How to collaborate on a microsoft powerpoint presentation.

Sharing a presentation, collaborating on a presentation.

PowerPoint has some useful features that allow others to make edits or leave feedback on your presentations. You can even coauthor a presentation in real time if you have a  Microsoft 365 (formerly Office 365) subscription. Here’s how to collaborate with others in PowerPoint.

Before others can work on a presentation with you, you have to share it with them . To do so, open the presentation you want to share, and then click "Share" in the top-right corner.

A banner will appear in front of your presentation. The first thing to note is the "Share" section. Here, you’ll see the two methods for sharing the presentation, and anyone with whom you've already shared it.

With the "Invite People" method of sharing, you can do the following:

  • Type the email addresses of those with whom you’d like to collaborate.
  • Leave a note for the recipients.
  • Assign Read and Write or Read-Only permissions.
  • As an extra layer of security, select whether you want recipients to have a Microsoft account .
  • Share your presentation.

If you choose the "Get a Link" option instead, assign Read/Write or Read-Only permissions to whoever receives the link, and then click "Create Link."

Your link will appear.

Once your link has been created, you can share it with whoever you want to collaborate with on your presentation. Keep in mind that anyone who has this link can access your presentation with the privileges you’ve assigned, so be careful who you share it with.

Once you’ve shared your presentation, it’s time to start collaborating. There are several useful tools that make collaboration more efficient. We'll go over them below, so be sure to take full advantage of them.

Who’s Working Where?

PowerPoint shows you who is currently viewing or editing a presentation, as well as which part of it they're working on. When someone's working on a presentation with you, you'll see a thumbnail with that person's name in the top-right corner.

Click the thumbnail to see who it is and which slide he or she is editing. If you want to go to that slide, click "Go to Location."

You'll see the section of the slide on which the other person is working.

You can also see where the other person is at any time in the slide thumbnail view on the left.

Leave Comments for Others

You can also leave comments for the other people you're collaborating with to read at their convenience. To leave a comment, highlight text or an object, and then click "New Comment" in the menu that appears.

Type your comment in the text box, and then click the Arrow icon to leave it.

The next time this person is working on the presentation, she'll see a Message Bubble icon on the slide that contains the comment.

To read a comment, click "Comments" in the top-right corner.

To reply to a comment, just type your response in the text box, and then click the Arrow icon.

Premium Features

PowerPoint also has a few premium features available for collaborators. One of these is real-time chat. Just click the thumbnail of the person you want to chat with, and then select "Chat" from the menu that appears.

This isn't a good replacement for comments, though. No one else can see your chat, and it's deleted as soon as you close the file.

Another neat premium feature is version history. PowerPoint 365 stores every version of your slideshow. This means you can go back and view, restore, and/or download older versions it.

To access this feature, click "File," click "Info" in the pane that appears, and then choose "Previous Versions." This option will be grayed out if you aren't a premium subscriber, though.

Overall, good collaboration on any project boils down to communication. PowerPoint makes this easy for both normal and premium subscribers, although some methods are more streamlined than others.

Google Slides  is part of the Google Workspace (formerly G Suite) office platform intended as an online alternative to Microsoft Office. It may seem a little limited by comparison to PowerPoint, but as it's browser-based that means cross-platform compatibility. Additionally, it allows for collaborative work, and Google Slides really works well here. On top of the fact that it integrates with the rest of the Google Workspace apps, not least Google Drive, and you have a contender. 

Zoho Show  is another of the many, many tools and apps that Zoho has made available for business use. It also operates in the cloud so it's accessible to any device with a browser, and it also allows for collaborative work. You can also easily share the link for users to download, or provide a live presentation online. The updated version has a simpler and easier to use interface and comes with a free version and a paid-for one with expanded features.

Evernote  is normally thought of as just note-taking software, but it does provide the option to create a presentation you can share online or with an audience. In that regard, it's a little more limited than the other options in not being dedicated presentation software. However, as an easy and handy way to pull together a presentation quickly, it could serve as a backup or last-minute option, especially if Evernote is already being commonly used by you.

LibreOffice Impress  is part of the open-source suite offered as a free alternative to Microsoft Office, and comes with a powerful array of tools and editing options for your presentation, not least working with 3D images. It's supported by a large community, so it's easy to find an array of additional templates. If there is a limitation it's that it's software you download and install rather than web-based, but any presentations created should be easily portable to the web if needed.

Adobe Spark  does things a bit differently, as rather than just use images it's geared toward video as well. This makes for potentially more powerful multimedia presentations, especially as Adobe also has a big selection of photos and images available for its users. There is a free tier for core features but requires a subscription for custom branding, personalized themes, and support.

Slides  comes with a lot of features in an easy-to-use interface, and involves setting up presentations using drag and drop into an existing grid. It's also internet-based so there's no software to download, and it only requires a browser to use and access.

6.5 Designing a Presentation in Google Slides

My Life in a Snapshot was intended to be a solo presentation, so you had no need to assemble a team. But what if you need to design a presentation on a different topic that does require a team? What if, for example, the presentation was a proposal for a new marketing campaign that you and four others have been working on? Is Microsoft PowerPoint still the best option? This section will introduce Google Slides as another tool you can use to create and build presentations.

Slides is the presentation application offered in the Google suite of products, which is a cloud-based system. To better understand the tool and its importance, let’s get started with the similarities it holds with PowerPoint .

Similarities between Google Slides and Microsoft PowerPoint

PowerPoint and Slides are both software programs that allow you to create and edit slideshows for presentations. When you begin to create a presentation with Slides , you will be presented with several themes and template s suitable for various applications in business, school projects, and general use. These designed templates can be customized with color, text, and style. Figure 6.41 shows Slides when first opening the program and selecting a new presentation; the default, a blank presentation, is circled. Next to the blank presentation option are the different themes and templates.

As in PowerPoint, once a presentation is either opened or begun in Slides, you will see a ribbon with tabs and options that are comparable with those in PowerPoint. In some cases, the programs even use identical word choices, such as the File, View, and Insert menus. It is a good idea to review the tabs in Slides before beginning a project. Look for the numerous overlaps in terminology and the familiar icons Slides shares with PowerPoint. However, one distinct feature of Slides is that it offers drop-down boxes from each tab, rather than a changing ribbon, as in PowerPoint.

There are other similarities between Slides and PowerPoint. For example, the thumbnails of the slides run down the left side with the highlighted slide in the center of the frame, and tabs across the top of the sidebar for navigation purposes. Both programs offer options for adding new slides, changing layouts, selecting design elements, and inserting text/images.

Both programs can create professional, high-quality electronic presentations. As technology continues to evolve, both programs adapt and continue to offer user-friendly tools. In general, both tools allow users to:

  • add text, images, videos, charts, graphs, and links to any slide
  • pick a custom font while selecting and using premade themes

Differences between Google Slides and Microsoft PowerPoint

Understanding some of the key differences between Slides and PowerPoint will help you decide which tool to use and when it can be most helpful while working at WorldCorp. To start, PowerPoint is a stand-alone software program that users can purchase or access through a provider such as a school, a company, or an organization to which they belong. Stand-alone software programs are typically installed on a computer’s hard drive and can be launched by double-clicking an icon on the desktop or by selecting the program from the list of installed programs in the operating system. Stand-alone software programs are self-contained and do not rely on external resources, such as a connection to the internet or services to function. They are referred to as “offline capable.” The application, or app, is just a click away for the user to begin their work, regardless of their internet connection. As the program has advanced and added new features, it has expanded to include online collaboration. PowerPoint now offers users online experiences through the combination of Microsoft OneDrive and Microsoft 365 .

Slides, by contrast, is a web-based software application that is part of the Google suite of productivity tools. As covered in the chapter on Essentials of Software Applications for Business , web-based software programs are hosted on a remote server and accessed over the internet using a web browser, rather than being installed on a computer’s hard drive. This makes it possible for users to access the software from any device with an internet connection, as the software and data are stored remotely and not on the user’s local machine. This helps ensure that there are no delays or negative experiences such as slowing down a user’s internet connection. They are often designed to be more lightweight, with fewer features compared with their desktop counterparts.

As a cloud-based application, Slides offers a unique advantage to offline applications when collaborating in a team. As with other Google programs, users can work on the same file in real time across multiple computers. This facilitates collaboration and eliminates the need to pass files back and forth between team members.

However, Google does offer an offline option for users as well. When using Google’s web browser, Chrome, users can install a browser extension that allows its online Google programs, such as Slides and Docs, to download the applications to their local computer, allowing users to work on their projects even without access to the internet. Additionally, Chrome operating systems typically come with other Google offline programs preloaded. Google offline functionality is available for some mobile devices and most desktop operating systems. It’s possible to use Google offline for some mobile devices and most desktop operating systems.

The most prominent difference between Slides and PowerPoint lies in their origins as a cloud-based application versus a desktop application, respectively. Slides has a minimal appearance and relatively fewer features, keeping things simple across their programs for ultimate user ease. Its goal is accessibility and collaboration in an online environment. In contrast, PowerPoint offers more robust features with more capabilities. In this respect, Slides works better than PowerPoint on mobile application devices.

However, it is still optimal to use a computer when creating a presentation in either program. Using a cell phone or a tablet poses challenges for users who want to harness the full potential of PowerPoint. To maximize the user experience, PowerPoint is recommended for use on a laptop or desktop computer due to its overall capability and processing needs. Having a larger screen with a more robust computer processor can make it easier to see subtle editorial changes or to handle large file size changes to a high-resolution image.

How Microsoft PowerPoint and Google Slides Function in a Workplace

Several features of Slides make it a unique and intriguing piece of software to have alongside PowerPoint . Both programs are commonly used in workplace settings, but may be used with different goals and audiences in mind. At WorldCorp, different teams use different tools in ways that work best for them; often, team members find that a project requires a combination of both programs.

A best practice for a collaborative presentation would be for a team to start working in Slides. Team members can work offline if they choose, or they can work together online constructing slides. Once the rough outline of the presentation has been accomplished and agreed upon through online collaboration, the Slides presentation can be saved as a PowerPoint file. Conveniently, Slides offers a way to quickly export presentations as PowerPoint files. A member of the team who is well-versed in PowerPoint and digital presentation development can then edit the slides if needed. They can work offline to unify and format each slide into a cohesive slideshow.

Conversely, you can also open a PowerPoint file in Slides. However, note that because Slides is less feature-rich than PowerPoint, you may not be able to preserve your slideshow exactly. Let’s look at converting the saved PowerPoint presentation that you have been working on, My Life in a Snapshot , to Slides. First, upload your PowerPoint presentation to your Google Drive . Then, open Slides; the PowerPoint most likely will be listed as a recently saved file on the opening screen. Select the file and begin. Figure 6.42 shows the warning that Slides wants to issue before you start editing: “Some PowerPoint features can’t be displayed and will be dropped if you make any changes” appears in a dialog box after selecting the saved file. There are fewer design options with Slides, and Google does not include all of the features that PowerPoint does, such as WordArt . This means that anything that was formatted as WordArt in PowerPoint will not appear correctly in the Google Slides version, or may even be deleted entirely. For this project, please go ahead and dismiss the warning to begin.

You may want to do this conversion process if you want to open your PowerPoint file for online collaboration, for instance. If your PowerPoint does not contain too many complex features, converting the file to Slides is usually an easy process that results in a Slides presentation that looks extremely similar to your original PowerPoint.

Sometimes, your choice of which program to use is determined by the software ecosystem that your company is part of. Workplaces will often choose one type of program—Google, Microsoft, or another large brand—to use at all levels of their company to streamline usage and file types. Preference and ecosystem requirements will typically be the key drivers in determining which tool to use for your presentation, but once you have learned one of the applications, you will have a faster learning curve when it comes to learning the other. Because Microsoft has traditionally dominated the office workplace, applications like Word and PowerPoint are more common in business settings. However, with schools and small businesses looking to offer free and affordable options for newer users (for example, Chromebooks are required in some classrooms), Slides continues to expand its reach. Its ease of use can attract those new to working with digital presentations or collaborating with teams on a project. Knowing and being confident in both programs removes the walls of an ecosystem, particularly if it is easy to change files from one type to the other. As we work in ever-diverse workgroups, the ability to move from one program to another becomes increasingly important.

With Copilot in PowerPoint, you can create a presentation from an existing Word document. Point Copilot in PowerPoint to your Word document, and it will generate slides, apply layouts, create speaker notes, and choose a theme for you.

Best practices when creating a presentation from a Word document

Leverage word styles to help copilot understand the structure of your document.

By using Styles in Word to organize your document, Copilot will better understand your document structure and how to break it up into slides of a presentation. Structure your content under Titles and Headers when appropriate and Copilot will do its best to generate a presentation for you.

Include images that are relevant to your presentation

When creating a presentation, Copilot will try to incorporate the images in your Word document. If you have images that you would like to be brought over to your presentation, be sure to include them in your Word document.

Start with your organization’s template

If your organization uses a standard template, start with this file before creating a presentation with Copilot. Starting with a template will let Copilot know that you would like to retain the presentation’s theme and design. Copilot will use existing layouts to build a presentation for you. These powerpoint alternatives go beyond the basics..

The latest presentation apps have made it easier than ever to format slides and create professional-looking slideshows without giving off a "this is a template" vibe. Even standard PowerPoint alternatives have updated key features to make it easier than ever to collaborate and create presentations quickly, so you can spend more time prepping for your actual presentation.

If, like me, you've used Google Slides unquestioningly for years, it's a whole new world out there. The newest crop of online presentation tools go way beyond the classic slideshow experience, with new features to keep your audience's attention, streamline the creation process with AI, and turn slide decks into videos and interactive conversations.

I've been testing these apps for the past few years, and this time, I spent several days tinkering with 25 of the top presentation software solutions out there to bring you the best of the best.

The best presentation software

What makes the best presentation app, how we evaluate and test apps.

When looking for the best presentation apps, I wanted utility players. After all, slideshows are used for just about everything, from pitch decks and product launches to class lectures and church sermons. With that in mind, here's what I was looking for:

Pre-built templates. The best presentation tools should have attractive, professional-looking templates to build presentations in a hurry.

Sharing and collaboration options. Whether you plan to share your webinar slides later, or you just want to collaborate with a coworker on a presentation, it should be easy to share files and collaborate in real-time.

Flexibility and customization options. Templates are great, but top presentation apps should enable you to customize just about everything—giving you the flexibility to build exactly what you need.

Affordability. Creating compelling presentations is important, but you shouldn't have to bust your budget to make it happen. With capable free tools on the market, affordability is a top consideration.

Standalone functionality. There's no reason to use multiple tools when one can do it all, so I didn't test any apps that require and work on top of another presentation app like PowerPoint or Google Slides.

Familiar, deck-based interface. For our purposes here, I only tested software that uses slides, with the familiar deck-based editor you expect from a "presentation" tool (versus, for example, a video creation app).

Beyond that, I also looked for presentation apps that brought something unique to the table—features above and beyond what you can get for free from a legacy solution like PowerPoint or Google Slides.

Here's what my testing workflow looked like:

I went through any onboarding or guided tutorials.

I created a new deck, scanning through all available templates, noting how well-designed they were (and which were free versus paid).

I added new slides, deleted slides, edited text and images, and played around with other content types.

I changed presentation design settings, like color schemes and background images.

I reviewed and tested the sharing and collaboration options.

I tested out presenter view (when available).

After my first round of testing, I went back into the top performers to test any unique or niche features, like AI, brand settings, and interactive content. With that, these are the best presentation apps I found—each one really brings something different or radically easy to the table.

Canva offers one of the most robust free plans of all the presentation apps I tested. The app delays account creation until after you've created your first design, so you can get started building your presentation in seconds. Choose from an almost overwhelming number of beautiful templates (nearly all available for free), including those designed specifically for education or business use cases.

Anyone who's accidentally scrolled too far and been bumped to the next slide will appreciate Canva's editor interface, which eliminates that problem altogether with a smooth scroll that doesn't jump around. Choose from a handful of preset animations to add life to your presentations, or browse the library of audio and video files available to add. And Canva also has a number of options for sharing your presentation, including adding collaborators to your team, sharing directly to social media, and even via QR code.

Present directly from Canva, and let audience members submit their questions via Canva Live. Once you share a link to invite audience members to your presentation, they can send questions for you to answer. As the presenter, you'll see them pop up in your presenter view window, so you can keep the audience engaged and your presentation clear. Alternatively, record a presentation with a talking head bubble—you can even use an AI presenter here—to share remotely.

If you're like me, editing granular spacing issues is the absolute worst part of building a presentation. Beautiful.ai uses artificial intelligence to take a lot of the hassle and granular design requirements out of the presentation process, so you can focus on the content of a presentation without sacrificing professional design. If I needed to make presentations on a regular basis, this is the app I'd use.

Many apps have recently added AI design features, but Beautiful.ai has been doing it for years—and they've perfected the experience of AI design, ensuring the tool's reign as the most streamlined and user-friendly option for AI design.

The editor is a little different from most presentation apps, but it's still intuitive—and you'll start off with a quick two-minute tutorial. When creating a new slide, scroll through "inspiration slides" to find a layout you like; once you choose, the app will pull the layout and automatically adapt it to match the design of the rest of your presentation.

With 10 themes, several templated slides, over 40 fully-designed templates, and more than 20 different color palettes to choose from, Beautiful.ai strikes a perfect balance between automation and customization.

While Beautiful.ai doesn't offer a free plan, paid plans are reasonably priced and offer sharing and collaboration options that rival collab-focused apps like Google Slides. And speaking of Google, you can connect Beautiful.ai with Google Drive to save all your presentations there.

Note: I re-tested the generative AI feature (called DesignerBot) this year. It's great for adding individual slides to an existing presentation—automatically choosing the best layout and matching the design to the rest of the deck—but as with most other apps, it struggled to pull in relevant images.

Struggling to squeeze information into a basic, linear presentation? Give Prezi a try. Unlike nearly all other presentation apps on the market, Prezi Present doesn't restrict the structure of your presentation to a straight line. The editor focuses on topics and subtopics and allows you to arrange them any way you want, so you can create a more conversational flow of information.

With the structural flexibility, you still get all the same customization features you expect from top presentation software, including fully-editable templates. There's a learning curve if you're unfamiliar with non-linear presentations, but templates offer a great jumping-off point, and Prezi's editor does a good job of making the process more approachable.

Plus, Prezi comes with two other apps: Prezi Design and Prezi Video. Prezi Video helps you take remote presentations to a new level. You can record a video where the presentation elements are displayed right over your webcam feed. Record and save the video to share later, or connect with your video conferencing tool of choice (including Zoom, Microsoft Teams, and Google Meet) to present live.

Prezi's generative AI feature works ok, but it's more useful as a wireframe. When I asked it to create a presentation about the Stanley Cup Playoffs, for example, the resulting content read a lot like a student writing a term paper in the broadest strokes possible to avoid doing any actual research.

The best presentation app for video presentations

Powtoon makes it easy to create engaging videos by orienting the editor around a slide deck. Editing a Powtoon feels just like editing a presentation, but by the time you finish, you have a professional video. 

You can edit your slides at any time, and when you hit play, a video plays through your deck—the feel is almost like an animated explainer video. Each slide includes the animations you choose and takes up as much time as is needed based on the content on the slide. Powtoon figures the timing automatically, and you can see in the bottom-right of the editor how much time is used on your current slide versus the total presentation. If you ever want to present as a slide deck, just toggle between Slideshow and Movie.

As far as decks go, Pitch includes all the beautifully-designed templates, customizability, and ease of use you expect from a top-notch presentation tool. But the app really shines when you add your team.

The right-hand sidebar is all about project management and collaboration: you can set and update the status of your deck, assign entire presentations or individual slides to team members, plus comment or add notes. Save custom templates to make future presentations even easier and faster.

You can also invite collaborators from outside your company to work with you on individual decks. And if you opt for a paid plan, Pitch introduces workspace roles, shared private folders, and version history.

Pitch also offers one of the most impressive generative AI features on this list. It still struggles to pull in relevant images, but I found the AI-generated written content and design to be top-notch.

I tested a lot of apps claiming to use AI to up your presentation game, and Gamma's conversational AI features were head and shoulders above the crowd.

Simply give the app a topic—or upload an outline, notes, or any other document or article—approve the outline, and pick a theme. The app will take it from there and create a fully fleshed-out presentation. It's far from perfect, but Gamma produces a very useful jumping-off point. (Last year, it was by far the best, but this year, other apps are catching up.)

Here's the key: Gamma is much more geared toward the iterative, chatbot experience familiar to ChatGPT users. Click on the Edit with AI button at the top of the right-hand menu to open the chat, and you'll see suggested prompts—or you can type in your own requests for how Gamma should alter the presentation.

Once you've done all you can with prompts, simply close the chat box to manually add the finishing touches. While you do sacrifice some granular customizability in exchange for the AI features, you can still choose your visual theme, change slide layouts, format text, and add any images, videos, or even app and web content.

If you need to engage with an audience during your presentation, Mentimeter makes that easy. The app is designed around interactive elements like quizzes, surveys, Q&As, sliders, and more (even a Miro whiteboard!).

Each of these is included in a number of different, professional-looking templates, so you can build a fully interactive presentation super quickly.

When it's time to present, your audience members can scan the QR code with their phone cameras or type in the URL and access code to participate. There's one code per presentation (so they won't have to do this on every slide), which gives access to each slide as you move through the presentation.

There are two main drawbacks to this one, though. First, there's a bit of a learning curve and less familiar editing interface (but I found it pretty easy to learn with some practice). The other drawback is that you can't get as granular with the visual customization as you can with many other presentation tools.

Tome is one of the new additions to this list that I'm most excited about. If you're looking for generative AI that just genuinely works , it's definitely worth a look. The editor is a bit more stripped down than most presentation apps but intuitive nonetheless—it's almost a cross between your standard deck editor and a Notion-style doc.

To generate an AI deck, click Generate with AI in the top right, and either write your own prompt or choose from the example prompts that cover a handful of common use cases, like sales enablement and company pitches. Edit or approve the suggested outline, then generate the full presentation.

From there, you can edit each slide as a doc via the right-hand menu—without limits on how much information you can include. During the presentation, you simply size down any slides that take up more than the standard amount of space. It's super simple but somehow feels revolutionary in a presentation app.

What about the old standbys?

You might notice a few major presentation players aren't on this list, including OGs Microsoft PowerPoint, Apple Keynote, and Google Slides. These apps are perfectly adequate for creating basic presentations, and they're free if you have a Windows or Mac device or a Google account.

I didn't include them on the list because the presentation space has really developed in the last several years, and after testing them out, I found these behemoths haven't kept pace. If they weren't made by Microsoft/Apple/Google, I might not even be mentioning them. They're pretty basic tools, they're behind the curve when it comes to templates (both quantity and design), and they don't offer any uniquely valuable features like robust team collaboration, branding controls, video, and so on.

In any case, if you're reading this, you're probably looking for an alternative that allows you to move away from one of the big 3, and as the presentation platforms featured above show, there's a ton to gain—in terms of features, usability, and more—when you do.

What about PowerPoint and Google Slides add-ons?

While I focused my testing on tools with full feature-sets—those that can serve as your sole presentation tool—there are a ton of add-on tools you can use atop big name tools like PowerPoint and Google Slides.

In the forever-shifting landscape of design and technology, some rare artifacts surprisingly never change.

Throughout the last two decades, we have witnessed the astonishing evolution of creative tooling, methodologies, and working practices. However, after all of this advancement, we still have clients asking to make the logo bigger, designers despairing as their creations are built with not quite the exact amount of bottom-margin, and developers going crazy about last-minute design changes.

Quite frankly, I’ve had enough . So join me in a parenting-style-hands-on-hips pose of disdain, roll up your sleeves, and let’s fix this mess together, once and for all!

Why Is This Still An Important Topic?

Ultimately, the quality of your designer-developer relations will have a vital impact on the quality of your product. In turn, this will impact customer experience (be it internal or external).

Customer experience is everything, and these days the smallest of chinks can create an even bigger dent in the business itself.

It may not even be an obvious or noticeable issue. Over time, those moments of misunderstanding in your team could result in a series of micro-inconsistencies that are felt by the customer yet sneak underneath the radar of quality assurance.

Perhaps you’ll catch these things during user research, but in this scenario, you’d be playing catch-up instead of advancing forward.

To cut a long story short, it could be slowing you down in the race against your competitors and costing you more money in the process.

So, with that in mind, let’s get stuck into the techniques that can steer us in the right direction and inspire everyone on the team to deliver the slickest of user experiences together.

Working Culture

In my opinion, process improvements may only get you so far. The working culture in your organization will heavily influence the output of your digital teams. Whilst the subject of culture is incredibly vast, there are a few key elements that I think are hugely important to foster a greater level of collaboration between design and developers:

  • Alignment on the goals of the project and/or business.
  • Encouraging a more “robotic” attitude to feedback. Of course, you can be passionate about what you do, but when it comes to feedback, I always try to encourage people to respond with logic before emotion.
  • Communication : Ultimately, you have to trust people to be proactive. You can have a great process, but the gaps and edge cases will still slip through the net unless you have people who are open and ready to prod each other when issues arise.

This may seem like common sense to many of us, but many organizations (big ones, too!) still operate without this crucial foundation to motivate and support their teams.

However, it is essential to be honest with yourself and consider the role you play within your team. Even if you think you have already fulfilled these criteria, I’d encourage you to investigate this further to ensure everyone feels the same. It can be as simple as having a 121 discussion with each member of the team, or you could even send out short questionnaires to gauge your workplace’s suitability for an optimal designer and developer collaboration.

You might be surprised by what you hear back from people. Treat any criticism as gold dust. It’s an opportunity to improve.

Once you’ve created this foundation within your organization, it’s important to maintain and protect it. Keep reviewing it regularly, and make sure that anyone joining the team will be able to fit in. This leads us nicely on to…

If you’re scaling your team, maintaining quality can always be a challenge as you grow. Despite the challenges, it’s important to continue hiring people who have a positive and empathetic attitude to ensure you can maintain this foundation within your workplace.

In order to gauge this, I would like to include the following interview questions.

Begin by showing a sample screenshot of your product or a specially crafted concept design:

“You’ve just built X, and the designer wants to change Y. How do you respond?” Follow up: “The designer and PM reject your suggestion because of _______. How do you respond?”
“The developer says, “We can’t build X quickly; can we do Y instead to deliver faster?” How do you react?” Follow up: “The product owner says they are then disappointed with the design. How do you react?”

I recommend asking these kinds of questions in the middle or towards the end of the interview so you have already built rapport. If the candidate is at ease, they are more likely to let slip any negative attitudes that lurk beneath the surface.

I’ve asked interview questions like these to many designers and developers, and every so often, they will openly criticize and stereotype each other with a smile on their faces. I’ve even seen some candidates become visibly frustrated as they recount real-life scenarios from their own experiences.

How you score this is more difficult. Ultimately, skills and work ethic are the most important things , so concerning answers to these questions may not necessarily lead to an outright rejection but perhaps flag something you may need to work on with the candidate if they do later join your team.

Hopefully, in most cases, the stronger candidates you speak to will naturally provide balanced and conscientious responses to these tests of character!

We talked a bit about hiring, but I’d imagine many people who need this article are more likely to be in the midst of a designer-developer flame-war as opposed to trying to prevent one in the future!

So, what can we do process-wise to keep things flowing?

Provided that there is plenty of early and ongoing collaboration in your workflow, there is no absolute right or wrong answer. It’s about what fits your team and your product best. Ultimately, you need to discard the silos of the past and start working together as a team early on.

  • Developers would typically be the last people to get involved, but they should be involved from the start to guide technical feasibility and provide their own ideas.
  • Designers are often more involved in the beginning but can often drift away before the end of a release. However, we need to keep them onboard and get them to play with the product so we can keep making it even better!

It’s important to be open-minded about the solutions. Alas, I have even worked in organizations where different teams have different approaches. Bearing that in mind, here are some good places to start in terms of exploring what might work for your workplace.

When new features are on the horizon, getting everyone involved in these discussions is crucial.

Sometimes, it can be difficult for developers to detach from the current sprint and think ahead, but it’s important that we have their guidance, and it is ultimately going to save them (and the whole team) time further down the line.

Scoping can appear in many different forms across the spectrum of agile methodologies out there. It’s not my intention to cover any of these and discuss all the positives and negatives of each (that’d make this into a book, and not one that anyone would like to read!); in fact, I am deliberately not mentioning any of them. This article is ultimately about people, and the people we need at this early stage are not just the stakeholders and a product manager. We need designers and developers shaping these early discussions for the following reasons:

  • They will bring their own ideas.
  • They will visualize the idea very quickly and assess its feasibility.
  • They will connect the concept with other parts of the domain.
  • They will also (albeit rarely!) prevent an impossible dream or daft idea from growing on the face of the business like a festering wart.

Another Perspective On Scoping: SquaredUp

In order to take a deeper dive into the subject of scoping, I spoke to Dave Clarke, product manager at SquaredUp .

“Developers are looped in during the design stage, and we’ll test interactive mockups with the engineering team as well as other internal stakeholders before going out to external audiences for feedback. This means that when a feature is ready to be built by an engineer, they’re already really familiar with what we’re building” — Dave Clarke

Back in late 2018, I met the SquaredUp team at an open day in their UK hub in Maidenhead. I was impressed by the quality of their product, considering it was a very technical audience. It looked beautiful, and you could tell that they went the extra mile in terms of collaboration. Not only do they involve developers in the design phase, but they get them involved even earlier than that.

This helps foster a real appreciation and understanding of the ‘user’ and ensures designers/developers/PMs are all coming at a problem with a solid understanding of the issue from the user’s perspective.” — Dave Clarke

This brings us back again to that all-important foundation. Alignment on goals is key, and what better way to reinforce that message than by getting everyone involved in hearing directly from the end users of your product?

Design Presentations

Once the wheels are in motion on the big new thing, many teams like to have the designer present their work for forthcoming iteration(s) to the team. This allows everyone to have a say and get excited about what is coming up.

Once again, there are many organizations that would simply agree on the design between stakeholders and designers alone. From the developer perspective, this is incredibly frustrating. Not only will it result in a lower-quality output , but it will also make developers feel as though their opinion doesn’t matter .

With my developer hat on, though, I absolutely love these kinds of sessions. They allow us to question the details, suggest alternatives, and consider how we slice stuff up into smaller bundles of value that can be released faster.

With my design hat on, it caters to my need to think about the bigger picture. It’s not always practical to design iteratively, but in these sessions, we can all get together and appreciate the end-to-end experience .

Typically, we allow the designer time to talk through everything, allowing for questions throughout, and give everyone a chance to dive in and bring their ideas to the table. However, do what works for your team. If you have a designer who wants to present, take all questions at the end and then make changes afterward, do that. If you have one who likes handling lots of questions throughout and makes changes live, go with that.

Perhaps even give it your own identity, too. In my current workplace, one of the squads calls it Design Time and in our squad, we decided to open the name to a poll, and thus (with one cheeky addition to the poll from a colleague) the Itty Bitty Refinement Committee was born!

Managing Conflict

However, these kinds of sessions do have the potential to get sidetracked . So, as with any meeting, it is essential to have a clear agenda and ensure that good facilitation prevents things from going off-piste. If there are conflicts, I always try to find resolutions by considering where we might find the answers. For example,

  • Can we look at our analytics?
  • Which option is a better fit for our company goals?
  • Could we do an A/B test to see what is more effective?

When people bring ideas to the table, it’s always important to acknowledge them positively and seek further exploration . Sometimes, we can agree on an approach quickly, and on other occasions, we can defer the discussion to a later refinement session.

Sharing Responsibilities

In my opinion, there is also a gray area between designers and developers, where it often isn’t clear who holds responsibility. This is a big risk because, in many organizations, essential aspects can be completely forgotten.

From my past experience, there are two key areas where I see this happening often. So this may not be exhaustive, but I encourage you to think about these and then ask yourself: Is there anything else — specific to my organization — that could have fallen into this void between our designers and developers?

See if you can identify these risks and agree on a way of working together to ensure they are tackled effectively.

Nowadays, many dev teams are working on JavaScript-heavy applications, and most of us will have the power of CSS transitions at our disposal. Yet, I frequently land on new projects where they aren’t being leveraged to enhance the customer experience.

Animations can be quite time-consuming to create using many design tools. In particular, I often find that loading states are quite fiddly to prototype in some cases.

In my recent work at Floww , I collaborated with designer Hidemi Wenn on an animated progress bar. For the first version, Hidemi had begun with an idea crafted in After Effects. I replicated this in a CodePen and suggested adding some bubbles to highlight the changes in the numbers.

Note : Of course, CodePen is just one example of this. There are many other tools out there, such as Storybook, that can also allow us to build and collaborate on ideas quickly.

This allowed Hidemi to see her creation working in the browser early — before it had been fully implemented into the product — and we then collaborated further to make more enhancements.

Pairing is often between developers, but why not jump on a call and pair with a designer whilst you write the CSS? This gives them full transparency, and you can collaborate together. “

Nowadays, we have amazing tools at our disposal to collaborate, and yet still, so many designers and developers elect to operate in silos.

Accessibility

One of the first things I do when joining any existing digital project is to spin up Wave (an accessibility testing tool) and subsequently slump into my seat in despair.

Accessibility is something that always suffers as a result of a designer/developer standoff. Some might say it’s the realm of design, while others would argue it’s quite a technical thing and, therefore, lives in dev land. The truth is it is a shared responsibility .

Take something like :focus , for example. Whenever I review code, this is something I always check and often discover it’s missing. Ask the developer, and they’ll say, “We didn’t have designs for it.” Well, perhaps, ask the designer to create them, just as I’d expect the designer to query an unimplemented state they had designed for.

We should scrutinize each other’s work and continue to channel our inner robot to respond with logic when it comes to constructive criticism. Keep encouraging everyone to embrace feedback because that is the gold dust that makes our product shine brighter. “

During Implementation

Having steered our way together through the implementation of our features, at some point, we begin to approach the time to release our features into the wild. We are on the final stretch, and thus, it’s time for developers to stage a reverse-design presentation!

Whilst mentoring developers on this subject, I always remind them not to take the feedback personally .

Likewise, I ask designers to never hold back . Be persnickety (in a kind way!) and ensure all your concerns are addressed.

It’s only natural for a developer to behave defensively in these scenarios. As a result, designers may hold back on some of the feedback they provide in order to prevent upsetting the developer.

Developers are often very vocal, and if you are tasked with delivering a barrage of design feedback to them, it can appear daunting and make designers fearful of a backlash.

Prevent the silo. Perhaps have a third party , such as the product owner/manager, attend the meetings. They can diffuse any situation by referring us all back to the business value.

I’ve also witnessed rare cases where the developer has nodded and agreed with all the feedback and then just hasn’t implemented any of it afterward! So, make sure it’s all captured in whatever project management tools you use so you can follow up on the status. Sometimes, it’s easy to forget to do this when the changes are so small, so often (in my current team), we might create a single ticket on our board to implement all the feedback changes as opposed to creating a work item for each.

Another common issue I’ve found is that I’ve met many designers who don’t actually ever test out the products that they design . For me, they are missing out on the opportunity to further hone their work, and to learn.

If you’re a designer, ensure that you can log in to the app/website. Get a test account from someone, and try to break stuff !

Once all the feedback is in, we can create more work items to give our product those magical finishing touches and ship our masterpiece to the World.

Design Systems

Having mentioned focus states earlier on, you were probably already thinking about design systems before this heading came along! Of course, the design system plays a key role in helping us maintain that consistency, and ensuring accessibility concerns are baked-in to our library of beautiful components.

There are many, many articles about design systems out there already but here, I am going to just consider them in the context of the working relationship.

As the design system encourages reuse, it encourages us to think about other teams in our organization and be more mindful.

If the basic building blocks are covered, we can focus on solving more complex challenges together. I think this is also a really important value to get your teams on board with.

Design systems can also cause friction. Not everyone will get on board with it. Some designers will feel as though it restricts their creativity. Some developers will be frustrated at having to update the design system instead of cracking on with their own features.

In my opinion, these attitudes will not only slow you down but could harm the working culture of your business. Nowadays, I’d say it’s absolutely crucial for any product team (big or small) to have a design system and have the majority of your team buying into it.

I’ve been present at organizations where the design system is neglected, and in these cases, it actually ends up worse than not having one at all. You really need the majority of your team to be committed to it; otherwise, some people will go off-piste and keep reinventing the wheel (probably without those focus states!).

Another Perspective On Design Systems: GOV.UK

The GDS (Government Digital Service) of the UK has built a design system that serves a vast spectrum of different services and tech stacks. An enormous challenge, which is almost certain to be of interest in our quest for knowledge! So, I got in touch with product designer Ed Horsford who has worked on a series of government services that make use of this.

“GDS provides the GOV.UK Prototype Kit , so as a designer, I can create something in the kit, make full use of the functionality of the design system, and point developers towards the prototype.” — Edward Horsford

Whilst many other organizations are now making use of tools such as Figma’s excellent Dev Mode feature to streamline design handover, this still requires naming conventions to be lined up between the codebase and the Figma component library. What’s impressive about GDS’ approach here is that the provision of their own prototyping tool makes it absolutely clear to developers which components need to be used . However, the availability of a great design system tooling doesn’t always guarantee a smooth outcome, as Ed explains:

“It can be a bit of a mind-shift for developers new to the UK government or using design systems in general — they may default to hand coding the HTML and CSS to match a design, rather than using the components from the design system to match the prototype.” “If there is a bespoke requirement outside of the design system, then I will always call it out early so I can discuss it with the team.” — Edward Horsford

Once again, this takes us back to the importance of communication. In a landscape where a design system must be deployed amongst many different teams, it’s up to the designers and developers to scrutinize each other’s work .

It was great to hear that as a designer, Ed was actively looking at the front-end code to assist the developer, ensuring the design system was respected so that all of its many benefits could be embedded into the product.

Crisis Mode

I appreciate that much of the advice in this article requires planning and a fair bit of trial and error. So what do you do if your designers and developers are already engulfed in a mass brawl that needs to be quelled?

In these scenarios, I think it is an ideal moment to pause and simply ask each member of the team: What is our goal? What are we working towards?

If people are angry, in some ways, it’s a good thing because you know they care. People who care should always be open to a bit of a reset. Openly discuss what everyone wants, and you’ll probably be surprised at how aligned people really are ; I always go back to this fundamental and work onwards from there.

Sometimes, we get so tangled up in the details we forget what is truly important.

For every angry team, there are probably many more that just don’t give a crap. For me, this is a far worse situation.

Every problem described in this article could be present. The designers make mockups, the designers build them without question, and everyone gets paid. Who needs to question anything? It’s just a job, right?

Can we really fix this?

Well, in my opinion, you are going to need a much deeper dive into company culture to try and revive that team spirit . I have worked at places like this in the past, and it is very challenging to try and implement solutions when the people are just not bought into the vision of the organization.

Whether this is feasible or not depends on your role and the organization itself. I have walked away from situations like this in the past because I didn’t feel as though the organization was willing to change or even be able to acknowledge the problem.

The dynamic between designers and developers is a subject that has always been of great interest to me, as I’ve worked in both roles as well as being an agency owner.

I’m confident as the years continue to progress, this will become less of a problem as the world of work continues to gravitate towards greater levels of inclusivity, honesty, and openness. The foundations of great company culture are so crucial to ensuring that designers and developers can unite and take on the world side-by-side on behalf of your organization.

For now, though, in today’s fragmented and divided world, you can gain a true competitive advantage by leveraging the power of a harmonious digital team built on the foundations of your organizational values.
