  • Prepare and organize your thoughts: Keep in mind that a lot of candidates are applying for the same position. Highlight the most useful or relevant skills and experiences. You need to understand what the employer is looking for and be in a position to convince him or her that you are fit for the job. Explain your qualifications and skills in such a way that the need of the employer will be met. With the ideas of what you want to write in mind, better still, written down; you can then proceed to the actual writing.
  • Writing guide: This is a totally different write-up from a quick email to your friend or a thank you note to someone you appreciate. There are expectations from those who will receive your application. Meeting the bare minimum would mean better consideration of your case. You need to adhere to spacing, presentation and length guidelines if you want hiring managers to read your letter.
  • Length: The length should not exceed a page
  • Font: Have between 10 and 12 points in your font size so as to make your legible.
  • Formatting and margins: The format and page margins of your letter matter too. Single space your letter with spaces between every paragraph. Align your text to the left if it is not the default setting. Use at least 1” margins and use a favorable font. Times New Roman, Calibri, and Arial are the most suitable MS Word fonts to use in your application letter for a job.

Tips for Employment Contract Samples in Kenya

Employment contracts are a crucial part of any job agreement. They outline the rights and responsibilities of both the employer and the employee. In Kenya, each employment contract needs to follow certain guidelines to be legally binding. Here are some tips to keep in mind while creating an employment contract sample in Kenya:

Be clear on the terms: Make sure that the terms of the employment agreement are clearly stated in the contract. This includes things like the job position, salary, benefits, job description, working hours, and so on.

Include confidentiality and non-compete clauses: Confidentiality and non-compete clauses protect the employer’s business interests. These clauses prevent the employee from disclosing confidential information about the company or working for a competing business for a specified period of time.

Leave policies: It is essential to outline the employee’s entitlement to leave, including any paid vacation, sick leave, and maternity leave.

Probationary period: It is crucial to mention the probationary period if any. The probationary period determines if the employee is suitable for the job and how long the employee will remain on probation before being confirmed as a full-time employee.

Contract termination: The contract also must detail the termination procedure. The termination procedure outlines the steps that will be taken should either party want to terminate the contract. It also mentions the grounds for termination.

Employment laws: Lastly, ensure that the employment contract follows Kenyan labor laws. These laws protect the rights of the employee and ensure that the employer acts in good faith. It is crucial to stay up to date with any changes to these laws to ensure that the contract is valid and legally binding.

An employment contract is a legal agreement between the employer and the employee. It is vital to ensure that the contract is fair and adheres to the law. By following these tips, you can craft a contract that meets both your and your employees’ needs while still maintaining the requirements mandated by the law.

It serves as a crucial communication tool that solidifies the employer's intent to hire and provides important information that both parties need to be aware of before finalizing the employment agreement.

An offer letter typically includes the following information:

Position and Department: The offer letter clearly states the position being offered and the department or team the candidate will be a part of. This helps the candidate understand their role within the organization's structure.

Compensation and Benefits: The letter outlines the proposed salary or hourly rate, including payment frequency and any additional compensation components such as bonuses or stock options. It also highlights the benefits package offered, including healthcare, retirement plans, and other perks.

Start Date and Schedule: The offer letter specifies the proposed start date for the new employee, allowing them to plan their transition. It also outlines the work schedule, including any flexibility or specific hours required.

Reporting Structure: The offer letter mentions the reporting hierarchy, indicating who the candidate will report to and any direct reports they will be responsible for managing.

Pre-Employment Requirements: If there are any pre-employment requirements, such as background checks, drug tests, or reference checks, the offer letter will outline those procedures and indicate the timeline for completion.

Confidentiality and Non-Compete Agreements: Depending on the nature of the position, the offer letter may include provisions related to confidentiality, non-disclosure, and non-compete agreements that the employee will be required to sign to protect the company's intellectual property and business interests.

Acceptance and Next Steps: The offer letter concludes with instructions on how the candidate can accept the offer, whether by signing and returning the letter or through electronic means. It may also provide contact information for any questions or further steps the candidate needs to take.

An offer letter is a formal gesture by an employer to extend employment to a candidate, and it serves as a basis for the subsequent employment agreement or contract. It is important for both employers and candidates to review and understand the offer letter thoroughly before accepting or declining the job offer.
