  • Stick to one page. You should only go for a two-page resume if you have decades of experience and you’re sure the extra space will add significant value. Hiring managers in big companies get hundreds of applications per job opening. They’re not going to spend their valuable time reading your life story!
  • Add clear section headings. Pick a heading and use it for all the section headers so the hiring manager can easily navigate through your resume.

Must-Have Information

  • Full name. Your first and last name should stand out at the top of your resume.
  • Email address. Stick to an address that’s professional and easy to spell, like a combination of your first and last name. (E.g.: [email protected])
  • Phone number. Add a reliable number where the hiring manager can easily reach you.
  • Location. Add your city and state/country. If you plan to relocate for the job or want a remote position, specify it on your resume.

Optional Information

#3. Write a Resume Headline (Summary or Objective)

Resume Summary

A resume summary, as the name suggests, is a two to three-sentence summary of your career so far. If done right, it shows that you’re a qualified candidate at a glance and gets the hiring manager to give you a chance.

Here’s what your resume summary should include:

  • Your job title and years of experience.
  • A couple of your greatest professional achievements or core responsibilities.
  • Your most relevant skills for the job.

Here’s an example of a well-written resume summary: 

Experienced Java Developer with 5 years of experience in building scalable and efficient applications. Contributed to a major project that enhanced application performance by 25%. Unless you’re a recent graduate or amid a career change, we recommend you stick to a resume summary. Otherwise, a resume objective might be a better option for you.

Resume Objective

A resume objective is supposed to express your professional goals and aspirations, academic background, and any relevant skills you may have for the job.

#4. Prioritize Your Work Experience

The most important part of your resume is your work experience.

This is where you get to sell yourself and show off your previous accomplishments and responsibilities.

There are plenty of good practices for writing your work experience . But before we dive into all the nits and grits, let's start with the basics.

The standard format for each work experience entry is as follows:

  • Job title/position. Your job title goes on top of each work experience entry. When the hiring manager looks at your resume, you want them to know, at a glance, that you have relevant work experience for the job.
  • Company name/location/description. Mention the name of the employer and the general location, such as the city and state/country where you worked. In some cases, you may also want to briefly describe the company, like when the organization isn’t particularly well-known.
  • Dates employed. Add the approximate timeframe of your employment at each company. You don’t need to give exact dates since the standard format for this is mm/yyyy.
  • Achievements and responsibilities. This is the core of each work experience entry. Depending on your field, you want to list either your achievements or responsibilities. List them in bullet points instead of paragraphs, so they’ll be easier to read.

Here’s the thing—in most cases, the hiring manager knows exactly what your job responsibilities are.

For example, if you’re a sales manager, your responsibilities would be:

  • Reach out to potential clients over the phone or email.
  • Maintain relationships with existing company clients and upsell relevant products.
  • Tracking and reporting on leads in CRM.

Coincidentally, this is also the same list of responsibilities for every sales manager out there. So, 90% of all other resumes probably mention the same thing.

To stand out from the competition, you want to focus on writing achievements in your resume instead. These can be how you helped your previous company grow, reach quarterly quotas, and so on.

Let’s compare how responsibilities hold up next to achievements for the same job:

Keep in mind, though, that in some fields, there just aren’t that many achievements you can mention. Let’s say you’re a warehouse worker .

Tailor Your Resume to the Job

Hiring managers don’t need to know about every single job you’ve ever worked at or every single skill that you have.

Include the Right Amount of Work Experience

If you’ve got over a decade’s worth of work experience, you’re probably wondering whether all of it belongs on your resume. In most cases, you’d end up writing a novel if you listed everything you’ve ever done, and that’s not how long a resume should be .

If you’re new to the job market, on the other hand, you probably don’t have any experience, and you’re wondering what you could even add to this section.

So, here’s how much information your resume should include, depending on your level of experience:

  • No experience. If you’re looking for your first job , you won’t have any work experience to fill this section with. So, you can either keep it empty and focus on all the other sections or fill it up with any experience gained in student organizations, extracurricular activities, volunteering, and other projects.
  • Entry-level. List all your work experience so far. While some of it won’t be relevant, it can still show the hiring manager that you do have some actual work experience.

  • Stick to one page. Sometimes employers set a limit on how long a resume should be. This means that if your resume is longer than one page, it might get automatically disqualified.

The next section on your resume is dedicated to your academic qualifications. Let’s start with the basics!

Here’s how you should format the education section on your resume :

  • Program Name. Your major and degree type should be listed. (E.g.: “B.A. in Business Administration” )
  • University Name. Add the name of the institution. (E.g.: “New York State University” )
  • Dates Attended. Use a mm/yyyy format for the dates you attended. (E.g.: “08/2008 - 06/2012” )
  • Location. If your university is less well-known, you can also add the location. (E.g.: “Stockholm, Sweden” )
  • GPA. Use the appropriate grading system for the country you’re applying to work in. (E.g.: In the USA, it would be “3.9 GPA” )
  • Honors. Add any honors and distinctions you’ve been given. (E.g.: Cum Laude, Magna Cum Laude, Summa Cum Laude )

Just follow these expert tips:

  • If you’re making a resume as a student and don’t have any work experience yet, you can list your education section at the beginning of the page instead of work experience.
  • You can add your expected graduation date if you’re still pursuing your degree.
  • If you already have relevant work experience, just keep this section short and sweet. Recent graduates can expand on their education more and add optional information like projects, classes, academic achievements, etc.
  • Always list your degrees in reverse chronological order, starting with your highest degree on top. Your highest and most recent degree is usually enough, so if you have a Master’s degree that’s relevant to the job, there’s no need to mention your earlier degrees.
  • Don’t add your high school degree to your resume if you already have a university degree. It doesn’t have as much weight, and you can use the space for something else.
  • Only mention your GPA if you had an impressive academic career. Anything below a 3.5 GPA doesn’t need to be on your resume.

So, the must-have hard skills here are Photoshop, InDesign, Illustrator, Keynote, and Pages. Other good computer skills to have are WordPress or similar CMS systems.

While you can also mention Word, Excel, PowerPoint, and Outlook, it’s pretty much assumed that you know how to use them since they’re required for most office jobs.

List Hard Skills with Experience Levels

Meanwhile, the reverse-chronological format is the most popular because it draws attention to your most recent jobs and professional achievements, which is the #1 most important thing hiring managers look at when evaluating a resume.

#6. How many jobs should you put on your resume? 

You should only include relevant job positions on your resume.

This means that your work experience section should be tailored to the job you are applying for. If you’ve worked five different jobs and they can all add value to your current application, then you should include all five. 

If, on the other hand, you’re applying for, say, a customer service position and some of your past jobs don’t have anything to do with customer service, you should skip them.

You can put your location (city, state, or country) on your resume, but you don’t need to put your entire physical address.

Putting a physical address on a resume was the norm back when companies would contact you via mail. In today’s world, everyone communicates via email, which is why adding a correct and professional email address to your contact information section is far more important than putting your physical address. 

So, just include your location or-–if you’re a remote worker—specify you prefer to work remotely by writing “working remotely from [location].”

#8. What information should I leave out of my resume?

As a general rule, you shouldn’t include your birthday or your headshot on your resume. This norm varies from country to country but it applies to the USA, Canada, and UK.

If you have plenty of achievements to list under your work experience, then you can leave your basic work responsibilities out of your resume. 

In your education section, you should only include your highest and most recent degree. So, if you hold a Ph.D., you can list that and your Master’s degree and leave your Bachelor’s degree and high school diploma out.

Finally, leave out any skills that aren’t relevant to the job you’re applying for.

Depending on where you are, a CV (Curriculum Vitae) and a resume might be completely different things.

In most of the world, though, including Europe and Asia, they are used interchangeably for the same document. Both CVs and resumes are one to two pages long, and list skills and experiences relevant to the position you’re applying for.

Sometimes more detailed resumes that go over one page are referred to as CVs. These are typically only used by senior professionals, executives, CEOs, etc.

  • Continue to list all of your work experience job by job progressing backward in time. Remember to focus on skills that are transferable.
  • Summarize your education, including important facts (degree type, specific courses studied) that are applicable to the job you are applying for.
  • Include other relevant information such as languages spoken, computer programming knowledge, etc. under the heading 'Additional Skills.' Be ready to speak about your skills in the interview.
  • Finish with the phrase: References: Available upon request.
  • Your entire resume should ideally not be any longer than one page. If you have had a number of years of experience specific to the job you are applying for, two pages are also acceptable.
  • Spacing: Separate each category (i.e.  Work Experience, Objective, Education , etc .)  with an empty line to improve readability. 
  • Make sure to read your resume carefully to check grammar, spelling, etc. 
  • Prepare thoroughly with your resume for the job interview. It's best to get as much job interviewing practice as possible.

More Tips for Writing a Solid Resume

  • Use dynamic action verbs such as accomplished, collaborated, encouraged, established, facilitated, founded, managed , etc.
  • Do not use the subject 'I', use tenses in the past, except for your present job. Example: Conducted routine inspections of on-site equipment .
  • Place your work experience  before  your education. In English speaking countries, especially in the United States, work experience is the most important factor in hiring.
  • Ask for permission to use someone as a reference   before  you interview for a position. It's also a good idea to let your references know that you will be interviewing if you haven't interviewed for a while. In this way, references will be in the loop if a potential employer calls or sends an email for further information. 
  • Don't include the contact information of your references on your resume. The phrase  available upon request  will suffice. 
  • Use a thesaurus to help you improve work-related vocabulary and eliminate unnecessary repetition.

Here's an example resume following the simple outline above. Notice how work experience uses shortened sentences in the past without a subject. This style is more common than repeating 'I.'

Well, fear not — writing a CV in English is actually much less scary than it sounds. And if you follow the tips in this guide, you’ll be able to create a fantastic English CV that shows off all your strengths.

Note : I’ll use the words CV and resume throughout this article to mean the same thing — a short document showing your skills and experience. CV is the UK word, and resume is the US word. A CV in the US is a long document with lots of details, and we won’t be covering it in this article.

How to write a winning English resume

Let’s get to it. Here are seven tips that will help you master English CV writing and give you the best possible chance of progressing through the hiring process.

1. Include these key sections

An English CV must include the following sections:

Contact information: This includes your name, email address, and phone number. Stick this right at the top of the page.

Summary: Write a brief overview of your important skills and qualifications. This shouldn’t be long — stick to two or three sentences. The aim is to show the reader why you would be perfect for the job without going into too much detail.

Work experience: List your previous jobs (starting with the most recent). Add the company, your position, and the start and end dates. Also, list your responsibilities and achievements at each job.

Education: List your academic degrees and certificates (starting with the most recent). Include information about where and what you studied, when you graduated, and what qualifications you have. And because you’re a non-native English speaker, add your English study background and qualifications here to let employers know about your English skills.

Skills: List your relevant skills. You can add both technical and soft skills (things like communication, teamwork, and time management).

Every good resume will have the above sections. You can also include the sections listed below, but you don’t have to — and if your CV is getting too long, leave or cut these sections out. These sections include details that may not be super important or relevant to the job you’re applying for, but they add extra information about you.

Achievements: List accomplishments or awards that show your abilities.

Volunteer work: Include unpaid experiences that show your skills and values.

Languages: This is a list of the languages you speak and your proficiency level.

Interests: These include hobbies or activities that show your personality.

2. Tailor your English resume to the job

The best CVs are specific to the job you’re applying for. Recruiters and hiring managers are busy people, and they may have hundreds of CVs to read. So aim to give them as much relevant information as possible. The easier it is for them to see that you’d be great for the job, the more likely they’ll be to invite you for an interview.

Here’s how to customize your CV for each job and company:

Research the company and job

Learn about the company. Research its industry, products, mission, culture and values. Then study the job description. Identify the key skills and experiences the company is looking for.

Match your resume to the job description

You need to reflect the information you found in your research in your CV. Make sure you do the following:

Highlight your skills and experience that directly relate to the job description.

Add keywords from the job description to your summary and work experience sections.

Include achievements and experiences that you think match the company’s needs. Show them that you can help them achieve their goals.

Try to match the tone and language of your CV with the company’s culture and mission. Look at their online presence and content to check for this.

Match your CV with the job type or industry. If you're applying for an IT position, for example, technical skills and experience with software are key. But if you’re looking for customer service work, soft skills like communication and experience resolving customer issues are more important.

Check local customs

In some countries, it’s common to add a personal photo, your age, marital status and home address. In other countries, it’s illegal for companies to request that information. Be sure to check what you need to include on your CV.

3. Highlight your English skills effectively

You need to show the hiring people that your English is good enough. In your education or skills sections, list your English level and qualifications.

When you add your English level to your CV, use a standard framework like the CEFR (or the ACTFL if you’re applying to a US company). You also need to back up this claim with evidence from tests like the TOEFL or IELTS. If you do this, people who read your resume will have no doubt that your English is good enough for the job.

4. Be clear and concise

Hiring managers and recruiters don’t have time to read a novel of a CV. So avoid long sentences, paragraphs and descriptions. The aim is to write in clear English that gets straight to the point. Here are some tips:

Use bullet points. Make your CV easy to read by adding bullet lists to your work, education and skills sections.

Start each bullet point with a verb. Strong action words have impact. Think of verbs that show how you contributed to success at your previous job.

Focus on achievements. Don’t just list your responsibilities. Try to highlight the results of your work.

Keep it simple. Forget long and complicated sentences. And don’t include fancy words. Keep it simple and easy to read.

Add white space. Huge walls of text are difficult to read. So break them up with spaces, short paragraphs and lists. Leaving white space on the page makes it easier to read.

Be concise. Try to fit your CV on one or two sheets of A4 paper. Respect the time of the hiring managers and keep it short. This means you should only include the information most relevant to the company and position.

5. Proofread and edit your resume carefully

Mistakes on a CV are a quick way to ruin your chances of getting an interview. You must proofread and edit before you hit send. Here are some steps to take:

Check the formatting. Check that your font, font size and spacing are the same throughout the document. Make sure you use bold type, italics and bullet points consistently. Formatting mistakes make your CV look unprofessional.

Check for grammar and spelling mistakes. Use spell-check tools to find any errors. And read through your resume carefully to find any mistakes. Doing this on paper can help — print out your resume, grab a highlighter pen and get checking!

Bonus tip: By using simple vocabulary and sentences (as recommended in the previous section), you reduce the chance of mistakes and make your CV easier to read. It’s a win-win!

Check from bottom to top. This will seem strange at first. But start reading your CV at the bottom of the page and work your way up to the top. This helps you spot mistakes. Trust me, this works! I don’t know why it works, but it does.

Check for clarity. Read your CV out loud. When you read silently, it’s easy to miss things like awkward phrasing, run-on sentences, or long, complicated sentences. Reading out loud is a fantastic way to spot these errors.

Here’s a helpful tip: If it’s getting difficult to breathe when reading out loud, your language is too complicated and your sentences are too long.

Don’t mention common, obvious skills like, proficient in Microsoft Word, Windows user – nowadays, these are no different than reading and writing skills.  4. Don’t exceed a one page limit for the USA and two pages for the EU. 5. Don’t forget: Capitalize every word in job titles, company names, degree names, and your university/college.

1. Personal and Contact Details

Personal Details: Your first name should go first, then your family name/surname. It must be the same as it appears in your passport.

Contacts . Download internationally used messaging apps for contacting potential employers and ensuring you remain contactable. These include WhatsApp, Facebook Messenger, and Skype. You should also use WeChat, if a company is Chinese.

Besides an email and phone number, you can add a social media link: LinkedIn for the USA and  Europe, aside from Germany, as they use Xing. A professional recruiter will look up your social media profile to make sure your values and worldview align with their company’s. It’s best to anticipate this and prepare for it accordingly in advance…

Don’t write your full address, your city is enough.

Here is an example of how contact details should be filled out:

Tip 1: Photo. If you send your resume to an American or English company,  make sure to send it without a photo. For European companies, meanwhile, a photo is expected.

In the Summary section, a candidate is required to the strongest and most important aspects of their work experience sides to capture a recruiter’s interest and make them want to read further.

It’s a short self-presentation, like an elevator pitch , named as such because it should be able to be said in the time it takes to ride an elevator.

3. Work Experience

If you have at least one year of work experience,  this section should be placed after the Summary; it is the most important for a recruiter. Write about your professional experience, from your last, or current,  job to your first one.

Use the bullet points principle: it makes reading more convenient for recruiters. Plus, non-native speakers can make punctuation mistakes. Note: if each point is a full sentence, it should begin a capital letter and end with a full point. If it’s not a full sentence, but rather a phrase, you can start it with a capital or lowercase letter and use no punctuation marks.

For example:

  • Our department managed to complete 10 projects in two months .
  • 10 projects completed in two months

Don’t mix different types of bullet points, i.e, full sentences and phrases, stick to one throughout. 

Apply the same principles when listing achievements. In addition, use active verbs in Past Simple tense (completed, achieved, created)

When describing your work obligations, use gerunds (a verb with an ‘–ing’ ending).

  • preparing press-releases and articles on business subjects

If you use noun clusters, like marketing activities , don’t use more than 3 nouns in succession. 

Tip 2 : Job position writing: If you have worked in non-English speaking countries, translate your position in an appropriate way. Try to find a job role with similar obligations on international websites (monster.com or indeed.com).

4. Education  

The Education section should come after the Summary, if there is no relevant work experience.

When writing the name of an educational institute, don’t use abbreviations as recruiter may not be familiar with it. For instance, instead of QMUL  – Queen Mary, University of London.

There are different education systems in different countries, so it can be a problem for employers to understand the difference between academic degrees. You’ll find below traditional ways of referring to your academic degree in English below:

In the American version of these descriptions, you’ll frequently find an indication of the field of study, as well as the degree:

STEM fields: Bachelor of Science (BS) Master of Science (M.S.) Doctor of Science (S.D.)

Arts: Bachelor of Arts (BA) Master of Arts (M.A.) Doctor of Philosophy (Ph.D)

Tip 3 : You can take a peek at the English way of writing about your university, speciality and degree on the English version of their website or from former graduates on LinkedIn profiles.

If you want to refer to your average score, write it as follows: GPA 4.5 (5) – where GPA is grade point average, 4.5 is your result, and 5 is the maximum score. When mentioning graduating with a distinction, it is better to use the generally accepted Latin term “cum laude”.

In the USA, a distinction is of great importance and is calculated very precisely, based on the ranked position in the graduating class rating.  For example, summa cum laude (with the highest distinction) – top 5% of the class.

Tip 4: Capital letters: Each word in your title, degree, university/college, and job position should be capitalized.

In English, skills are divided into hard and soft skills . Hard skills are those necessary for a specialist to perform their job role. They depend on work experience, certificates, and education and also answer the question of what you can do. Soft skills are your personal qualities, how you relate to people, and your approach to solving problems.

6. Certificates & About 

Optional sections are Certificates / Courses and About. The first one demonstrates your professional development, and the second one reveals you as a person. In the About section, avoid buzzwords – cheesy phrases. In the About section, mention those hobbies that emphasize your personal qualities on a nice side.

7. References

Western companies expect a candidate to provide references (contact details of people who can provide feedback about your work). Therefore, at the end of an English CV, write References: Available upon request . Check with your referrers in advance which method of communication (phone number, email, etc) is most convenient for them.

Final tips:

Tip : Resume format – PDF: Why not a standard Word document? In PDF format, your resume sample will look exactly as you wrote it, while in .docx,  sentences and paragraphs could be shifted in different versions. Besides, it’s not guaranteed that a recruiter has Word installed.

Tip : A resume’s length for the United States should not exceed 1 page. Conciseness plays a big role but you should also clearly highlight your main skills in order to be noticed. For Europe, on the contrary, a resume’s length may be 2 or even 3 pages and should have a more neutral tone of writing.
