What You Need to Submit Online to LGS

Your dissertation  should be submitted through the  ETD Repository .

Aside from your dissertation, you will need to submit several distinct items.

A. You will need to collect two items that are not available in the LC Hub. You will need have these available when you complete the forms in the Hub.

  • When the form has been signed by all, save it as a pdf. You will need a completed approval page before you start the completion form in the Laney Connect Hub.
  • The link above takes you to the Exit Survey.  When you complete the Exit Survey, there will be a link to the SED Survey.  Certificates are available at the end of each survey; save them as pdf files or screen shots to attach to your Laney Connect form. 

B.  You will need to complete three or four items available in the Laney Connect Hub .  Log in and click on “Degree Completion” to see links and instructions.

  • An Electronic Theses and Dissertations Repository Submission Agreement (ETD FORM) -- to confirm how your thesis or dissertation will be available in the ETD system.  Your advisor will review and confirm this form in the Laney Connect system.  You should discuss how you intend to complete it with your advisor before you submit it.  To understand the decisions you need to make, you can look at { the old pdf version of the form }. 
  • A Doctoral Completion Form  -- for your program to affirm that you have completed all program degree requirements.  Your Director of Graduate Studies will review this form in the Laney Connect system.  Your completed Distribution Agreement and Approval Page will be uploaded here.
  • A  Certificate Completion Form  (if applicable) -- for a certificate director to affirm that you have completed all requirements for a certificate (if you are completing one).  The certificate director will review this form in the Laney Connect system.
  • An Apply to Graduate Form .  This is the form that ties all the items together and allows us to review and process your full set of documentation. Your completed Distribution Agreement and Approval Page will be uploaded here, as will the Survey of Earned Doctorate and Exit Survey.

All completion items are expected to be submitted by 11:59 p.m. of the Degree Completion Deadline. If you need an extension to submit your dissertation and forms after the posted deadline, see instructions below .

Electronic Theses and Dissertation Repository

Before you submit your forms and related materials, you need to submit electronically to the Electronic Theses and Dissertations Repository, or ETD. Read more on our  Electronic Theses and Dissertations Repository page .  

Your ETD record should be submitted online   before   you turn in your forms and paperwork.

Required Surveys

The Laney Graduate School  requires  doctoral students to complete two online surveys: the PhD Graduation Education Exit Survey and the Survey of Earned Doctorates (SED). Both surveys are confidential and are essential for producing aggregate data that helps Emory and the national higher education community understand how graduate students progress through their programs and view their educational experiences.

  • Complete the surveys   before   you upload your forms to LGS. 
  • Be sure to upload the   required   certificates to demonstrate that you have completed the surveys. Each certificate is available at the end of the survey.

Submission Deadline Extension

In certain circumstances students may need an extension to submit a dissertation or thesis and associated forms after the posted deadline. These request are reviewed by the Laney Graduate School, and must be for an approved reason:

  • advisor, committee member or DGS/Program Director is unavailable
  • illness or other personal emergency
  • I need more time for writing or corrections
  • defense date is on or near the posted submission deadline and I need more time
  • defense date is after the posted submission deadline

If you seek an extension for another reason, you can explain and the Dean may approve.

Many students enrol in a Master or PhD postgraduate research degree, but few complete them. From 2010-2016 , 437,030 domestic and international students enrolled in postgraduate research programs in Australian public universities. Only 65,101 completed within the same six year period.

This discrepancy does not necessarily mean postgraduate research students “failed” their degree. Common reasons not completing a degree include changes of career goals, work-family conflicts, poor health or financial strain. Alternatively, some students remain enrolled in their degree for long periods without making significant progress.

Even so, the discrepancy is large enough for universities to be concerned. Nobody wants a student to suffer through years of hard work and frustration without achieving their goal.

What does research say about completion rates?

Research has identified several factors that make students more likely to persist with their degrees. These factors are related to the students themselves, their supervisor, and the university environment.

Psychological studies of postgraduate students find the more successful ones tend to perceive themselves as competent and be intrinsically motivated . These are students who enjoy their topic area, perceive their postgraduate studies as a valuable learning experience, and who strongly identify with being a career researcher. Students who are motivated by external factors (such as pursuing a prestigious academic role) are more likely to say they want to quit.

Scholarship holders are more likely to complete their degrees. This is likely because they are academically stronger than non-scholarship holders and are less vulnerable to financial strain. Students can support themselves financially through teaching, research assistant roles or other work, but this must be balanced carefully. Part-time students are less likely to complete their degrees.

Students’ field of study also affects completion rates. A higher proportion of students in sciences tend to complete their degrees than those in arts and humanities. This is likely because students working in the sciences are more often involved in laboratory-based work in teams, where there is greater social support and knowledge exchange. People studying humanities more often work on their research alone.

A positive student-supervisor working relationship is critical. A good supervisor should be an expert in the student’s subject of choice and a supportive mentor. They should help the student navigate through the frustrations and uncertainties of writing a thesis, and help students adjust to the world of academia.

Students are also more likely to finish their research degrees if they have strong connections with their peers . Such connections help students develop their professional identity as researchers, as well as providing opportunities for social support and informal learning .

The quality of associated coursework is also important. Ideally, postgraduate programs should provide students with a sound foundation of research skills and content knowledge, and facilitate ongoing communication with their faculty.

Involvement in formal and informal professional activities is also important. Students who complete tend to participate in departmental events, such as research seminars and professional development workshops. They also tend to participate in academic conferences. These events allow students to learn and expand their networks.

What students and their supervisors should do

First, given the importance of the student-supervisor relationship, universities can provide advice to students about locating and approaching a suitable supervisor. Specifically, students should consider the research area they wish to work in and locate a supervisor with relevant expertise. They should approach supervisors with an openness to negotiating a research topic.

Both students and supervisors should be upfront about their expectations about how the supervision will work. An excellent starting point for discussion is the Expectations in Supervision questionnaire. Students and supervisors sometimes have mismatched expectations about how often they should meet, the amount of feedback the supervisor should provide on drafts, and how much counselling and emotional support the supervisor should provide.

Supervisors have an important role in providing a realistic preview of academic life. One useful exercise is to review an academic competency model, such as the Vitae Researcher Development Framework , to discuss which skills academics need. In addition to knowledge of their topic area and research methods, academics increasingly need to be good at managing complex projects, working in multidisciplinary teams, and engaging with industry and media.

This discussion should enable supervisors and students to plan how students will develop their capabilities. Alternatively, it could prompt some students to opt out of a research degree if they think an academic role is not compatible with their goals.

What universities should do

As well as providing research training, universities can also increase the capabilities of students by helping them understand self-handicapping patterns. These include busyness, procrastination and disorganisation.

Students can be guided to replace these with more helpful actions such as scheduling dedicated writing time, reframing difficult tasks as learning opportunities, and developing a work routine. This could be done as part of a workshop or supervisory relationship.

Universities should also encourage greater connectedness between research students to build social support. This could be accomplished through team-based activities or face-to-face events.

For instance, some universities offer Three Minute Thesis , a research communication competition where students present their work in under 180 seconds.

Some universities organise Shut Up and Write sessions, which turns writing into a social experience and limits distractions. These activities can be complemented by encouraging students to become involved in supportive online communities and blogging .

Finally, universities should be dedicated to helping academics develop as supervisors through ongoing training and coaching. Departments could consider tracking the progression of students and ensuring supervisors have the time and skills to take on new students.

Completing a dissertation can be richly rewarding, but it’s the endpoint of a process that’s often long, frustrating and uncertain. Helping students achieve their research aspirations makes academic life a better experience for all involved.

If you have completed all degree requirements and deposited your thesis or dissertation and are waiting until the next degree conferral date to receive your degree, you may request from the Office of the Registrar a Degree Completion Letter (Degree Verification) indicating that all requirements have been completed. Important: All grades from the semester in which you are depositing your dissertation (and all other outstanding grades) must be reported before you can receive a completion letter.

Since master’s and doctoral degrees do not appear on transcripts until 4 to 6 weeks after the end of a semester, students may wish to obtain this letter from the Registrar’s Office to provide to employers or other universities to verify degree completion before the transcript posting, but after all grades are finalized and their dissertation (doctoral degree) or thesis (if required for the master’s degree) is approved and deposited.

Doctoral certificate programs are open to enrolled PhD students. These programs are designed to extend expertise into interdisciplinary areas and to certify training beyond the home Ph.D. discipline. They promise to advance student careers as well as promote intellectual exchange and community in these academic areas.

To pursue a certificate program, a student must have the support of the department in which they are pursuing the doctoral degree and the program offering the certificate. Certificates typically require three to five courses and sometimes require a substantial piece of written work, internship, practicum, or other project. The programs are offered at no charge to eligible doctoral students.

Successful completion of the requirements of the certificate program will be recognized on the Brown University transcript with a notation indicating the field of this advanced study. Although approved programs may be informally described as “certificates,” no separate document will be awarded by the Registrar.

Information Sheet for Requesting a Letter of Certification

The Graduate School is the only qualified official institutional entity authorized to provide verification and certification prior to degree conferral that degree requirements have been met by graduate students; subsequent to degree conferral, the University Registrar is the appropriate, authorized entity. Letters signed by a representative of the Registrar’s Office, faculty members, or college deans attesting that degree requirements have been met for graduate students are not official or appropriate for verification purposes.

The Graduate School can provide three different types of letters of certification in cases where the degree has not yet been conferred:

Candidates for graduation during a particular semester who have completed all degree requirements may request an official letter that verifies their status and their expected graduation date.

Degree Requirements Completion Letters provide official verification from The Pennsylvania State University that all degree requirements have been met and specify the date that the student’s degree is expected to be conferred. A Degree Requirements Completion Letter includes the student's name, degree, major, the date requirements were completed, the projected degree conferral date, the University's official seal, and the signature of the Senior Associate Dean of the Graduate School.

Because a Degree Requirements Completion Letter can only be issued if ALL degree requirements have been officially met, if a required course is in progress The Graduate School will not issue letter to certify that all degree requirements have been met until final grades have been officially reported and noted on the student’s transcript.

Note that Degree Requirements Completion Letters will be dated with the date of completion of the final requirement. For example, if a thesis or dissertation is a requirement of the degree program and is the final requirement completed by the student, the Degree Requirements Completion Letter will note that all degree requirements were met on the date that the thesis/dissertation was approved and reported by the Thesis Office, and not the date of the final oral examination nor the date the committee members approved and signed the final document.

For a Degree Requirements Completion Letter request to be processed, the following steps must be completed:

  • The student must have activated Intent to Graduate in the semester the degree will be conferred.
  • The student must have completed all requirements and all courses must have grades assigned.
  • The graduate program head (or Director of Graduate Studies) must verify in the student’s LionPATH record that all requirements have been completed.

Note that a Degree Requirements Completion Letter cannot be provided if:

  • the degree requirements include a thesis or dissertation, and the final, signed thesis or dissertation has not been submitted to and approved by the Graduate School Thesis Office;
  • completion of the culminating experience (for degree programs that do not require a thesis or dissertation) has not yet been reported to the Graduate School by the graduate program;
  • there are missing or deferred grades;
  • a hold has been placed on the student record;
  • NOTE: The deadline to request a letter of certification is the last day of classes. Therefore, students currently enrolled in classes other than 601 with an official end date of the last day of the semester are ineligible for a letter of certification;
  • NOTE: Students cannot activate their intent until the activation period opens (the beginning of every semester). Students who have satisfied all requirements but who are not graduating until the following semester are unable to receive a letter of certification until the all steps (including activation of Intent to Graduate) have been completed in the semester in which the degree will be conferred .
  • the student has not been approved in LionPATH Graduation Tracking by either the graduate program head (or Director of Graduate Studies).
  • the student has not been approved in LionPATH Graduation Tracking by Graduate Enrollment Services.

At a student’s request, a Degree Requirements Completion Letter may be provided to potential employers, licensure boards, embassies and other agencies.

A Degree Requirements Completion Letter is the appropriate letter to request when petitioning the USCIS for an H-1B visa. For H-1B visa purposes, all required credit and course requirements need to be officially met (i.e., noted on the student’s transcript) no later than the end of the fall semester preceding any request for a letter of certification that all degree requirements have been met in the subsequent spring semester.

Requests for Degree Requirements Completion Letter from the Graduate School will be fulfilled in approximately 1-2 weeks.

For doctoral students, the deadline to request a letter is the last day of classes.

After degrees have been conferred, completion letters are no longer issued by the Graduate School because an official transcript can be requested from the University Registrar that provides evidence of degree completion.

Final oral examination letters are official verification from The Pennsylvania State University that a doctoral student has successfully passed the final oral examination in the degree program in which the student is currently enrolled. At a student’s request, a final oral examination letter may be provided to potential employers, immigration, or other agencies. Final oral examination letters are certified statements that include the student's name, degree, major, date of examination and the signature of the Graduate School director of Graduate Enrollment Services.

Comprehensive examination letters are official verification from The Pennsylvania State University that a doctoral student has successfully passed the comprehensive examination in the degree program which the student is currently enrolled. At a student’s request, a comprehensive examination letter may be provided to potential employers, immigration or other agencies. Comprehensive examination letters are certified statements that include the student's name, degree, major, date of examination and the signature of the Graduate School director of Graduate Enrollment Services.

PhD Completion Process

Congratulations!

As a PhD student, you have spent spend significant time at the University of Rochester taking courses, completing research in your field, completing milestones and are now ready to complete your degree.

The final requirement in earning a PhD degree is the completion and defense of the doctoral dissertation. Understanding the steps and associated deadlines in the dissertation submission and degree conferral process is necessary to establish a successful plan. Doctoral Qualifying Exam / Admission to Candidacy

All PhD programs must administer a qualifying examination as part of the PhD program requirements. The qualifying examination may be either written or oral or both, at the discretion of the department/program, and must be passed at least six months before the final examination may be taken.

The associate dean of a school certifies that a student has passed the qualifying examinations and is recommended for candidacy.

Planning for the Final Oral Exam / Dissertation Defense

At least six months before you plan to defend your dissertation, you should contact the graduate coordinator of your program for details regarding the submitting the defense. During the months leading up to the anticipated defense, your graduate coordinator will walk you through the process and explain any department specific nuances.

Pay careful attention to the five PhD degree cycle deadlines. In each degree cycle, there is a deadline for the last day to complete your degree requirements.  There are no exceptions to the deadlines. If a deadline is missed, your name cannot be approved by the Council on Graduate Education and presented to the Board of Trustees until the following degree date.

The oral exam/defense/dissertation is approved at multiple levels of the University. Starting with the program, oral exam/defense/dissertation committee, school graduate deans and the University Dean of Graduate Education. You will receive emails a few days before your defense confirming that the approvals for the defense have all been received.

To enable review by the Graduate Education Offices in the Schools and University Graduate Education, online dissertation committee and program director approvals must be completed the following number of working days before the defense:

  • SMD and SON: At least 10 working days before the defense
  • AS&E, Warner and Simon: At least 15 working days before the defense
  • ESM: At least 20 working days before the defense

A minimum of five working days must elapse between the approval of the candidate’s School Dean to advance the record to University Graduate Education and the day of the defense. This time has been included in the schools’ lead times listed above.

Defenses may be held during regular business hours on any University working day with the exceptions listed below. See calendar below for additional non-working days.

Monday, May 27:  The University is closed in observance of Memorial Day. This day cannot be counted as a working day.

Wednesday, June 19: The University is closed in observance of Juneteenth. This day cannot be counted as a working day.

Thursday, July 4: The University is closed in observance of Independence Day. This day cannot be counted as a working day.

Friday, August 23, 4 p.m.: Last day to submit final corrected dissertation to the ProQuest website to fulfill degree requirements for an August 2024 degree conferral.

Monday, August 26: Fall semester begins.

Saturday, August 31: August 2024 PhD date.

Wednesday, August 28, 4 p.m.: Last day for students who have completed defenses to submit final corrected dissertation for October 2024 degree to the ProQuest website without having to register for Fall 2024. AFTER THIS DATE, SUBMISSION OF DOCUMENTS FOR DEGREE COMPLETION REQUIRES REGISTRATION FOR THE FALL SEMESTER.

Monday, September 2: The University is closed in observance of Labor Day. This day cannot be counted as a working day

Thursday, September 26, 4 p.m.: Last day to submit final corrected dissertation to the ProQuest website to fulfill degree requirements for an October 2024 degree. NOTE: Students must be registered for the Fall 2024 Semester if submitting documents after August 28.

Friday, October 4: October 2024 PhD conferral date.

Monday, September 2:  The University is closed in observance of Labor Day. This day cannot be counted as a working day.

Wednesday, November 27 through Friday, November 29: The University is closed in observance of Thanksgiving. These three days cannot be counted as working days.

December 2024 PhD conferral date to be updated in late spring 2024.

Tuesday, January 2: Defenses this day must have been registered/approved by University Dean of Graduate Education by December 15, 2023.

Wednesday, January 17, 4 p.m.: Last day for students who have completed defenses to submit final corrected dissertation to the ProQuest website without registering for Spring 2024 semester. After this date, submission of documents for degree completion requires registration for spring semester.

Monday, January 15:  The University is closed in observance of Martin Luther King, Jr. Day.  This day cannot be counted as a business day.

Thursday, February 22, 4p.m.: Last day to submit final corrected dissertation to the ProQuest website to fulfill degree requirements for a March 2024 degree.

Friday, March 1: March 2024 PhD conferral date.

Friday, April 26 , 4 p.m.: Last day to submit final corrected dissertation to the ProQuest website to fulfill degree requirements for a May 2024 degree.

After the final oral exam / defense

Submitting your final dissertation.

Approximately, 24 hours after oral exam, an email is sent that details out the next steps. Including uploading the final abstract and dissertation to ProQuest®, submitting a UR Research authorization form, and completing two required surveys.

UR Research Form

The libraries at  University of Rochester, electronically store and publish the dissertations based on a students embargo restrictions.

You can access our database of dissertations on the UR Research page hosted by the library.

Survey Completion

There are two required survey’s for completion of the PhD Process. The University of Rochester PhD Survey and the national Survey of Earned Doctorates. The links to completing these surveys will be included in the completion memo sent post-defense.

We use a service called ProQuest to administer the electronic final thesis/dissertation (ETD) submission. ProQuest provides services that enable strategic acquisition, management and discovery of information collections. Once you have made any necessary revisions and the thesis/dissertation is final, you are ready to begin the submission process.

PhD Completion Confirmation

Once you have completed the steps above, you will receive an email the confirms that all of the requirements have been completed and will include a PhD Completion memo.

We offer both an electronic diploma and a paper copy diploma to students after their graduation date. Information on ordering replacement diplomas is located on the registrar’s webpage .

Commencement

The University holds one doctoral commencement ceremony each year in May. Eligibility to walk in the May ceremony includes students that graduated between August of the previous year through August of the current year. As an example, the May 2023 ceremony is for students who graduated August 2022, October 2022, December 2022, February 2023, May 2023 and August 2023. Doctoral students are only eligible to walk once.

Final Semester

The final semester of a student's graduate career at Ohio State has many activities and requirements that must be planned carefully.

A graduate student’s last semester of enrollment is also his or her semester of graduation. Graduating students are responsible for meeting important milestones and deadlines.

Examinations

Graduate degree examinations are a major milestone in all graduate students’ pursuit of their graduate degree. Much hinges on the successful completion of these examinations, including the ability to continue in a graduate program. 

The rules and processes set by the Graduate School ensure the integrity of these examinations for graduate students, the graduate faculty, and for Ohio State. 

Dissertation and Theses

The dissertation is the hallmark of the research expertise demonstrated by a doctoral student. It is a scholarly contribution to knowledge in the student’s area of specialization. 

A thesis is a hallmark of some master’s programs. It is a piece of original research, generally less comprehensive than a dissertation and is meant to show the student’s knowledge of an area of specialization.

Commencement

Commencement at Ohio State is a festive event. All graduating students receive their actual diploma, and doctoral students are recognized individually for their achievements.

PhD Degree Requirements

The Graduate School uses these requirements to audit your record to determine if you are eligible to graduate.

  • Submit Application to Graduate via  GRADFORMS  (Due: Third Friday of the semester or summer term)
  • Submit Application for Final Examination  via GRADFORMS. Must be submitted by the student and approved by the defense committee at least two weeks before the defense date.
  • Undergo Dissertation Format Check   (Due: At least two weeks before the defense) . Submit a complete dissertation draft to the Graduate School at [email protected] . Learn more about format review and submission
  • Deliver copy of dissertation to Graduate Faculty Representative as soon as you receive GFR assignment email notice from Graduate School
  • Verify that your committee has approved and submitted Report on Final Examination  via GRADFORMS (Due: Immediately following conclusion of exam)
  • Make required revisions to dissertation document
  • Verify that your committee has approved and submitted Report on Final Document by posted deadline via GRADFORMS
  • Convert final dissertation document to embedded-font PDF and submit to OhioLink  (No later than 8 a.m. on the deadline day. All documents must be approved by 5 p.m. on the deadline day in order to meet degree requirements.)
  • Request Delay of Final Document (if applicable) via  GRADFORMS . Learn more about  access and distribution  of your document.
  • Take the Survey of Earned Doctorates and submit the Certificate of Completion form to the Graduate School (When complete, email certificate to  [email protected] )
  • If attending, come to Graduate School and provide an audio recording of your name so your name is pronounced appropriately at commencement.
  • If not attending, complete the commencement section on the application to graduate on GRADFORMS to indicate how the diploma should be disbursed.

Master’s Degree Requirements

The Graduate School uses these requirements to audit your record to determine if you are eligible to graduate. 

  • Submit Application to Graduate via  GRADFORMS  (Due: The third Friday of the semester or summer term)
  • Complete Master’s Examination  (Due: Must be completed no later than the published deadline for the semester or summer term of graduation.)
  • Verify that your committee has approved and submitted Report on Final Examination via GRADFORMS (Due: Immediately following conclusion of exam)
  • Undergo Thesis Format Check (if applicable) Have a format review of your thesis with the Graduate School no later than the posted examination deadline for the semester. Format reviews are optional for Master’s students, but strongly recommended. Submit a complete thesis draft to the Graduate School at [email protected] .   • Make required revisions to thesis document

End-of-Semester

Students who apply to graduate in a given semester and find that they cannot complete degree requirements by the posted deadlines can opt to utilize an option at Ohio State called End-of-Semester.

Students who take this option have until the last business day before the start of the next semester to complete all degree requirements, including defending a dissertation or thesis, submitting the final approved document, and taking care of all related paperwork and fees.

Meeting the End-of-Semester deadline means that a student will officially graduate the following semester and will not have to be enrolled in that semester, nor re-apply to graduate. The student's degree is conferred at the next commencement ceremony, and this is the date of graduation that will appear on the student’s official transcript.

Format Revisions

Within a few hours of the document submission, the Graduate School will notify the student via email that the document has either been accepted or that the document needs revisions.

If the document needs revisions, the student must make the corrections and upload the revised version to the  OhioLINK  site.

Survey of Earned Doctorates

The Survey of Earned Doctorates began in 1958 as an annual survey and has evolved as the definitive source of information on the nation's new research doctorates.

Sponsors are the National Science Foundation, National Institutes of Health, Department of Education, National Endowment for the Humanities, USDA, and NASA. 

Data collected are shared with colleges and universities across the United States to assist in decisions about funding and advocating for graduate education. The information is confidential; none of the data will personally identify a respondent.

Guidelines for Graduate Academic Certificates

Excerpted from the Berkeley Compendium: Policies and Procedures for the Creation, Revision, Discontinuation, and Disestablishment of Academic Programs and Units .  (Office of Planning & Analysis)

A certificate program is a structured sequence of courses and requirements which focuses on a specialty/area of expertise not offered by a regular degree program and which has been reviewed and approved as specified in this document.

Types of Certificate Programs

In addition to certificate programs offered through University Extension, the Berkeley campus offers four distinct types of certificate programs: one undergraduate and two graduate academic certificate programs , as well as a continuing education/specialized professional certificate programs. All four types of certificate programs are administered by a Berkeley school, college, or other instructional unit 1 .

Any new courses required for an academic certificate program must be reviewed and approved by the Divisional Committee on Courses of Instruction.

Graduate Academic Certificate Programs – Two Options:

Option I Certificate:

University Certificate, conforming to Senate Regulation 735, “Certificate of Graduate Curriculum”

  • Does not share courses/units for another degree program.
  • Uses regular Berkeley courses.
  • The student has completed a minimum of three quarters (or two semesters) in full-time resident study at the University of California with a grade-point average of at least 3.0. (Am 9 Mar 83)
  • The student has during this residence taken regular upper division (100) and/or graduate (200) courses under regularly appointed faculty.
  • The student entered the program with a bachelor’s degree or its equivalent, or with a higher degree.
  • At the time of entry, the student was acceptable for admission to the Graduate Division.
  • The student has completed a program approved by the Divisional Graduate Council and the Coordinating Committee on Graduate Affairs in accordance with their regular reviewing procedures for approval of higher degrees.
  • The student’s studies are not covered by a diploma or other certificate.
  • Proposal review requires the approval of the Graduate Council, the Divisional Council, the Vice Provost for the Faculty, and Coordinating Committee on Graduate Affairs.
  • The certificate shall be in the following form: University Of California/Certificate of a Graduate Curriculum in ( program name )/By authority of the Berkeley Division of the Academic Senate/ ( student’s name )/has been awarded the/Certificate of Completion of the Graduate Curriculum in/ ( program name )/ upon the recommendation of the faculty of the curriculum to the Graduate Council at Berkeley/ Dated/ ( signed by Dean of the Graduate Division/ Dean of the School of ( name) OR Chair of (Department name)/ Chancellor at Berkeley/President of the University. ( For precise format, see SR 735. )
  • Requirement verification for the award of the certificate is conducted by the Graduate Division. Following approvals by the Committee on Courses of Instruction (COCI) for the Berkeley Division of the Academic Senate and the Chancellor, the certificate itself is issued by the Office of the Registrar, in accordance with the format specified in SR 735, and posted to the student’s transcript.
  • The certificate is produced and issued by the Office of the Registrar with the seal of the University, and bearing the signatures of the dean of the school or college, the Dean of the Graduate Division, the Chancellor, and the President.

Option 2 Certificate:

Berkeley Academic Unit/s (College, School, or Department) Certificate, not conforming to SR 735 (i.e., certificate units may duplicate degree course work)

  • may use shared courses/units for another degree program;
  • uses regular Berkeley courses;
  • registration and enrollment in a graduate degree program at Berkeley;
  • a program of study consisting of a minimum of three graduate-level courses and/or ninety hours of instruction (equivalent to 6 units), the content of which is reviewed and favorably supported following the administering unit’s normal process for review of new course and program proposals; each of these courses must be completed with a B grade or higher;
  • inclusion of a required course that synthesizes aspects of the subject(s) of the program;
  • no more than two Incomplete grades on the student’s graduate record.
  • Proposal review requires the approval of the Graduate Council, the Divisional Council, and the Vice Provost for the Faculty.
  • Requirement verification for the award of the certificate is undertaken by the academic unit(s), and the certificate is produced and issued by the academic unit(s).
  • Certificate nomenclature: “College (School, or other academic unit) of X, University of California, Berkeley, Graduate Certificate in Z” issued by the academic unit(s). The seal(s) or letterhead of the particular College(s) or School(s) can be used, but not the seal of the University of California, Berkeley. The certificate will be signed by the dean(s) of the school or college or program chair(s); it will not bear the signatures of the Dean of the Graduate Division, the Chancellor, or the President. For a joint certificate program, the designation will comport with the following example: “College of X and School of Y, University of California, Berkeley, Graduate Certificate in Z.” A sample of the proposed hard copy certificate to be awarded will be required as part of the certificate proposal. The academic unit or units involved are responsible for producing and issuing the certificate.
  • The Option 2 academic unit(s) certificate is recorded on student transcripts by the Registrar’s Office after the administrative authority designated by the academic unit(s) awarding the certificate directly provides to the Registrar (Academic Records) the names of students who have completed all requirements.

Review Process and Proposal Formats

The review processes for establishment of an academic or CESP certificate program can be found on the Office of Planning & Analysis website (PDF). A proposal to establish a certificate program should include the information specified on the format outline for the type of certificate:

Following establishment, academic certificate programs are reviewed when the administering instructional unit undergoes a standard academic program review. Such review will include student evaluation data of the certificate program.

Graduate Studies

Comprehensive exam process.

A doctoral student must pass a comprehensive examination in the major field of study. This examination, which may be written, oral or both, is not limited to the areas of the student’s course work, but tests the student’s grasp of the field as a whole. The administration of this exam is governed by the following guidelines:

1. Students must have a cumulative grade point average of at least 3.0 at the time of their examinations.

2. Students must be enrolled in a minimum of one credit of graduate course work the semester in which they take the doctoral comprehensive examination. Students may enroll in 699/dissertation hours to prepare for the comprehensive exam; however, those credits will only count towards dissertation hour requirements if taken within the same semester as the passed exam.

3. At least two weeks prior to the date of the examination, the major graduate unit must request approval from the Dean of Graduate Studies to hold the exam. It may not be conducted until the Dean of Graduate Studies approves the  Announcement of Examination Form  and it is returned to the unit.

4. The doctoral comprehensive examination committee (usually the student’s Committee on Studies) consists of a minimum of three members approved for committee service. See the Comprehensive Exam Committee section of this page for more information.

5. In order to qualify to sit for a doctoral exam during the intersession, the student must be registered for the following semester.

6. Barring extraordinary circumstances, the graduate unit will notify the student of the results of the examination no later than two weeks after the date on which it was administered. Should such circumstances arise, the graduate unit will notify the student in writing of the reason for the delay and let him/her know when notification can be expected.

7. The results of the examination must be reported to the Dean of Graduate Studies on the “Report of Examination” form no later than two weeks after the date of the examination.

8. If a student fails the examination, the Committee on Studies may recommend a second examination, which must be administered within one calendar year from the date of the first examination. The doctoral comprehensive examination may be taken only twice. A second failure will result in the student’s termination from the program.

Conditional Pass

Having evaluated the materials required for the examination, if the Committee feels that, although the student has demonstrated knowledge and understanding of the field, it is not quite sufficient to justify a grade of “ pass,” the committee may assign the grade of “Conditional Pass” and require that the student meet additional conditions before a grade of pass will be awarded. The student must meet the conditions noted on the Conditional Pass by the end of the subsequent term. However, students who plan to graduate in a specific term must resolve a Conditional Pass by the posted deadline for submission of examination results. The committee will note the conditions that need to be met by the student on the examination form. Once the committee indicates the student has met the conditional pass criteria, they will submit a memo to Graduate Studies.

Comprehensive Exam Committee

The role of the examination committee is to approve the exam questions, conduct the exam, evaluate the student response and report the results. Each committee must consist of a minimum of three members approved by Graduate Studies. Although this committee generally remains intact as part of your Dissertation Committee, some members may change with permission from your advisor.

Two members must be Category 1 OR one member can be Category 1 and one member may be Category 3 if their appointment is within the student’s major

The chair of the exam committee must be Category 1, 5 or 3, if their appointment is within the student’s major

The third member can be any Category (1-6)

A co-chair can be from any Category (1-6) as long as the other co-chair is a Category 1 or 3 if his/her appointment is within the student’s major

No more than one voting member can be in Category 4. Departments can impose a more restrictive structure for exam committees.

Campus and accommodation

The main building of the Moscow Institute of Physics and Technology is located in Dolgoprudny, a town in Moscow Oblast. The institute has six other buildings for different departments and purposes, including a building dedicated to laboratory research. The campus is 20 minutes away from the Moscow city center and located near several shopping centers.

The institute has twenty food points across the campus and allows food delivery services inside. The sports center, swimming pool, dining hall, and ATM are located nearby.

  • For an undergraduate degree in computer science, students student have college-level skills in mathematics, and familiarity with some programming language prior to entering the program is considered a plus.
  • For admission into an undergraduate program in biomedical engineering, students must possess school-level knowledge in physics, biology, mathematics, and chemistry.

The Ministry of Internal Affairs of the Russian Federation issues the invitation letter. The invitation letter contains the student’s passport data and details of the university. Once a student receives the letter, they can proceed to apply for a visa.
