The Office of Research seeks an Administrative Manager Senior Healthcare for the newly established Office of Physician Scientist Education and Training (OPSET). The main focus of OPSET is the Michigan Medical Scientist Training Program (MSTP).   • Manage student administration, including but not limited to matriculating incoming MSTP students, preparing MSTP students for transitions between medical school and Rackham Graduate School, collaborating with UMMS units such as Admissions, Curriculum, Financial Aid and Advising, as well as Rackham School of Graduate Studies to facilitate admissions and student advancement through the various stages of the MSTP. Plan and facilitate annual student meetings at various stages of the program. 
  • Work with the OPSET team to maintain and update all resources for current and prospective students, including MSTP Student Handbook, resources, program brochures etc. Oversee creation of OPSET website content (including MSTP). 
  • Provide guidance to MSTP students on curricular and administrative matters. Work with the program coordinator to monitor MSTP student progress and provide support throughout the program.  Stay abreast of curricular changes and work with program director to adapt as needed.  Work closely with MSTP counselor to ensure student needs are being met. Oversee clinical preceptor program, coordinate clinical refresher opportunities, and meet individually with students to discuss timeline and requirements for graduation.
  • Meet with prospective MSTP students, share program information during virtual information sessions, represent MSTP at career fairs and annual meetings with pre-med advisors.
  • Participate in GREAT group virtual seminars and annual meetings.
  • Working with the MSTP program coordinator and med school admissions team,  coordinate recruiting and admissions activities throughout the admissions cycle.  Plan and manage virtual interview days and all related events. Coordinate MSTP Admissions Committee meetings. Work with a team of staff and students to bring admitted applicants to campus  to learn about our program and recruit them to choose Michigan.
  • Oversee all aspects of the UM SMART and UM INSPIRE undergraduate pipeline programs and websites. Collaborate with and provide oversight for SMART/INSPIRE program coordinator during the application process and throughout each program.
  • Oversee all aspects of the OPSET postdoctoral community building programs.  Meet with and provide oversight for the OPSET career development and activities coordinator to ensure the program is moving forward and needs are met. Collaborate with the OPSET coordinator and director to support the planning and coordination of events such as seminars, research presentations and career development panels.
  • Collaborate with the MSTP Program Activities Committee to support the planning and coordination of events such as seminars, orientations, annual picnic, annual winter party, graduation brunch, new member reception and annual three-day retreat. 
  • Attend MSTP events, seminars, annual retreat, meetings, and dissertation defenses.

Required Qualifications*

  • Bachelor's or Master's degree and substantial professional experience with 5-7 years experience managing a Program and supervising staff or leading a team.
  • Previous experience in higher education administration, academic advising, admissions, student services, and/or financial operations.
  • Demonstrated strong interpersonal skills, including diplomacy and a positive, responsive, service-oriented attitude.  Being adaptive, resilient, proactive, reliable, and self-motivated are essential personal traits.
  • Excellent oral and written communication skills and the ability to collaborate across disciplines and teams.
  • Strong organizational skills with demonstrated experience setting priorities, working autonomously, producing timely results and meeting deadlines while maintaining a high level of attention to detail.
  • Demonstrated analytical and problem-solving skills with the ability to identify existing and potential problems, recommend solutions, accomplish effective resolution, and evaluate results.
  • Proficiency in typical business software such as Outlook, Word, Excel, and Power Point, Adobe, and Google sheets. 

Desired Qualifications*

  • Master's degree or PhD in education or health related field.
  • Knowledge of finance, accounting and budgeting.
  • Knowledge of personnel practices including staff, faculty, student and postdoctoral research fellows.
  • 5-7 years of professional experience in higher education administration.
  • Supervisory experience with proven ability to provide oral and written feedback, conduct performance reviews, and identify and promote staff development opportunities.
  • Experience managing research and grant activities and knowledge of pre- and post-award  management and research compliance including institutional T32 Training grants.
  • Experience managing gift funds and other financial assets.
  • Experience preparing contracts and proposals.
  • Experience with higher education milestones as it relates of MD and/or PhD students.
  • A demonstrated history of building and maintaining a positive work environment, including taking a proactive approach to work/life balance and leading cohesive teams built on trust and accountability.
  • Familiarity with platforms such as CollegeNet, Drupal and M-Pathways to accomplish tasks such as admissions, student administration, financials, etc.
  • Demonstrated discretion in overseeing confidential student information and diplomacy in resolving challenges.

Work Locations

The Office of Research operates in a hybrid work environment consisting of in-person and remote work. The selected new hire is expected to work on site at least 3 days per week in order to engage with colleagues and students.  Staff are provided with a monitor, laptop, and related accessories. Office equipment such as a desk, chair, and printer are not provided for remote work. Staff must supply their own reliable internet access.  Basic supplies, such as paper and pens, are stocked at the business location and are available for staff to pick-up should they require these to complete their work.

Supporting and participating in student events that take place outside of the normal business day (during evenings and weekends) is required.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
