How to write a welcome speech in 3 steps

So, you've been asked to give a short welcome speech for an event. Congratulations! And now you want to be doubly sure you get it right. The right content. The right tone. Plus, the right length!

You'll find everything here you need to do that easily, from start to finish.

To be effective your welcome speech needs to meet expected, as well as any specific, requirements dictated by the occasion.

The 6 standard welcome speech content ingredients

There are six common or standard content items in a good welcome speech.

  • Greetings to welcome everyone and thanking them for coming along.
  • Acknowledgement of special guests, if there are any.
  • An introduction of the event itself and a brief overview of special highlights the audience will want to know about.
  • Any important housekeeping information, for instance: where the bathrooms are, where lunch will be served and when...
  • An introduction for the next speaker, if there is one.
  • Thanking everyone for coming once more and then concluding having made everybody feel at ease, eagerly anticipating what is to come.

Numbers 1, 3, and 6 are basic essentials you cannot do without. Numbers 2, 4 and 5 may, or may not, be applicable. Pick what you need from them to fit your occasion.

Short sample welcome speech for a conference 

Now let's put all six ingredients into an example of a short welcome speech to open a conference that you can adapt for your own speech.

* (This speech is pure fiction! I made it up to show you how it's done. You'll see its tone is formal rather than informal to fit the occasion. I don't think there is a group called Parents United. Example welcome speech - "Readers by Right"

"Sue-Ellen Thomas, Jim Smith, Jane Brown and all of our guests, good morning!

My name is April Molloy, and it's my privilege and great pleasure on behalf of Parents United to welcome you all here today.

We are delighted to have you with us to participate and share in this special occasion, our 5th annual Children's Day Conference. Thank you for coming. That many of you have willingly traveled long distances to be here serves as a reminder to us all just how important our work is.

Writing your welcome speech

Tips to help you get your speech right.

When you're entering information into your speech planner:

  • ensure you've got all the names of individuals or special guests you need to mention specifically and, that you know how to pronounce each of them. Also check that you know and use their preferred pronouns: them/they, she/her, he/him...
  • double check the remarks you're going to make about them, or anything else, are factually correct.

Use your introduction of your guests/or the event, as a "teaser" for what is going to come. It will help create anticipation in the audience. Don't ruin it by giving too much away! Just enough to tempt and no more.

Keep it brief. One to two minutes is generally sufficient.

(The word count of my sample welcome speech is 357. It will take approximately 2 minutes to say .) 

Use the S-S-S formula for success: Short, Simple and Sincere. Your listeners will appreciate it.

If you're stuck for words, here's a large selection of  adaptable welcoming phrases with example s entences.  Reading through them could help you to find exactly what you want.

What does a good welcome speech do?

An effective welcome speech has three important functions. It:

  • signals the official beginning of an event . It says to the audience, hush, sit down, stop talking and listen. What you came for is starting!
  • sets the tone for the occasion through the choice of language used . For example, using light-hearted and informal words to welcome guests to a dear friend's birthday party may be completely appropriate.  However, the same type of language to welcome family and friends to a memorial service is unlikely to be. In that setting, people generally expect a more solemn and formal word choice. They could be deeply offended and think the use of casual language is disrespectful.  Understanding and getting tone right is a key element in the overall success of your welcome speech.  
  • unites the audience . It draws everyone together in the common purpose at the heart of the occasion. For example, at a birthday party, the welcome speech invites everyone to join in celebrating the person whose birthday it is. The welcome speech opening a specialist conference will affirm its principal purpose: the coming together of people with mutual interests to meet and share new knowledge. Or if a welcome speech is given to newcomers in a workplace, club or educational setting, its purpose is to give an introductory overview of how things work to help them feel more at ease in their new situation - to help them develop a sense of belonging.

Getting the tone right for an event

What is tone.

Tone is the combined impact of the words chosen to express something, with how they are structured and, delivered.  All three elements come together to create tone * . 

Get tone wrong, and your welcome speech is a disaster.

Get it right, and it's a triumph!

(Yes, that's hyperbole but I'm sure you get the idea. ☺)

How to choose the right words

The beginning of getting tone right is to think about your audience and the event itself. Your goal is to unite and bring them together in the main purpose at the core of the occasion. What type of language will do that most appropriately and easily?

To answer that question, think about the common interest everybody shares - the principal reason behind them getting together.  It will help guide your language choice.

Is it a fun event like a birthday party for close friends and family? If so, then informal language is likely to be the most apt.

You might hear something along the lines of: "Well, here we all are! The big day has finally arrived. Jean-Marie is 50! Half a century! How on earth did that happen?"

If it's a remembrance service for someone who has recently died, the language you're likely to hear is more formal.

For example: "Friends, family, colleagues, thank you for joining us today to celebrate and give thanks for our dear Jean-Marie. Your presence is gratefully appreciated." 

What is appropriate? What is expected?  Do spend some time thinking tone through. Misunderstanding and getting it wrong can be very embarrassing for everyone. If in doubt, ask someone whose opinion you trust.

Do you remember your first day of high school? Maybe you didn’t know how to get to your next class or felt out-of-place walking into the cafeteria. The first day at a new job can feel similarly stressful — despite being a few years older ( and wiser ) than when you started the 9th grade. 

A new hire might not know what to expect in terms of company culture or how to find their way around the office. A simple gesture like leaving a welcome letter on their desk or sending a team message in Slack to welcome and introduce them to other team members can go a long way. 

In fact, according to a recent survey by Glassdoor, a good onboarding process improves new hire retention rates by 82%. Although the onboarding experience encompasses more than a welcome note, these types of gestures help new team members feel valued and seen from the moment they start working with you.

What to say to welcome a new employee?

When you welcome a new employee, your message can do a number of things. You can let them know you’re glad they’ve joined the team, help them understand the work culture, or tell them what characteristics you value in them. Whether you send them an email or give them a handwritten note, keep it short and sweet. 

Let them know you’re excited they’re there with phrases like:

  • “We’re so glad you’ve chosen to come work at [company name]”
  • “We’re excited to get to know you and work alongside you.”
  •  “Congratulations! You’re going to be an amazing addition to this team.”

Set expectations for the work environment and describe the team culture by saying:

  • “We believe you’ll fit right in with our values of hard work and innovative thinking.”
  • “I’m glad to have another member joining our creative team.”
  • “Please reach out to me or others with any questions you may have — we value teamwork and want to be there for one another.”

Encourage them by letting them know what characteristics you see in them: 

  • “I think you’ll fit right in with the rest of the team — like you, they’re hard-working and goal-oriented individuals.”
  • “I’m excited to see how you use your expertise and innovative thinking to help us reach new heights!” 
  • “As a creative and passionate individual, we’re excited to see how you impact your team.”

This welcome message is something you can give them on their start date. Don’t worry about topics like benefits, dress code, or the minutiae of their job offer — those are details they can learn through looking at the employee handbook or by talking to human resources. If you’re their manager, you might also ask them to schedule a one-on-one meeting with you within their first week — just to ensure they’re settling in nicely.

Your priority is to help take away a few of those first-day jitters by welcoming them with genuine warmth.

How can you make a new employee feel welcome?

Making a new employee feel welcome goes beyond a Slack message or welcome note, but those small gestures can make a big difference. As they say, “You only get one chance to make a first impression.” Consider including company swag or another small welcome gift alongside the good wishes on their first day.

Start making new hires feel welcome before they ever “clock in.” Reach out to them during the window of time between their acceptance of the job offer and their first day to ask if they have any questions. You might send them helpful documents, introduce them to other team members on LinkedIn, and get them set up with any apps your team uses.

Many new hires have second thoughts about joining the team between receiving the job offer and their first day working with you. Especially in a tight labor market, another company may approach them with an offer, or they may have personal reasons. Stay on their radar and let them know that you’re looking forward to having them join the team before they ever step foot in the office. 

When you do a good job answering questions and providing resources leading up to a new colleague’s first day, your day-one welcome message doesn’t need to be long or detailed. Just make sure it conveys welcome wishes and that you’re looking forward to establishing a good working relationship with them.

Mr. Singh possesses a vast working experience of 20 years with many renowned companies; XY Consultancy; AB HR, DL Firms, to name few of those. This meeting has been called upon to welcome our new Operations Head, Mr. A, to our organization.

Before we start, I would like to express my heartfelt gratitude to each one of you for big heartedly helping us in making the event successful tonight. The occasion is special, as the position of Vice Chairman of our company which was lying vacant from so long has been filled. The position of vice president is really important as the person being given the role has to proactively participate in the policy building and both internal as well external affairs of the company. And I am glad that the relentless efforts of our HR Department to find a suitable candidate for the position have finally yielded favorable results.

He is a man of great caliber and has nearly 17 years of working experience in such top-notch companies as Tata Group, Mahindra, etc. He is a veteran in the policy making as well as the study of statistics. At Berkeley, a Protest at a Dean’s Home Tests the Limits of Free Speech

Pro-Palestinian supporters disrupted a dinner for law students. There was a tussle over the microphone and conflicting claims of harm.

The dean of Berkeley’s law school is known as a staunch supporter of free speech, but things became personal for him when pro-Palestinian students disrupted a celebratory dinner party for some 60 students at his home.

Erwin Chemerinsky, the law school dean, hosted the dinner on Tuesday night in the backyard of his Oakland, Calif., home. The party was supposed to be a community building event, open to all third-year law students, with no speeches or formal activities.

But a third-year law student and a Palestinian activist, Malak Afaneh, stood up at the event, holding a microphone, and launched into a speech.

As she began to talk, Mr. Chemerinsky, a noted Constitutional scholar, can be seen shouting, “Please leave our house! You are guests in our house!”

Catherine Fisk, another Berkeley law professor and Mr. Chemerinsky’s wife, can be seen with her arm around Ms. Afaneh, trying to yank the microphone away and pulling the student up a couple steps.

Ms. Afaneh and other student protesters described Ms. Fisk’s struggle for the microphone as a disproportionate and violent response. Students, they said, had a right to speak at a university gathering.

Mr. Chemerinsky said the dinner was paid for by the university. But he said that the students, who brought their own microphone and amp, had no such free speech rights in a private home, at a dinner with no planned remarks.

In the past, Mr. Chemerinsky has supported speech rights for pro-Palestinian students, including the right to block Zionists from speaking to their groups. But this latest incident shows how the Israel-Hamas war has intensified and complicated the free speech debate. As pro-Palestinian students stage sit-ins and disrupt events at campuses across the country, some administrators, pressed by donors and politicians, have cracked down on unruly behavior, arresting and suspending students.

The moment has been especially fraught for the University of California, Berkeley, long a hotbed of leftist activism and the home of the ’60s Free Speech movement. As protests there continue over the Middle East conflict, some Jewish students and alumni have criticized university officials, saying that the school has tolerated activism that veers into antisemitic speech.

On Thursday night, about 15 protesters returned to Mr. Chemerinsky’s home for another student dinner, this time staying outside the house for about 90 minutes, Mr. Chemerinsky said.

“They were carrying signs and had drums,” he wrote in an email message. “They stood in front of our house chanting (some quite offensive) and banging their drums.”

In February, an event at Berkeley featuring an Israeli speaker was canceled after a crowd of protesters broke down doors, which the chancellor, Carol Christ, said was “an attack on the fundamental values of the university.” Last month, Representative Virginia Foxx, chair of the House committee on education that has been investigating antisemitism on campus, sent a letter to university officials demanding documents and information about Berkeley’s response to antisemitism.

Mr. Chemerinsky said that he himself was the subject of an antisemitic flier, circulated earlier in the week, which depicted a cartoon image of him gripping a bloody knife and fork, with the words “No Dinner With Zionist Chem While Gaza Starves.”

“I never thought I would see such blatant antisemitism,” he wrote in a statement to the law school community after the first protest, “with an image that invokes the horrible antisemitic trope of blood libel and that attacks me for no apparent reason other than I am Jewish.”

The Berkeley chapter of Law Students for Justice in Palestine, where Ms. Afaneh is co-president, did not respond to requests for an interview. But Camilo Pérez-Bustillo, the executive director of the local chapter of the National Lawyers Guild, said that Mr. Chemerinsky was not singled out because he is Jewish.

“He was being targeted because he’s failed to take a public position on a matter of urgency,” Mr. Pérez-Bustillo said, “which is U.S. complicity with the unfolding genocide.”

In the video, Ms. Afaneh said, the National Lawyers Guild “has informed us this is our First Amendment right.”

The Chemerinsky dinner on Tuesday fell on the last day of Ramadan, the Muslim holy month. As Ms. Afaneh and Professor Fisk both gripped the microphone, Ms. Afaneh said, “We refuse to break our fast on the blood of Palestinian people” and accused the university system of sending billions of dollars to weapons manufacturers.

“I have nothing to do with what the U.C. does,” Ms. Fisk said. “This is my home.”

Ms. Fisk threatened to call the police but did not. After she let go of the microphone, Ms. Afaneh and about 10 other law students left peacefully and the dinner continued, Mr. Chemerinsky said.

“I am enormously sad that we have students who are so rude as to come into my home, in my backyard, and use this social occasion for their political agenda,” Mr. Chemerinsky wrote. Through Mr. Chemerinsky, Ms. Fisk declined to be interviewed.

Many pro-Palestinian supporters argue this is not the moment for decorum, as the death toll of Israel’s bombing in Gaza tops 30,000, according to Gaza health officials. The protesting students wanted Mr. Chemerinsky, who describes himself as a Zionist, to denounce what they described as an unfolding genocide and to call for the university to divest from companies that aid Israel’s military campaign.

After the dinner altercation, the Law Students for Justice in Palestine chapter demanded the resignations of Mr. Chemerinsky and Ms. Fisk, and called for a Palestine studies program that centers on the “resistance and the right to return in a settler-colonial context.”

Richard Leib, the board chairman of the University of California system, and Ms. Christ, the Berkeley chancellor, have supported the couple.

“I am appalled and deeply disturbed by what occurred at Dean Chemerinsky’s home last night,” Ms. Christ said in a statement on Wednesday. “While our support for Free Speech is unwavering, we cannot condone using a social occasion at a person’s private residence as a platform for protest.”

Mr. Chemerinsky said he invites first-year law students to a welcome dinner in his backyard to create a sense of community. This dinner — spread over three nights with about 60 students each — was for third-year students whose traditional welcome dinner was canceled because of Covid, Mr. Chemerinsky said.

The dean said he was such a believer in the tradition that when he bought a home in 2017, he made sure the backyard could fit a crowd.

“I never could have imagined this would be divisive or a flashpoint,” he said, adding, “It’s an ugly moment.”
