redundant.

Signposts are brief statements that remind the audience where you are within the speech. If you have a long point, you may want to remind the audience of what main point you are on: "Continuing my discussion of Farm Aid performers . . . "

When organizing the body of your speech, you will integrate several references to your research. The purpose of the informative speech is to allow you and the audience to learn something new about a topic. Additionally, source citations add credibility to your ideas. If you know a lot about rock climbing and you cite several sources who confirm your knowledge, the audience is likely to see you as a credible speaker who provides ample support for ideas.

Without these references, your speech is more like a story or a chance for you to say a few things you know. To complete this assignment satisfactorily, you must use source citations. Consult your textbook and instructor for specific information on how much supporting material you should use and about the appropriate style for source citations.

While the conclusion should be brief and tight, it has a few specific tasks to accomplish:

Re-assert/Reinforce the Thesis

Review the main points, close effectively.

Take a deep breath! If you made it to the conclusion, you are on the brink of finishing. Below are the tasks you should complete in your conclusion:

When making the transition to the conclusion, attempt to make clear distinctions (verbally and nonverbally) that you are now wrapping up the information and providing final comments about the topic. Refer back to the thesis from the introduction with wording that calls the original thesis into memory. Assert that you have accomplished the goals of your thesis statement and create the feeling that audience members who actively considered your information are now equipped with an understanding of your topic. Reinforce whatever mood/tone you chose for the speech and attempt to create a big picture of the speech.

Within the conclusion, re-state the main points of the speech. Since you have used parallel wording for your main points in the introduction and body, don't break that consistency in the conclusion. Frame the review so the audience will be reminded of the preview and the developed discussion of each main point. After the review, you may want to create a statement about why those main points fulfilled the goals of the speech.

Finish strongly. When you close your speech, craft statements that reinforce the message and leave the audience with a clear feeling about what was accomplished with your speech. You might finalize the adaptation by discussing the benefits of listening to the speech and explaining what you think audience members can do with the information.

Remember to maintain an informative tone for this speech. You should not persuade about beliefs or positions; rather, you should persuade the audience that the speech was worthwhile and useful. For greatest effect, create a closing line or paragraph that is artistic and effective. Much like the attention-getter, the closing line needs to be refined and practiced. Your close should stick with the audience and leave them interested in your topic. Take time to work on writing the close well and attempt to memorize it so you can directly address the audience and leave them thinking of you as a well-prepared, confident speaker.

Outlining an Informative Speech

Two types of outlines can help you prepare to deliver your speech. The complete sentence outline provides a useful means of checking the organization and content of your speech. The speaking outline is an essential aid for delivering your speech. In this section, we discuss both types of outlines.

The Complete Sentence Outline

A complete sentence outline may not be required for your presentation. The following information is useful, however, in helping you prepare your speech.

The complete sentence outline helps you organize your material and thoughts and it serves as an excellent copy for editing the speech. The complete sentence outline is just what it sounds like: an outline format including every complete sentence (not fragments or keywords) that will be delivered during your speech.

Writing the Outline

You should create headings for the introduction, body, and conclusion and clearly signal shifts between these main speech parts on the outline. Use standard outline format. For instance, you can use Roman numerals, letters, and numbers to label the parts of the outline. Organize the information so the major headings contain general information and the sub-headings become more specific as they descend. Think of the outline as a funnel: you should make broad, general claims at the top of each part of the outline and then tighten the information until you have exhausted the point. Do this with each section of the outline. Be sure to consult with your instructor about specific aspects of the outline and refer to your course book for further information and examples.

Using the Outline

If you use this outline as it is designed to be used, you will benefit from it. You should start the outline well before your speech day and give yourself plenty of time to revise it. Attempt to have the final, clean copies ready two or three days ahead of time, so you can spend a day or two before your speech working on delivery. Prepare the outline as if it were a final term paper.

The Speaking Outline

Depending upon the assignment and the instructor, you may use a speaking outline during your presentation. The following information will be helpful in preparing your speech through the use of a speaking outline.

This outline should be on notecards and should be a bare bones outline taken from the complete sentence outline. Think of the speaking outline as train tracks to guide you through the speech.

Many speakers find it helpful to highlight certain words/passages or to use different colors for different parts of the speech. You will probably want to write out long or cumbersome quotations along with your source citation. Many times, the hardest passages to learn are those you did not write but were spoken by someone else. Avoid the temptation to over-do the speaking outline; many speakers write too much on the cards and their grades suffer because they read from the cards.

The best strategy for becoming comfortable with a speaking outline is preparation. You should prepare well ahead of time and spend time working with the notecards and memorizing key sections of your speech (the introduction and conclusion, in particular). Try to become comfortable with the extemporaneous style of speaking. You should be able to look at a few keywords on your outline and deliver eloquent sentences because you are so familiar with your material. You should spend approximately 80% of your speech making eye-contact with your audience.

Delivering an Informative Speech

For many speakers, delivery is the most intimidating aspect of public speaking. Although there is no known cure for nervousness, you can make yourself much more comfortable by following a few basic delivery guidelines. In this section, we discuss those guidelines.

The Five-Step Method for Improving Delivery

  • Read aloud your full-sentence outline. Listen to what you are saying and adjust your language to achieve a good, clear, simple sentence structure.
  • Practice the speech repeatedly from the speaking outline. Become comfortable with your keywords to the point that what you say takes the form of an easy, natural conversation.
  • Practice the speech aloud...rehearse it until you are confident you have mastered the ideas you want to present. Do not be concerned about "getting it just right." Once you know the content, you will find the way that is most comfortable for you.
  • Practice in front of a mirror, tape record your practice, and/or present your speech to a friend. You are looking for feedback on rate of delivery, volume, pitch, non-verbal cues (gestures, card-usage, etc.), and eye-contact.
  • Do a dress rehearsal of the speech under conditions as close as possible to those of the actual speech. Practice the speech a day or two before in a classroom. Be sure to incorporate as many elements as possible in the dress rehearsal...especially visual aids.

It should be clear that coping with anxiety over delivering a speech requires significant advanced preparation. The speech needs to be completed several days beforehand so that you can effectively employ this five-step plan.

It is rare to see a presentation completed well, be it inside the organization, to the client or to a larger audience.  The energy often quickly drops away, the voice just fades right out and there is no clear signal that this is the end.  The audience is unsure whether to applaud or if there is more coming.  Everyone is stuck in limbo wondering what to do next.  The narrative arc seems to go missing in action at the final stage and the subsequent silence becomes strained.  It sometimes reminds me of classical music performances, when I am not sure if this is the time to applaud or not. First and last impressions are critical in business and in life, so why leave these to random chance?  We need to strategise how we will end, how we will ensure our key messages linger in the minds of the listeners and how we will have the audience firmly enthralled, as our permanent fan base.  Endings are critical pieces of the presentation puzzle and usually that means two endings not just one.  These days, it is rare that we don’t go straight into some form of Q&A session, once the main body of the talk has been completed.  So we need an ending for the presentation just given and we need another ending after the Q&A.  Why the second one, why not just let it end with the final question?  The pro never lets that happen.  Even the most knee quivering, voice choking, collar perspiration drenched, meltdown of a speaker is in 100% control while they have the floor. The audience usually let’s them speak without denunciation or persistent interruption.  Life changes though once we throw the floor open to take questions.  At that point speaker control is out the window and the street fight begins.  Now most Japanese audiences don’t go after the speaker, they are too reserved and polite.  Western audiences are less docile and big bosses ask difficult and potentially embarrassing questions. When we get to the Q&A, the members of the audience are able to ask rude, indignant questions, challenging everything you hold to be true.  They can denounce you as a charlatan, scoundrel, dilettante and unabashed poseur.  Sometimes, they even launch forth into their own mini-speech, usually unrelated to whatever it was you were talking about.  Or they move the conversation off to a new place, which has nothing to do with your keynote content.  Suddenly your message is lost. The original topic of your talk is now a distant memory.  That is why the pros ensure they bring it all back together with a final close to the proceedings.  Let the masses wander hither and thither with their questions, the pro never worries.  After the last question is done, the last word is now with the speaker, not some provocateur who happened to turn up to the event.  Surprisingly, many speakers don’t claim this right and allow the last question from the audience member to set the tone for the whole proceedings.  Don’t ever let that happen. There are a number of ways of bringing the speech home.  In the first close, before the Q&A, we might harken back to something we said in our opening, to neatly tie the beginning and end together.  Or we might restate the key messages we wish to get across.  Another alternative is a summary of the key points to refresh everyone’s recollection of what we were saying.  We might end with a memorable story that will linger in the minds of the audience, that encapsulates all that we wanted to say.  Storytelling is such a powerful medium for increasing the memory of what has been said, you would expect more speakers would use it. When we do this wrap-up, we should be picking out key words to emphasise, either by ramping our vocal power up or taking it down in strength to differentiate from the rest of what we are saying.  Speaking with the same vocal power throughout just equates the messages together. What is an Ignite presentation, and why should you try it?

What is Ignite?

Promoted under the slogan, “Enlighten us, but make it quick,” Ignite is a presentation format where a presenter speaks while slides advance automatically to support them. An Ignite presentation is exactly 5 minutes, and contains exactly 20 slides. The slides advance automatically after each slide is displayed for 15 seconds.

With fixed timing and clear constraints, the Ignite style is suitable for many situations , including classroom presentations, Toastmasters meetings, and both corporate and conference events.

History of Ignite Presentations

Brady Forrest, technology specialist for O’Reilly Media, and Bre Pettis of MAKE magazine developed Ignite in 2006 as a way for the Seattle tech community to get together, socialize, and share their personal and professional passions. Ignite was born out of this desire to combine amazing, big ideas with networking. After the initial event in Seattle, Ignite has gone global in over 100 cities.

There are several benefits inherent in the Ignite method which will aid you and your audience.

1. The Ignite style can prove much more fulfilling for an audience than the standard free-form presentation.

Garr Reynolds wrote, “One secret to a healthy life (and a great presentation).” In his article , Reynolds defined the concept hara hachi bu – to eat until you are 80% full. Reynolds believes we should apply this concept both to our meals and to our presentations. The Ignite presentation format is so short that it gives the audience just a taste; the presenter isn’t stuffing them full of information. A good Ignite presentation — like all good presentations — should leave an audience satisfied but still hungry for more.

2. The Ignite format emphasizes content decisions, not numbers of visuals or timing.

While the idea of speaking under such strict constraints may seem intimidating, the Ignite format helps a presenter eliminate some tough decisions about the execution of his or her speech. The speaker can instead spend time on making content-based choices. Spending much more time on speech content allows a speaker to pinpoint and explain the main idea as opposed to rambling aimlessly.

3. Preparation is mandatory.

Preparation is essential for any great presentation. Most of us, however, aren’t actually willing to put in the amount of preparation time it takes to resonate with our audiences. Even presenters who believe they can “wing it” are forced to prepare with the Ignite format . The extra practice and preparation leads to stronger speeches.

4. Ignite presentations respect audience time.

Many presenters ignore time limits. With a self-playing format that requires the extra element of practice and preparation, speakers are more likely to remain on track for time .

For example, I teach the Ignite format in my public speaking class. During non-Ignite presentations, students are likely to speak longer than the time allotted, but during Ignite presentations, students rarely go much longer than 5 minutes. The Ignite format does not guarantee that a speaker will finish at exactly 5:00; for example, the students who go over on time speak after the presentation has finished.

5. The Ignite format encourages concision.

With only 20 slides, a presenter must make important decisions about introduction, body, and conclusion. There is an emphasis on cutting and reducing, and this is always a good thing when it comes to presentations. The age-old advice of Sir Arthur Quiller-Couch also applies to presentations: we must learn to “murder our darlings.” The act of cutting and reducing adds to the effectiveness of the speech. Why? Strong presenters know that refining a presentation allows the audience to receive, hear, and digest only the most important information.

There are drawbacks to the Ignite format:

  • The fixed timing can be a drawback if your message cannot be communicated within 5 minutes. For example, the Ignite style probably wouldn’t work for a lecture on the composition of the human brain. If your topic is complex, an Ignite may serve as an introduction, but the format isn’t conducive for all of those intricate and dense details.
  • If you need to use multimedia , Ignite won’t work for your presentation. Video doesn’t fit well into the format. Additionally, transitions and animations aren’t recommended because of the simplicity emphasized by the automatically-playing format. Remember, you don’t have a clicker, so you can’t control the slides while you present.
  • Additionally, since the presentation runs automatically, the speaker doesn’t have time for extensive audience interaction   during the presentation. However, since the presentation is short, the time after the speech works well for Q&A or discussion.

Though there are drawbacks to this presentation format, the benefits are much stronger, and I encourage you to try out Ignite for yourself. If done properly, an Ignite presentation will do just that: ignite an audience to support your idea, event, or cause.

This format is nearly the same as the Pacha Kucha format, of 20 slides of 20 seconds each. Wikipedia states that pechakucha started in 2003, so the ignite format seems a sped-up version. http://en.wikipedia.org/wiki/PechaKucha

Nichol, you are right. Pecha Kucha and Ignite are similar formats with similar goals (brevity, dynamic, up-tempo, visual, …)

I really like the idea of ignite presentations. Too often we get caught up in slides and wordiness.

There’s a chance I could be speaking at an event soon and I think this would be a terrific time to try this out.

In Phoenix Arizona, we have hosted 13 large events of 18 Ignite Presentations in theaters of 800+ people. Having hosted over 200 presenters in the past few years – including a 10yr old presenter – I believe that anyone can deliver a clear passionate message in Ignite style.

I did an Ignite talk back in March here in Sydney, and it was a great learning experience. The talks that went down best on the night were the quirky or funny ones – which mine wasn’t!

That was perhaps the biggest takeaway for me: Once again, it comes down to knowing your audience. Ironically, I’d had some humour in my talk to begin with, but took it out because it felt a bit forced. That’s probably for the best.

I also took out the brief audience interactions I’d planned, because of the risk they wouldn’t work or would make me stumble. So the end result was a drier talk than I’d hoed for.

After reading Alex’s post, if you’re thinking of doing an Ignite talk, I’d highly recommend it. My advice is to pick a quirky, witty or impassioned topic. I loved this article on Ignite. I just did my first Ignite presentation at the American Evaluation Association (AEA) conference last month and loved the format. Learning to be concise and prioritize content are key.

Alex, this is brilliant – thanks for sharing. It’s good to let Ignite presenters know up-front they need to spend some serious time preparing, and your method is very sensible. There aren’t no good reasons for doing it in a “normal” presentation, but it’s a major part of the fun of Ignite. The main idea, in my opinion, is to make presentations enjoyable again, as an antidote to all the boring, death-by-powerpoint sessions we’re used to. Making the slides auto-advance adds an extra challenge and an element of danger to the presentations – once they start, there’s no going back.

Presentation of the ECB Annual Report 2023 to the Committee on Economic and Monetary Affairs of the European Parliament

Introduction

I am pleased to appear before this Committee to present the ECB’s Annual Report for 2023 [ 1 ] , a year in which the ECB consolidated progress in its fight against inflation. As well as assessing economic developments in the euro area in 2023, our Annual Report gives an account of the Eurosystem’s monetary policy and other activities conducted by the European System of Central Banks (ESCB). In response to European Parliament resolutions, it also includes a box explaining how the ECB’s secondary objective is considered in the conduct of the ECB’s monetary policy and reporting activities.

Today we are also publishing our written feedback statement, which provides responses to the European Parliament’s resolution on our previous Annual Report. [ 2 ]

In my remarks today, I will start by focusing on the economic outlook for the euro area and the monetary policy decisions taken at our recent monetary policy meeting. I will then briefly update you on our current financial stability assessment before going on to discuss the importance of a resilient financial system.

The euro area economy and our monetary policy

As detailed in the Annual Report, euro area growth slowed to 0.4% in 2023 after expanding by 3.4% in 2022. This slowdown was to some extent attributable to the economic repercussions of Russia’s war against Ukraine. The impact of higher interest rates alongside spillover effects from the weak industrial sector to services also weighed on growth.

Euro area headline inflation declined by 6.3 percentage points over the course of 2023 to reach 2.9% at the end of the year. The decline was broad based across all the main components of inflation, reflecting the fading impact of previous large supply shocks, lower energy commodity prices and tight monetary policy.

This year, economic indicators suggest that activity has got off to a weak start and will recover only gradually. Consumer spending is set to remain sluggish in the near term but should strengthen as real disposable income continues to recover. Private investment is expected to show continued weakness in the period ahead before the impact of weak final demand and tight financing conditions starts to fade.

Inflation has fallen further this year and is expected to continue declining in the medium term, but at a slower pace. Measures of underlying inflation have been easing but domestic price pressures remain elevated. Wage growth has remained strong amid robust labour markets but has been moderating recently, while profits are absorbing part of the effects of wage increases on prices.

The ECB reacted forcefully to heightened inflation: it raised its key policy rates by a cumulative 450 basis points between July 2022 and September 2023 and has kept them unchanged since then. We are determined to ensure that inflation returns to our 2% medium-term target in a timely manner. At our most recent monetary policy meeting on 11 April 2024 we considered that the key ECB interest rates are at levels that are making a substantial contribution to the ongoing disinflation process. Our future decisions will ensure that our policy rates will stay sufficiently restrictive for as long as necessary. If our updated assessment of the inflation outlook, the dynamics of underlying inflation and the strength of monetary policy transmission were to further increase our confidence that inflation is converging to our target in a sustained manner, it would be appropriate to reduce the current level of monetary policy restriction. In any event, we will continue to follow a data-dependent and meeting-by-meeting approach to determining the appropriate level and duration of restriction, and we are not pre-committing to a particular rate path.

Let me also give you a brief update on the operational framework review we concluded in March, which you have discussed on previous occasions with the ECB President. [ 3 ] The changes will affect how central bank reserves will be provided as excess liquidity gradually declines. The Governing Council will continue to steer the monetary policy stance by adjusting the deposit facility rate (DFR) and short-term interest rates are expected to evolve in the vicinity of the DFR with tolerance for some volatility. Liquidity will be provided through a broad mix of instruments, including existing regular refinancing operations as well as – at a later stage – new structural longer-term credit operations and a structural portfolio of securities. Our existing regular refinancing operations will continue to be conducted through fixed-rate tender procedures with full allotment against broad collateral, and the interest rate on the main refinancing operations will be adjusted later in the year to 15 basis points above the deposit facility rate. The key parameters of the framework will be reviewed in 2026 or earlier if necessary.

The importance of a resilient financial system

Let me now turn to our assessment of the financial sector.

During my last appearance before this Committee, we discussed the importance of maintaining a resilient financial system following the banking sector turmoil in the United States and Switzerland.

Since then, the euro area financial system has remained strong, aided by declining inflation. Confidence in euro area banks has benefited from strong rules and supervision. Banks have maintained sizeable liquidity and capital buffers, and non-performing loan ratios remain close to historically low levels. At the same time, firms and households have shown resilience in the face of rising debt servicing costs resulting from higher interest rates.

However, this positive outlook for financial stability in the euro area should not be taken for granted. It could face significant challenges if growth prospects weakened, inflation stayed above target for a longer period or further geopolitical risks materialised.

We are also closely monitoring developments in euro area real estate markets as tighter financing costs, a move towards hybrid working practices as well as environmental, social and governance requirements are likely to continue to put pressure on this market segment. Although mild signs of asset quality deterioration are becoming visible in commercial real estate (CRE) lending, risks to this asset class are broadly contained given that banks’ CRE exposures, standing at around 5% of total assets, are limited. Our Financial Stability Review, which is due to be published mid-May, will provide more details of our assessment on this.

To support continued financial sector resilience, legislators still have a lot of work to do in the coming years to close the gaps in our banking union. Besides urgent reform of the bank crisis management and deposit insurance framework, we must set up a European framework for liquidity in resolution and, most importantly, a fully-fledged European deposit insurance scheme. We also need a solid institutional and policy framework for the non-bank financial sector and we welcome the European Commission’s forthcoming macroprudential framework review.

Moreover, during the next EU institutional cycle, the level of ambition and commitment devoted to the capital markets union (CMU) agenda must finally match the urgent need to make progress. Completing CMU is key to strengthening resilience, enhancing EU competitiveness, growing our economy and achieving the EU’s policy objectives, such as funding the green and digital transitions. In this spirit, the ECB Governing Council recently published a statement on advancing CMU. [ 4 ]

As this parliamentary term comes to an end and a new one begins in a few months’ time, let me reiterate that the ECB is counting on this Parliament to support these efforts with ambition and commitment.
