  • If your documents have not been converted into English or French before submitting your application

In fact, you may be required to submit multiple work reference letters for Express Entry, depending on your employment history. This guide tells you exactly how to prepare your work reference letter for Express Entry, to make sure your application has the highest possible chance of being accepted.

When do you need a work reference letter for express entry.

Express Entry immigration to Canada is a two-step process.

First, candidates must prepare and submit an Express Entry profile. Eligible candidates are accepted into the Express Entry pool of candidates.

  • Create your Express Entry profile .

Second, the most competitive candidates in the pool, based on their score under the Comprehensive Ranking System (CRS) , receive an Invitation to Apply (ITA) in an Express Entry draw . Candidates have 60 days from the date they receive their ITA to submit a complete electronic Application for Permanent Residence (eAPR).

The work reference letter is only required as a part of the final application for permanent residence, so you do not need the letter in order to submit your initial Express Entry profile. However, if you expect to receive an ITA, it is a smart decision to try to get your work reference letter(s) for Express Entry ready ahead of time. This way, you will be able to have it, or them, ready by the end of the 60-day deadline for your eAPR submission.

Pro-tip: For your previous jobs, the date the reference letter was issued simply has to be after your last date of employment, so you can collect these letters far in advance and don’t have to worry about an expiry date.

For which jobs do you need a work reference letter for Express Entry?

As part of your application for permanent residence, your account with Immigration, Refugees and Citizenship Canada (IRCC) will prompt you to submit supporting documentation for all work experience you claimed during the last 10 years. This will be requested for both the principal applicant and your accompanying spouse or common-law partner, if applicable.

When preparing your application for permanent residence, you should include all requested documents. IRCC is extremely strict about supporting documents for permanent residence applications. Even a single missing document often results in an application being rejected as incomplete.

That said, there are certain situations in which your application may be approved, even if you cannot submit work experience documents for every job in your employment history. Bear in mind that any document that deviates from IRCC’s requirements will only be accepted at the discretion of the immigration officer assessing your file, so there is a risk of refusal .

What information needs to be included in your Express Entry work reference letter?

When getting your reference letter from your current and/or past employer, make sure they include the necessary information. Missing any of the required information means that your letter could be thrown out and could result in your application being rejected.

Information that must be included:

  • Dates when you were employed;
  • Number of hours worked per week;
  • Name of your position;
  • Duties and responsibilities for your position (these must correspond to the the duties and responsibilities listed in the National Occupational Classification code you selected to describe the work experience in your Express Entry profile, however the duties should not match word for word);
  • Annual salary plus benefits.

If you worked multiple positions for the same company you may submit a single letter, but it must include all of the above information for each position you held. The immigration officer will want to see the dates you had each position, as well as any changes to the name of your position, your duties, and your salary.

In addition, all work reference letters for Express Entry should be printed on official company letterhead with contact information for the company (address, phone number, email). The letter should include the name, title, and signature of your immediate supervisor or personnel officer at the company.

In-Canada work experience: If you are claiming work experience in Canada, you can also include copies of your T4 tax slips, which will be accepted as supplementary proof of your employment.

Self-employment: It can be challenging to prove self-employment. When in doubt, consult with an immigration expert . You will need to submit documents showing your ownership of your business, as well as evidence of income, and documentation from third-parties showing the products/services you provided and the related payment details.

What to do if you can’t get a work reference letter for express entry.

There are a few situations in which you may not be able to get a work reference letter for Express Entry. Perhaps a former employer’s business no longer exists, or perhaps there was a change in staffing and you cannot get in touch with anyone capable of verifying your past work experience. The most important things to check when preparing your work experience letters, is that you demonstrate the following:

  • Proof you meet your program requirements: Each of the three Express Entry-aligned programs ( Federal Skilled Worker , Federal Skilled Trades , and Canadian Experience Class ) have work experience requirements. For example, FSW requires a minimum of 12 months’ continuous, full-time, skilled work experience obtained within the last 10 years. CEC requires 12 months of skilled work experience in Canada within the last three years. Make sure that you have high-quality reference letters that prove you meet the work experience requirement related to your program.
  • Proof you meet your Comprehensive Ranking System (CRS) score requirement: You received your ITA because your CRS score was above the cut-off for a particular Express Entry draw . The immigration officer assessing your file will ensure that you have enough supporting documentation to prove that your CRS score is above the cut-off for the date you received your ITA. Make sure that you have high-quality reference letters that prove you have enough work experience to achieve a CRS score above the cut-off for the draw where you received your ITA.

If you have enough documentation to prove the work experience related to both of these aspects, and you are confident in the quality of this documentation, then your application may still be accepted, but there is no guarantee. If your remaining work experience documents are not perfect, the immigration officer assessing your file may still use their discretion to approve your application.

You should always submit a document when it is requested, so even if you cannot get a work reference letter you should still submit a written statement explaining the situation and upload this statement in the place of the official reference letter.

What if you don’t have enough reference letters to prove the program and CRS requirements?

If you think you could get the required reference letters with more time, then you can always decline your invitation to apply . If you are still eligible, your Express Entry profile will return to the pool and you will be considered for future draws, but there is no guarantee that the CRS score cut-off will remain low enough for you to be invited again.

If you don’t think you can get the required work reference letter for Express Entry, even with more time, then you can try submitting substitution documents to supplement your reference letters or to prove work experience for positions where you cannot get a reference letter. This is quite risky, as it will be entirely up to your immigration officer whether or not to accept your substitute documents.

Examples of substitute documents include:

  • Records of employment
  • Personal letters from former coworkers
  • Media stories about the company that mention your name
  • Bank account statements with pay deposits highlighted

If you ever submit substitution documents, you should always include a personal statement explaining the documents you are submitting and the reasons why you were unable to get the proper required documents.

A Canadian cover letter is a short document written in response to a specific job prospect and addressed directly to the hiring manager or individual in charge of hiring for the position. It should add to the information contained in your resume and resent you to the employer as a candidate.

Cover letters are essential in the hiring process as they provide candidates with the opportunity to introduce themselves, demonstrate their qualifications, and show enthusiasm for a specific role and company.

They serve as a personalized communication tool, allowing candidates to make a positive first impression, tailor their message to the job, and address potential concerns or unique situations.

The following are general guidelines only. You must tailor your cover letter to suit your own experiences, and to suit the specific position you are applying for.

Before You Begin

Once you find a specific job posting that you want to apply for, you can begin to work on your application cover letter. Following these steps before you begin will help you write the best cover letter possible.

1. Do Your Research

Before you begin to write your cover letter, learn everything that you can about the company or organization you are applying to. Check out their website and social media pages, research their top competitors, and read recent industry news articles. Learn the name(s) of the individual(s) who will be in charge of hiring for the position you want, as well as the head(s) of the company.

Also, keep in mind the job description and requirements for the role. it allows you to create a cover letter that showcases your qualifications, aligns with the company’s needs, and demonstrates your genuine interest in the position. This, in turn, increases your chances of being noticed and considered for the role.

Doing this research will help you decide what you should include. Do your research for every cover letter you write. It may take some time, but you have a much better chance of being granted an interview if you have tailored your cover letter to the individual who will be reading it.

2. Check for Instructions

Some employers include instructions in their job postings. They might ask you to include specific information or answer certain questions, in your cover letter. Check whether the employer has left any specific instructions for your cover letter. If they have, follow them carefully.

3. Save time by using a Master Template:

Creating a separate cover letter for every job application can be exhausting. Instead, develop a comprehensive cover letter template that highlights your key qualifications, skills, and experiences.

Keep a library of snippets or bullet points highlighting your achievements, skills, and relevant experiences. You can easily insert these into your cover letter as needed. This template can serve as a foundation for various job applications, making the process more efficient.

Formatting Guidelines

There is a standard cover letter format that most Canadian employers will expect you to follow. However, depending on your industry and the specific job posting you are responding to, you may have to change the formatting of your cover letter.

1. Length  Your cover letter should be no more than one page in total.

2. Font  Your font should be consistent throughout your cover letter, and you should choose a professional-looking font. Your font size should be big enough that it is easy to read when your cover letter is printed.

3. Spacing  Your cover letter should be appropriately spaced. The main body should be single-spaced, with sufficient space left between each new paragraph and section.

What to Include

There are seven sections in a cover letter.

1. Your Information  Your name and contact information should be at the top of your cover letter. Include your:

  • First and last name
  • Current residential address
  • Phone number
  • Email address

2. Date  Below your information, write the date that you are sending your cover letter.

3. Employer Information  Below the date, include the contact information of the individual, department, or company you are addressing in the cover letter. If you know the name of the individual, include their:

  • Position title
  • Company or organization name
  • Commercial address of the company or organization

If you do not know the name of the individual, include:

  • Department in charge of hiring decisions (if known)
  • Commercial address of company or organization

4. Greeting  Use a formal greeting to open your letter. If you know the name of the individual making hiring decisions, address them directly with their prefix and full name. If you don’t know the name of the individual, use a formal, generic greeting like ‘To whom it may concern,’.

5. Main Text:  There are three parts to the main text of your cover letter: the introduction, body, and conclusion.

Introduction  In the first paragraph of your cover letter, you should introduce yourself as a candidate . Include your first name and the position you are applying for. You can also include your post-relevant qualification and how you found the job posting. If you have a contact at the company who referred you to the job, you may want to mention him or her by name and department. Your introduction should be no more than two to three sentences.

Body  In the next couple of paragraphs, you want to convince the employer that you are the best candidate for the job position. Tell them why they should invest in you. If you’re not sure what to include, try to answer these questions:

  • What projects have you worked on that are relevant to this position? What did you learn from them? Why does this make you a better candidate?
  • What responsibilities have you held that are relevant to this position? What did you learn from them? Why does this make you a better candidate?
  • What do you intend to do if you are hired? What benefit does the employer get if he or she hires you instead of someone else?

The body of your cover letter should be one or two paragraphs.

Conclusion  The conclusion is the final paragraph in the main text of your cover letter. It is your opportunity to tell the employer how you feel about potentially working for the company, thank them for the opportunity to apply, and invite them to respond to your application. It should be no more than three or four sentences.

6. Signature  There are two parts to your cover letter signature: the closing line and your full name.

  • Closing Line  Your cover letter must include an appropriate closing line. This is the line right before your name.
  • Full Name  Your full name follows the closing line. It is not necessary to print and physically sign your cover letter since more job applications are done electronically.

Final Revision

Carefully review your cover letters to make sure you have not made any mistakes.

1. Proofread

Check your cover letter for any spelling or grammar mistakes. If possible, have someone else proofread it for you, or come back to it after a night’s sleep. Be sure that you have not made any mistakes in:

  • Your name and contact information
  • The employer’s name and contact information
  • The name of the company or organization you are applying to

2. Check Instructions

Go over any instructions for your cover letter given by the employer and make sure you have followed them carefully.

Make sure that you have the correct date on your cover letter. The date should be the day that you send your cover letter to the potential employer.

I know many were asking for a sample format for the LOE so I thought I should upload mine. Here is a format of LOE that we attached with our application. We wanted to address POF points so the letter is geared to address that. It might not be much helpful but I thought this could give you an idea/start. Hi, I am writing a LOE for my address history, in the last 10 years I have mostly lived in Mumbai, Delhi and Bangalore for work and studies. But on passport and all other documents (PCC) I have maintained my permanent address (Assam) Firstly, do I have to write a LOE explaining that I have lived across Mumbai, Delhi, Bangalore for work and education, however my current and only permanent address is the one that is mentioned on the passport (Assam) And if it is advisable to submit one, please let me know if the below content is OK Dear Sir/ Madam, This is with respect to my Express Entry-FSW application no. xxxxx Kindly note my current and permanent address is as per my passport and same is consistent across all my documents including the PCC, POF, ETC. In the last 10 years I have temporarily lived in other cities within India for education and employment excluding the gap years (as mentioned in my employment and education history) while I was unemployed. I have mentioned the same in my address history. However this is to clarify that my permanent address has remained the same as mentioned on my passport through out these years and consistent across all other documents. Thanks

Letter of Employment Requirements for Express Entry Applications

A Letter of Employment to prove your work experience is a required document for all 3 streams for permanent residence in Canada under Express Entry, including:

There are many applications that require an applicant to provide a letter of employment – from economic and family class, to work permits, study permits, visitor visa applications and beyond. However, keep in mind that the requirements for letters of employment are not the same for every type of immigration application.

Because each immigration pathway has its own requirements for letters of employment, it is important the applicant always checks the application guide/checklist for the requirements of the letter of employment they need.

Letter of Employment for Express Entry

The letter of employment requirements for Express Entry are very specific. It is extremely important that an applicant obtains a proper letter of employment to avoid an application being refused because the officer does not believe the applicant had the required employment experience for their immigration program.

When submitting a letter of employment for any type of PR application through Express Entry, it is imperative all letters include the following information:

  • Applicant name
  • Applicant occupation/job title
  • Applicant’s Duration of employment
  • Total weekly hours the applicant worked
  • The pay [any format is acceptable for hourly/monthly/annual/bonuses/commission] and (if applicable) additional benefits
  • A minimum of 5-8 of the primary job duties the applicant performed in this role

The letter must also be on company letterhead with complete contact details and must be signed by the employer, stating their designation/position.

Below is a template demonstrating how a letter of employment should look and read:

Letter of Employment Unavailable or Incomplete

In most cases, IRCC is adamant on their requirements for a letter of employment. Sometimes, companies are unwilling or unable to provide employees with a letter of employment to IRCC standards. If an applicant is unable to obtain a letter of employment to IRCC standards, then the applicant is required to prove to IRCC two things.

The applicant has done everything they can to obtain a proper letter of employment.

To prove this, the applicant should first send an email to their employer asking for a letter of employment including all of the IRCC’s required information listed above. If the employer sends a letter of employment missing information needed, the applicant then sends a return email in the same email thread letting the employer know the letter of employment they have provided is not to IRCC standard. It is important to outline to the employer what information is missing. The goal is for the employer to state that it is not possible or against their policy to provide the needed information in the letter.

Even when the company states they cannot provide the letter, it is best for the applicant to continue to press the issue to the company that the letter needs all of the above details. If the employer continues to state they cannot provide the letter. The applicant will then use all of this correspondence in their application to prove to IRCC it was not possible to obtain the letter of employment to IRCC standard.

Provide sufficient supplementary evidence to prove whatever information is missing from the letter of employment.

To prove the same information which was not provided in the letter of employment, the applicant needs to first determine what mandatory information is missing and then provide other documentation of this information. Documents that can be used to help prove employment history include:

  • Pay stubs/ payslips
  • Signed employment contract
  • T4 (Canadian)
  • Notice of Assessments (Canadian)
  • Other tax records (foreign)
  • Job posting from the time you were hired
  • Information listed on the company website

If using alternative documentation to supplement missing information on a letter of employment, it is best to use as many supplementary pieces of evidence as possible. The applicant should highlight on the documents where the officer can see the missing information, making it as clear as possible for IRCC.

It is also important the applicant understand the decision to accept the letter or employment with missing information with added supplementary documents is ultimately up to the discretion of the officer reviewing their application. The officer holds the ability to accept or deny any application that includes a letter with missing mandatory information.

If IRCC is not satisfied that your documentation proves that you meet the work experience requirement for the PR stream you have been invited to apply under, the application will be refused.

Employment Documents for Express Entry

Nathalie is a Belgian citizen who is immigrating to Canada under the Express Entry system. She recently received an Invitation to Apply ( ITA ) and started collecting and submitting her documents. However, the Express Entry requirements are confusing. The document checklist shows three spots, one for the Offer of Employment, the other for the Employment Records, and the last for the Letter of Employment. Therefore, Nathalie wonders what these Express Entry employment documents are.

Before explaining employment documents, let’s briefly introduce the Express Entry system. The government of Canada introduced this system in 2015. Of course, the main reasons were to manage the backlogs, allow an online application system, and process applications quickly. However, the Express Entry system only covers three economic immigration options .

  • Federal Skilled Worker Class ( FSWC , FSW, or FSWP)
  • Canadian Experience Class ( CEC )
  • Federal Skilled Worker Class ( FSTC , FST, or FSTP)

The employment documents vary significantly depending on your workplace and employer’s culture. However, the following documents could directly or indirectly refer to your employment. Therefore, if you intend to immigrate to Canada , retaining as many of them as possible is in your best interest.

  • Offer of employment : You could receive an offer from the employer before commencing your work. Sometimes, signing that offer turns it into an employment contract. However, sometimes you need to sign a separate contract upon accepting the offer.
  • Employment contract : This document is the contract you sign with your employer. Nonetheless, it could be nothing but the signed offer of employment.
  • Work or employment reference letter : Such letters describe your past or current role at your place of employment. You usually receive such letters when seeking financing from a financial institution, applying for a new job, immigrating to another country, etc.
  • Business card : A business card reflects your position and contact information. Moreover, it demonstrates the logo and website of your employer.
  • List of employees on the company’s website : Some companies post their staff list online. However, they usually only post the current staff.
  • Paystubs : Earning statements or paystubs could indicate the continuation of employment and the fact that the role is paid.
  • Reference letters from others : Sometimes, you could verify your employment by receiving reference letters from colleagues or third parties. Of course, by third parties, I refer to the business’s customers, suppliers, distributors, external legal or accounting team, etc.

This list is neither inclusive nor exclusive. Use it as a guideline. Also, the official definitions for Express Entry employment documents could vary slightly. Please see the rest of this article for more information.

As the name represents, employment records refer to employment documents showing your past and present jobs. The following image shows IRCC expectations regarding employment records for Express Entry.

The image is self-explanatory. However, since some of you may not be able to read it on a cell phone or similar devices, here is a replica of it.

You must provide proof of work experience for your current job and for each past position you listed. Proof must include a reference letter from your employer and pay stubs, if you have them. The reference letter must: • be an official document printed on company letterhead • include your name, the company’s contact information (address, telephone number and e-mail address), the signature of your immediate • show all positions held while employed at the company • include these details: job title, duties/responsibilities, job status (if current job), the dates you worked for the company, the number of work hours per week and your annual salary plus benefits. You must scan all documents for this period of employment and save them as one file. (You must create a separate file for each period of employment.)

Remember, company letterhead is crucial for the following reasons:

  • It reflects the company’s contact information (website, address, phone, etc.)
  • IRCC considers it an official document

Probably the most confusing document is the letter of employment. You usually see this requirement if you have a job offer in Canada or if you are currently working in Canada. The following image explains the employment letter.

If you do not see a request for a letter of employment, do not panic. As I mentioned, this spot appears for only a specific group of applicants. Here is the text version of the image.

An employment letter is an official document printed on company letterhead stating that you will be employed in Canada by that company for a specified period of time. The employment letter must include your name, the details of your employment in Canada, and the company’s contact information. It may also include: • details such as your tenure with the company • your title, position and duties • approved vacation periods (if travelling to Canada for holidays), or information about whether the company will cover all your travel expenses (if travelling on business for this company), etc

An offer of employment is a formal document that allows you to receive an extra CRS score. In most cases, an official job offer must have the support of an LMIA letter . I have another article that explains Express Entry job offers in detail. However, here I only focus on the document you must submit with your application.

Here is the text version of the IRCC guideline on the offer of employment.

You must provide a job offer letter from the employer who wants to hire you. It must be printed on company letterhead, and state that you will be employed permanently in Canada by that company. The letter must specify whether the job is: • for continuous, paid, full-time work (at least 30 hours a week), • for work that is permanent and not seasonal, • TEER0, 1, 2 or 3 of the 2021 National Occupational Classification ( NOC ) (Note? in most cases, the job offer must be for a permanent job. For some types of jobs, it has to be for at least one year.) The job offer letter must include contact information for the company (address, telephone number and email address).

IRCC usually processes Express Entry applications hastily. The officers allegedly review the applications as if looking for the slightest flaw to refuse them. Of course, they may do so to reduce the processing time. Therefore, consider the following matters regarding the employment documents to protect your application.

  • Study the documents multiple times and compare them together to avoid contradictory information. Remember, contradictions in documents could result in misrepresentation allegations. Unfortunately, the outcome is not only the refusal of the application but a five-year ban from Canada.
  • Do not submit forged, altered, or fake documents .
  • Use the company letterhead and other official documentation as much as possible.
  • Include additional non-contradictory documents to corroborate the original ones. For example, include your business card or a website printout showing you as an employee. Add these to the end of relevant mandatory documents.
  • Translate those employment documents that are not in the English or French languages. Use the services of a certified translator. Double-check translations for potential errors.
  • Include the original language documents, the official translation, and the translator’s affidavit.

Since Express Entry covers economic immigration, work experience and employability in Canada are significant. Consequently, ensure to pay special attention to the employment documents.

Express Entry – How to draft an employer reference letter that works!

What every immigration officer expects to see when they look at yours..

F or those lucky enough to obtain an Invitation to Apply (ITA) under the new Express Entry regime, collecting those dreaded employer reference letters can be a royal pain. However, not every reference letter is accepted. So I’m going to explain exactly what you need to include in yours to ensure you get credit for your foreign work experience.

As a farm boy, I can remember my dad sending me and my brothers the 23 mile drive to White’s Hardware store in Carmangay, Alberta  ( that’s my dad’s wagon at the entrance to town ), to pick up much needed farm supplies. There were times when we got to the store only to realize that we didn’t bring the money with us.

It would have been a long drive back home to face my dad to explain why we didn’t do as he asked. So we did what any local farm boy would do – we asked Mr. White if we could take the supplies and pay him the next time we were in town….essentially put it on our “tab”.

Fortunately for us, Mr. White knew our family well and trusted us to honour our word. We were able to return back to dad with only mild chastisement for having inconvenienced Mr. White.

However, the old adage: “ Your word is your bond “, no longer exists in the world today. And it most definitely does not exist within the world of Express Entry.

It is essential to prove your skilled work experience

One of the most important components of an Express Entry application is skilled work experience . If you are not fully credited with this experience, it could make the difference between your Express Entry application being accepted or rejected.

In an ideal world, CIC would act as old Mr. White and trust in the integrity of people. After all, each time you electronically submit an immigration application, you are asked to “ certify that any information provided by you is true, accurate, and complete .”

That should be good enough, right? Unfortunately, no.

One of the most common reasons an Express Entry application is rejected at the permanent resident (PR) stage is due to deficient reference letters .

The critical information that must be included within a reference letter

When Express Entry was first released, CIC did away with all of the old document checklists for the PR programs. When this happened, we were not exactly sure how reference letters were to be worded. Given the sometimes harsh consequences of failing to get them right, it left many of us immigration lawyers quite unsettled to say the least.

Fortunately, as time has passed, we now have a much better understanding of what CIC is looking for within those pesky reference letters.

CIC may still accept some reference letters that are not 100% perfect. However, in CIC’s world of “one touch” processing, who can really afford to take a chance?

I have set out below the essential components every reference letter must include to ensure you get awarded the full skilled work experience you are entitled.

“Tip: Ensure the reference letter is printed on company letterhead. Remember this needs to be an official document and anything less (such as an e-mail confirmation of employment) is just not going to cut it.”
  • Your full name.  Ensure that the name on the reference letter matches with the name on your passport. Sometimes employers will refer to you by your common or nickname. Eliminate confusion wherever possible and go with the name in your passport
  • full address (don’t forget postal/zip code, if applicable)
  • telephone number
  • e-mail address
  • website address (my suggestion)
  • stamped with the company’s official seal, if applicable (my suggestion)
  • Signature of your immediate supervisor or personnel officer.  People come and go from a business, so if your immediate supervisor no longer works there, have someone sign the letter who knew you and is in a position of authority within the company.
  • Business Card of the person signing the letter. Don’t forget to ensure this is included with the reference letter when you receive it. Obviously you will only need to upload a digital copy of it to the Express Entry portal. However, don’t make the mistake of thinking it is no longer required in our new virtual Express Entry world.
  • job title + corresponding NOC (my suggestion);
  • detailed list of duties/responsibilities (see further information below);
  • job status (if current job);
  • dates you worked for the company;
  • number of hours per week;
  • annual salary; and
  • benefits, (if applicable).

Let’s be honest. There is no “perfect” reference letter.  However, if you can get every one of your prior employers to include all of the information above, you will significantly increase your chances of being awarded all of the skilled work experience points you deserve within Express Entry.

I al red y created my express entry profile and registrated in Job bank. However when I get email notifications about positions that match with my profile often times when I go to Job bank it says the position was closed by the employer, the same day I receive the email. Is this normal?

My application was refused .because the cic .officer is not satisfied with my document i was not able to upload an offer letter .the only document that i submitted was certificate of employment and cotract .i want to re apply soon .you think i can still get ITA .after i get refusal from my first application . Can you advise me .on this. Thanks

You can absolutely refile your express entry profile. However, I would highly recommend that you make sure the offer letter is uploaded with your application. As I have indicated in previous Podcasts, your application must be complete as the officers tend to refuse all applications that are deficient in any way.

Sir im going to re apply my permanent residence .i have police clearance here in canada taken last may 2015 do i need to renew it. Doesnt indicate when is the expiration .

Who needs a police certificate?

In general, you and all the people in your family who are 18 or older need to get a police certificate. You must get one from each country or territory where you have lived for six or more months in a row since the age of 18. (For example, if you lived in a country for eight months but left on a two-week vacation, that counts as living there for eight months.)

For the country you currently live in, the police certificate must be issued no more than six months before you apply .

For countries where you have lived for six months or more, the police certificate must be issued after the last time you lived in that country .

As long as your police clearance was not issued more than 6 months ago, you may resubmit it. However, if it is older than 6 months, then I recommend you obtain a new one prior to filing.

I have nbi clearance in my country That has one year validity .do i need to get another one of that or the cic will still accept that. I also. Have police clearance here in canada which i acquired last may 12 but it doesnt indicate there when is the validity .if you say that it is good only for six month then it will good only up to october 12. Hi. My concern is a little regarding the NOC code. I have worked in an organization on two positions in the same NOC. Should i get job and responsibilities mentioned separately for both or just one would suffice as the additional responsibilities are few. Thank you

I recommend that you include both within the same letter.

If my company doesn’t have a website then how do I prove that it exists? Would tax returns address this issue? Obviously, I will provide all the details on the company letterhead.

If self employed, yes, tax documentation, letters from accountants confirming the existence of the business as well as incorporation documentation etc. would all be possible options.

Hi there, I have worked with 7 companies having similar roles and responsibilities so is it fine if i have the roles and responsibilities common ( repeated ) in all the experience letters.

If you worked for seven different companies, you need to ensure that each letter is accurate. If they are all the same, IRCC may feel they are not genuine.

Dear Sir, I am working in one group.From 2011 till 2012 i was in one business unit of group.Then Company transfer me to another role in 2012 with different role and responsibility as per their requirement. Since 2012 till now I am in same role and responsoblity. For reference letter do i need to mention my earlier role and responsiblity and current one or only current will suffice the purpose.Please guide in this.

You will need to have a reference letter which includes all the experience for which you wish to obtain CRS points. If you do not include that experience, then you need not include it within the reference letter. However, depending upon how you answer the questions within the Express Entry portal, you need to make sure that you are including all information that has been requested with in eAPR document checklist. If you fail to do this, then IRCC may return the application for not being complete.

Hi sir: I have worked in a company as part time job about 7 years ago while I was still a full time student, and I included this experience in my application. But it’s been too long and I can’t get in touch with my previous employer, the only thing i can provide was T4. Since this is not my most important work experience, I am not sure if reference letter is also a mandatory document?

Good question. You need only include the job experience you wish to have assessed for CRS points under Express Entry. If you do not need it, then you do not need to include it. However, when you are asked about your personal history, you do need to disclose everything that you have been doing during the time period requested by IRCC.

I have agriculture (BSc), forestry (Master) degrees and lastly a diploma in Multimedia Design (Web design & development). But I am currently working as System Support Specialist & Team Lead (NOC: 2281 Computer network technicians) since November 2012. I completed a six months short course in computer hardware & networking before the job. Since I do not have any computer engineering degree, can I still apply for Express Entry under this NOC?

The Employment Requirements for 2281 state:

Completion of a college or other program in computer science, network administration, Web technology or a related field is usually required.

Certification or training provided by software vendors may be required by some employers.

Any time it states “usually” required, or “may be required”, this means it is NOT mandatory and as such you do not have to have these educational credentials or experience (if this is the case) in order to work in this occupation.

My current employer has refused to give a generic reference letter (TO WHOM IT MAY CONCERN), they are requesting for a specific address for the letter. Who can the reference letter be addressed to. I am contacting my former employers and getting all the documentation needed for the EE application, even though I didn’t get an ITA yet. However, I didn’t sign any work contracts when I started working for them and I didn’t keep record of pay stubs. Would the job reference letters be enough for IRCC when going through my work experience?

I used to work in an organization where I had a couple of designations through the course of my career. One of the designations was “Programmer Analyst”, which is given as an example title in NOC code 2174 ( http://www5.hrsdc.gc.ca/NOC/English/NOC/2011/QuickSearch.aspx?val65=2174 ).

However, my job description doesn’t match the description of 2174. It rather matches the description in 2171 ( http://www23.statcan.gc.ca/imdb/p3VD.pl?Function=getVDDetail&db=imdb&dis=2&adm=8&TVD=122372&CVD=122376&CPV=2171&CST=01012011&MLV=4&CLV=4&CHVD= ).

What job code should I apply for in this case, 2171 or 2174?

Mark, In my case, I have worked for 4 different MNC organizations in last 10 years (as we need to produce employer letters for last 10 years only) and as per the CIC guidelines, to arrange reference letters of that type would be very tedious, since once you are out of an org, it’s difficult to get any further assistance/traction from there.

In India we usually get offer letter / appointment letter at starting and relieving letter at the time of separation and which does not include that much details as CIC expects!!

I’ve a total of 14 yrs work experience. I can arrange for the letter with roles/responsibilities from my current company where I’ve been working in the last 7 years. I seemed to be having a challenge arranging for letters from prior experience since the managers whom I was reporting to are no longer with those companies. I only have the exit letters on company letter head with the start and end date for those previous experiences. Hi, I have worked for 6 organization and received reference letter from all. But couple of employer didn’t mention “Annual Salary” in reference letter. Will it be fine or i need to provide letter of explanation on this?

Secondly, In my second organization, i got promoted as “Sr. Test Engineer” (Mention in promotion letter). I agree that there is definitely confusion about this. The Letter of Employment box is really pointless. However, in order to make sure my applications are not refused for not uploading “something” into that section, I simply upload my employment reference letters as well as the Job Offer for good measure. The portal should have removed that section a long time ago.

Hi! I worked for the same company in two different periods of time, for the total of 12 months. I left that job and then came back to complete the hours for my application, and did it just on time for applying. My checklist requests two separate letters for my experience at the same company. Can I just submit one and explain why?

Hi Mark, My company just gave me the title and time period for my employment in the company and didn’t specified my job duties on my release job letter since our company was the third party consultant and due to privacy reasons for their client they cant disclose the job duties. My question is, can I submit the affidavit mentioning my job duties along with the NOC code (including my offer letter, paystub & account statements for salary) and also top of that can I include my peer affidavit too to confirm my role and responsibilities. What if the boss giving you the reference no longer works for that company? that is the case for my last 4 jobs, all would give me amazing references but none of them still work at those companies.

If your managers are no longer with the company, you can still include statutory declarations from each of them confirming your role while they were supervising you. Ultimately you have a responsibility to provide as much information as you possibly can to confirm your exact job duties. i have all the certificates where i worked accept one which i worked Saudi Arabia for 13 months i have lost it but from that company i have only one training certificate and i will not be able to get again because the hotel name and also the management has been change so it will make me trouble if i apply for express entry ?

I want to apply EE. I’m married but I’m not going with my wife, she will join me after one year. Is her police clearance and medical certificate required as I apply for mine now.

Absolutely. All spouses of principal applicants must be medically examined and provide police clearances in almost every situation regardless of whether or not they are accompanying the PA to Canada. There may be some unique situations of marital breakdown where an argument could be made that a spouse will not be required to be examined. However, in these cases, the spouse is not intending on coming to Canada in any event.

Hello. I’ve more than 15 yrs of working experience and can take appropriate referrence letters from former employers except 2 private companies whom I had worked for. They both no longer in business for couple of years. Experience is 4 mnths for one and 9 mnth for another. I have my Offer Letter and Salary slips and Experience letter which has my date of joining and date of relieving and my designation.

My employer is saying that they can not issue the letter of reference. It is against the company policy to disclose the roles and responsibilities of an employee.

Hi, I have been working in the same company for 20 months which is in Canada. When I was hired I promised to get the supervisory position after 3 months so I worked those 3 months on minimum pay rate. Then I got promoted as supervisor but I was working 32 hours for next 11 months with $3 raise. And after 14 months of my employment they gave me another $5 raise for same position and working 40 hours a week now. So do I need to mention all these stages in my job reference letter? Can I include my first 3 months of employment as skilled work experience?

Step 1: Check if you’re eligible

Use one of our online tools to find out if you’re eligible to apply through Express Entry. It'll take you about 15 minutes.

If you’re married or have a common-law partner , one of you must be the main or principal applicant. This person will submit a profile and list the spouse or partner.

The principal applicant should be the one of you most likely to:

  • meet the eligibility requirements
  • earn the most points in the selection factors (if applying under the Federal Skilled Workers Program)
  • earn the most points in Express Entry’s Comprehensive Ranking System

The tool gives you a number at the end (a personal reference code) similar to this: JM1234567890. You will use this number to move your information from the tool to your Express Entry profile.

  • Sign in to your account and choose Apply to come to Canada under Start an application .
  • Choose “Express Entry” under I do not have a Personal Reference Code .
  • Answer the questions.

Step 2: Create your Express Entry profile

If you used the online tool.

If you’re eligible, the online tool will send you to your online account to fill out an Express Entry profile.

  • Follow the instructions to create an account (if you don’t already have one).
  • Enter your personal reference code when it prompts you (only if you have one).
  • Enter your personal details.

If you filled out the questionnaire in your secure account

If you’re eligible, enter your personal details to create a profile.

To complete your profile, you’ll need:

  • information from certain documents (for example, language test results)
  • your NOC job title and code

You may exit the profile at any time. Your information will be saved in your account.

You have 60 days to complete and submit your Express Entry profile. Otherwise, you’ll have to start again.

You won’t be asked to enter information about your dependent children when you create an Express Entry profile. We’ll only ask you for this information if you’re invited to apply for permanent residence.

Step 3: Submit your Express Entry profile

Once you’ve filled out your profile, you can submit it online. Based on the information you enter, we’ll figure out which program(s) under Express Entry you’re eligible for and may be invited to apply to.

You can’t choose the program you prefer when you create your profile.

A proof of work experience letter serves as validation of your employment history. Typically issued by your employer, it plays a crucial role in visa applications or job pursuits.

Suppose you submitted your Express Entry application and received an Invitation to Apply (ITA). In that case, your next move must be to complete and submit a permanent residence application and a letter of proof of work experience.

  • Dates of employment: When did you start and end your job?
  • Skills and experience gained: What did you learn and achieve during your job?

What if Some Components Are Missing?
